The Layout features allow you to control how you see your information.
When to use
You will rarely be using the Layout after you have it set up. Use this lesson to set your preferences.
Instructions
- Click the
ribbon and Locate the Layout section
- The Folder Pane is the left side panel that contains your email folders.
- The Reading Pane shows the text of the email to the Right or Bottom of the Inbox list:
- The To-Do Bar is on the right side panel and shows a calendar, contacts, and/or tasks:
- The Message Preview allows a sneak peek into the email contents:
6. With the Reading Pane set to Bottom, you can sort the columns by click the headings:

- 00:09 that is on the view ribbon and right over here is a layout group with a couple
- 00:13 options, folder pane, reading pane and to do bar.
- 00:16 Now the folder pane is over on the left.
- 00:18 This used to be called the navigation pane.
- 00:21 On the photo pane actions, my is set to normal, but you can also click minimize.
- 00:26 When I minimize it, it just slams it over to the left-hand side.
- 00:29 I do have an arrow that I could expand it again.
- 00:31 And then of course I'd have to pin it in place.
- 00:32 You can also resize it.
- 00:35 Click and drag on this line and you can resize to your own personal preference.
- 00:39 Now the folder pane can also be turned off.
- 00:41 I don't recommend it cuz you might forget that it ever existed, and
- 00:44 it is very valuable to have it on because it does contain all your email folders.
- 00:50 Now the other option inside folder pane is the favorites.
- 00:52 Now my favorites is on, you can see my favorites file right here.
- 00:55 I want you to think of favorite files as your active working files.
- 00:59 The items that you need at the ready all the time.
- 01:03 You might have a physical set of files actually sitting off to the side of your
- 01:06 desktop on your physical desk.
- 01:08 Well this is the same thing.
- 01:10 Now let's just say I want this class folder to be at the ready instead of
- 01:13 buried down deep into all my folders.
- 01:15 I can literally click and drag it right up here into my favorites.
- 01:19 It becomes not a second folder but a ghost image of the original.
- 01:22 So the original still resides in the same place but it's just at the ready for
- 01:26 me to use right here.
- 01:28 Now when I'm done with the class folder all I have to do is right click and
- 01:32 look at the list.
- 01:33 You'll go down here and one of them will say, remove from favorites.
- 01:37 And again, it doesn't take it off your list at all,
- 01:40 it's still in my inbox, it's just no longer up here on the favorites
- 01:43 because it's no longer an active file I need all the time.
- 01:47 So, I rather like the favorites and I would recommend leaving them on.
- 01:50 Now, another thing we have under photo pane is options.
- 01:53 When I click on options, I have the options to uncheck my compact navigation.
- 01:58 Now, keep an eye,
- 01:59 down here on the bottom left of my screen, I'm gonna uncheck compact navigation.
- 02:03 And hit OK, and it just lays them out and spells them out.
- 02:07 So you don't have to wonder what those little icons represent,
- 02:10 it actually tells you what they represent.
- 02:13 Now I am a fan of my notes.
- 02:15 I would like to see my notes on there.
- 02:17 So folder pane options, and I'm gonna tell this to show me five of the visible items.
- 02:24 And notice notes is number five.
- 02:25 And of course you can rearrange these any way you want.
- 02:28 So I'll hit OK and there shows up my notes which I very much like.
- 02:32 Now the next thing I wanna show you is the reading pane.
- 02:35 Now the reading pane by default is on the right.
- 02:38 Now as you can see, I have an email text, showing up right here and
- 02:41 that particular email is highlighted here.
- 02:43 Well I want my reading pane to show on the bottom and
- 02:46 the reason I like that is because now all my headers, my from header,
- 02:50 my subject, my receive, that size of the email, they're all right here.
- 02:53 And these are clickable, and sortable on the fly.
- 02:57 And any time you can organize your information to what
- 03:00 you need to see right now with one click, it's worth having it in view.
- 03:05 And so, personal preference, I like my reading pane to show on bottom.
- 03:08 Because I like to sort, but still be able to read some of the text.
- 03:13 Now, I could also turn my reading pane to off.
- 03:15 And then you're gonna see my entire inbox list with the reading pane off.
- 03:19 I can't see it all, I'd have to double click to read these.
- 03:22 Now there's another item right up here.
- 03:24 It's not in the layout view, but it's right over here.
- 03:26 It's called message preview.
- 03:28 Now you can turn the message preview to two lines.
- 03:31 Or I can turn it off entirely.
- 03:34 And now I just have a stackable list of emails
- 03:37 with a nice little preview showing at the bottom.
- 03:40 That is my personal preference.
- 03:41 But this is your Outlook and how you see your information.
- 03:44 So you can change it to anything you want.
- 03:47 I just wanna show you your options.
- 03:48 Now if I turn this off, it's just all my emails.
- 03:52 And now I have one more thing here, on the reading pane, and that as options.
- 03:56 And now I can mark items as read after I view them, I can mark them as read after
- 04:01 the selection changes, just read through those.
- 04:03 And again, make your own personal preference changes.
- 04:07 Now one more thing I personally like, is my to do bar calendar.
- 04:10 I like to see that on the right-hand side of my screen.
- 04:12 Now notice in this particular view it seems to take up a lot of room, but
- 04:16 it is handier that you would ever know.
- 04:19 I like having this on my screen, but you have other options as well.
- 04:24 You could show your people, so your favorite contacts.
- 04:27 And you can show your tasks.
- 04:29 Your current task can list up here as well.
- 04:31 Any of those combinations will show up or you can just turn it off and
- 04:35 not see it there at all, and if you want your calendar, it's just as simple.
- 04:38 Float your mouse over your calendar It will do the same thing as having
- 04:41 that calendar residing on the right.
- 04:43 So, again, personal preference.
- 04:46 So, at this point, it's all about how you see your information
- 04:49 to help you make your decisions and get to your information the fastest, and
- 04:54 that's why we spend time in view on the layout section, so
- 04:57 please go in there and work around some of those options and see what you like.
- 05:02 And that's how you're gonna be a better Outlook user.
