Quick reference
Second Window
Using a second window allows you to view screens side-by-side rather than shuffling layered windows.
When to use
Anytime you need to reference information (like emails) in order to make decisions (like calendar time), it is a good idea to view the two windows side-by-side.
Instructions
Float your mouse over the top of the Calendar icon on the Peek Pane located at the bottom of the Navigation pane.
- Right click the Calendar icon
- Click the option “Open in New Window”
If you have a second monitor, simply slide the calendar screen onto the second monitor and now happily view your email beside your calendar with no shuffle effect happening.
If you have a single monitor, you will have the option to either resize both windows manually (Windows 7) or snap each window to the right or left sides (Windows 8 and 10).
To reset to one window, close the 2nd window with the X in the upper right hand corner.
Login to download- 00:04 Hello, this is Andy again, and I'd like to show you an office management trick inside
- 00:09 Outlook about looking at two windows side by side.
- 00:13 Well, first of all, the reason you'd want to do this is for instance,
- 00:16 I've got an email on my screen requesting an appointment, and
- 00:19 so I've got to go check my calendar.
- 00:21 So I click on my calendar button, and I look at my calendar.
- 00:24 Click back on the email to go look at the email details.
- 00:28 Click back on my calendar.
- 00:29 This is what I call the shuffle effect, I'm shuffling back and forth.
- 00:33 Well, I wouldn't do that with papers on my desk.
- 00:35 I would lay the papers beside each other, and just glance back and forth smoothly.
- 00:39 You can do the same thing with Outlook, and here's the trick.
- 00:43 Just float your mouse on the little tiny calendar and
- 00:46 click your right mouse button.
- 00:48 When you hit your right mouse button a cheat sheet comes up and
- 00:51 the top option says open in new window.
- 00:54 When I click that, you'll notice your calendar showed up, but
- 00:57 honestly it showed up as a second window.
- 00:59 I can literally click and drag it off and if I have a second monitor,
- 01:03 I can just slide it right over to the second monitor.
- 01:06 Or maybe I just want to re-size it right here and
- 01:10 just lay it side-by-side to the email.
- 01:13 So if I collapse that navigation panel on the left, now I can see my calendar and
- 01:18 read my email.
- 01:19 See my calendar, read my email.
- 01:20 No shuffling is happening at all.
- 01:22 And so that's the beauty about the second window.
- 01:25 Now another feature to this, if you're using Windows 8 or Windows 10,
- 01:29 you can actually slide these windows over to a portion to
- 01:33 the right-hand side of the monitor and it will basically just snap right into place.
- 01:39 And you can't see the full screen on this recording, but
- 01:42 this part of the window just did snap into place.
- 01:45 And now I could just take this one,
- 01:46 slide it to the left and do the same thing and it would snap into place.
- 01:49 But anyway, I just wanted to show you that, that you can absolutely control
- 01:54 the craziness of your day simply by laying your windows out beside each other.
- 01:59 You can do a right click on your contacts, open a new window.
- 02:02 Right click on your tasks.
- 02:04 Whatever helps you to see your information side by side will make your day go
- 02:09 smoother and make your job easier.
- 02:12 All right, that's a wonderful office management tip, I hope you'll use that,
- 02:16 and I'll see you in the next video.
