Outlook Screen Overview
When viewing Outlook for the first time, it is important to become familiar with the screen aspects and button locations.
When to use
You will use this the first time you are in Outlook and any time you need to navigate around Outlook. In future lessons you will focus on specific items.
Instructions
Follow along with the video for an introduction to the Outlook screen elements. This includes:
- The Quick Access Toolbar (QAT) - add commands for easy access
- Ribbons - File, Home, Send/Receive, Folder, View
- "Tell me what you want to do" - search for help and commands
- Navigation Pane - navigate through your folders
- Peek Pane - hover over the Calendar, People and Tasks icons for a quick view of these items
- Email Reading Pane - read and reply to emails
- Reading Views and Zoom Control - switch between Normal and Reading View and zoom in or out

- 00:04 Hello, and welcome to Microsoft Outlook.
- 00:07 My name is Andy Lanning and I'm going to be your instructor for this course.
- 00:11 And, we're going to start with a tour of the Outlook screen because even if you
- 00:15 start a brand new job, someone's going to walk you through the office and
- 00:18 show you where everything is so you get oriented.
- 00:21 Well, the same applies to software.
- 00:23 Just take a browse through the Window itself.
- 00:25 We'll start with the top blue title bar,
- 00:28 where it shows the name of the program we're using.
- 00:30 On the left is a little toolbar, this is called the quick access toolbar,
- 00:34 also known as a QAT.
- 00:35 We will have an entire lesson on that in a very short while.
- 00:40 And over here on the right-hand side, the x is the Close button.
- 00:44 This is the Maximize or Resize button.
- 00:46 We have the Minimize and this is our ribbon Auto-hide button.
- 00:50 I'll go ahead and click that just so you can see that you have full control
- 00:53 over just showing the tabs of your ribbons.
- 00:56 I'll click this and watch what happens on my ribbons.
- 00:59 Or, I can hit that and I can Show Tabs and Commands on the ribbon.
- 01:03 Another quick trick to that is just to double click on any title of a ribbon.
- 01:07 Double-click will collapse.
- 01:09 You can use it by just clicking on the ribbon, but as soon as you
- 01:12 click off it will claps again, or double-click will expand lock them in place.
- 01:18 All right, what you see on my screen simply called my Outlook Today.
- 01:21 This is everything at a glance simply because I'm click on my one
- 01:25 inbox called andy.goskills.
- 01:28 You can have multiple email addresses.
- 01:31 Outlook will handle whatever you give to it, but I do want to go ahead and
- 01:34 open this up so you can see I called it my inbox, but, actually,
- 01:37 it is my profile named andy.goskills.
- 01:41 Then I have my Inbox.
- 01:42 Notice these little arrows on the left-hand side of some of these options,
- 01:46 that means there's more folders underneath.
- 01:48 So anytime you see an arrow, open it up or close it to control all of these if you
- 01:53 want to see the entire screen and I'll just close that particular inbox.
- 01:57 I also have my Archives and I also have my Favorites.
- 02:00 All right, I will open that, click on my Inbox so we can see some items in here.
- 02:04 And over on the right-hand side, we have a scroll bar that controls the screen.
- 02:08 My current layout is to show my reading pane on the right-hand side.
- 02:13 Over on the bottom right, this is my zoom control,
- 02:16 I can zoom in to make the fonts larger or I can zoom out.
- 02:20 I could also hold down my control key and
- 02:22 spin the wheel of my mouse to do the same thing.
- 02:25 Take a look at these two buttons right next to that one says, reading view and
- 02:30 one says normal view.
- 02:31 Now, I'm going to click the reading view, keep your eyes on the left panel,
- 02:35 that's called the navigation pane on the left panel.
- 02:38 I'm going to click reading view, click.
- 02:40 And look what happens, see it collapsed my panel.
- 02:43 My navigation pane panel to give me more room to read my screen.
- 02:46 It all depends on your screen size if you want to do that or not.
- 02:50 Now I'm going to go back to my normal view.
- 02:53 And it widens up my navigation pane as well.
- 02:56 Now let's take a look at the navigation pane,
- 02:58 basically it is your lifeline in Outlook.
- 03:00 You want to have your navigation pane open at all times.
- 03:03 On the bottom, I have a little envelope that is my email then I have my calendar,
- 03:07 my contacts or people and my task.
- 03:10 Now these are called peak panes.
- 03:11 You can take a peek into each one of these.
- 03:14 And, right over here, we have dot dot dot,
- 03:16 when I click the dot dot dot that gives me options.
- 03:19 Now my navigation options will allow me to uncheck the compact navigation.
- 03:24 I'm going to hit OK, take a look what happens at the bottom of my screen.
- 03:28 Now these are all words Mail, Calendar, People, and Tasks.
- 03:32 But, that also takes up one inch of my screen view.
- 03:34 I don't like that, so I'll hit the dot dot dot, go to Navigation Options.
- 03:39 I'm going to put a check mark right back on my compact navigation, hit OK.
- 03:43 And now it takes us to little symbols, I like that much better.
- 03:46 All right, please take a look at the top.
- 03:47 The navigation pane, we have a little left arrow that allows you to collapse.
- 03:51 The navigation pane without going back down to reading view on the far right.
- 03:55 And when I want to open it up, I simply click that to open it, and
- 03:58 then of course have to hit the pushpin to lock it in.
