File Ribbon – Other
The “File Ribbon” has many options when you are beginning or finalizing a publication.
When to use
You will go to FILE often to Open, Close, Save, or Print any publication.
Instructions:
Use the various tools under File to save time later:
- Click File, Open and find a publication in the list that you use regularly.
- Click the pushpin on the right side of the file name to pin the publication to the top of the list:
- A similar feature is found under File, Save As, “This PC”. You can pin a common folder to the top of this list.
- Click File, Share to view the settings for emailing a document and possibly changing the file type to a .pdf (Portable Document File – much smaller file size, but looks just as good.)
- File, Export gives options to save and send in the proper format for commercial print companies:
- File, Options give you customizing opportunities, but overall it’s best to leave these settings alone until you become an advanced user.
- 00:04 This is a good time to review the rest of the rile ribbon options because they
- 00:08 are really important.
- 00:10 I'll go ahead and click on the file ribbon.
- 00:11 We have already looked at info and new and then we have open, but
- 00:15 first of all I want to save the file that I have been working on.
- 00:19 When I click, save, it takes me right to my save as.
- 00:23 Now, the OneDrive account assumes you're signed in and
- 00:25 you want to save this file up to the Cloud.
- 00:27 This PC and Browse are basically the same area.
- 00:30 Add a place means you want to add another place besides the cloud.
- 00:34 So I'm gonna go ahead and click on this PC.
- 00:36 When I double click that, it asks me where, so
- 00:39 I'll go ahead and check off where I want to name it, put it.
- 00:42 And then I can put in a name beside it.
- 00:45 So I'm gonna call this my publication test, and save.
- 00:49 Now, it takes me right back to my publication,
- 00:51 nothing has changed except way up on the top, the title has changed right up here.
- 00:57 It put in the name that I typed plus it added a .pub
- 01:01 which means it's a Publisher file extension.
- 01:03 They'll always identify themselves so
- 01:05 when I open this up later it'll know to open the Publisher program.
- 01:09 Let's go right back to our final menu.
- 01:11 When I click on file, now if I click on open,
- 01:15 look what happens on my screen, it shows me Publication test and Publication1.
- 01:20 Well, Publication test is the one I currently have open,
- 01:23 but I'm going to be working on that for the next few videos, so I wanna lock this,
- 01:28 and I want to pin this right in place.
- 01:30 Now, please notice for a moment, when I move my mouse away, it doesn't show a pin,
- 01:35 but when I put my mouse back up here it allows me to click the pin and
- 01:38 actually pop it into place and now it marks it as a pinned file.
- 01:43 Basically that means you can have up to 50 documents on your
- 01:46 screen that will just cycle off the list.
- 01:48 But when you pin it, it will absolutely stay right there for you and
- 01:52 won't go away until you decide to unpin it from the list.
- 01:56 So, I do like mine pinned,
- 01:58 anything I'm actively working on I keep them pinned, just so you know that.
- 02:02 So we already did the save.
- 02:04 Sorry, I'll go ahead and click on file again and save as.
- 02:08 Now, save as simply means I want to save it, but as a new name, same file,
- 02:13 just a new name, so that's what the save as feature is for.
- 02:16 Then we have print, which is pretty self explanatory, I'm just going to print.
- 02:20 Now share means I want to email this, either the current page,
- 02:24 send as an attachment, or as a PDF.
- 02:26 And then we have export, export is a little more advanced.
- 02:30 Export wants me to tell it how to save this for
- 02:35 photo sharing or commercial printer or to another computer.
- 02:38 Close, of course, is absolutely gonna close the file for me.
- 02:42 I have account settings, so if I wanna sign in to my
- 02:45 OneDrive account I can do that right now, or I have options.
- 02:50 Now, on the options ribbon, this is where you can make some personal setting
- 02:54 changes, like the user name or the initials that are tagged to everything.
- 02:58 You can change your office theme color,
- 03:01 you can change any of these things in here.
- 03:02 But honestly, what I would advise is,
- 03:05 if you don't know what it is, just leave it alone.
- 03:08 Where you will be doing the Quick Access Toolbar customizing in our next video, but
- 03:13 right now basically these settings are just fine for a new user..
- 03:20 So alright, I hope that helps you, there's nothing we are going to change
