Quick Access Toolbar
The Quick Access Toolbar contains your most used and favorite tools, saving time in finding them in the ribbons.
When to use
Setting up the Quick Access Toolbar is a productive way to have your most-used tools ready from the beginning. Once it is set up, it stays in place and you will soon rely on the easy accessibility to all your favorite buttons.
Instructions
Customize the Quick Access Toolbar
- The Quick Access Toolbar is initially located above the File ribbon.
- Click the dropdown arrow on the right side of the Quick Access Toolbar and select Show Below the Ribbon.
- Add checkmarks to each of the first set of items as shown in the picture below.
- Click the drop down again and choose More Commands.
- Find Save As in the list and double-click it to add to the list of buttons on the right column.
- Rearrange the buttons by clicking the move-up and move-down arrows on the right side.
- Tip: As you find buttons on the ribbons that you’d like on the Quick Access Toolbar, just right-click the button and select Add to Quick Access Toolbar.

- 00:12 this to the best buttons that you choose, that you want to use on a regular basis.

- 00:20 When you click the dropdown arrow, go ahead and
- 00:22 put a check mark on anything on that list that doesn't already have a check mark.
- 00:26 And then we'll customize these and rearrange them.
- 00:29 I know it's a bit of a process in the beginning, but the good news is,
- 00:32 you only have to do this once.
- 00:34 Now, I want you to not go to More Commands right now,
- 00:37 but yes, go to Show Below the Ribbon.
- 00:39 So when I click this button, now it pops all those buttons,
- 00:42 plus now suddenly they have color on them.
- 00:45 But the point is, if you are looking for a button on your quick access and
- 00:49 you have to get your eyes past this crazy chaos of the ribbons,
- 00:52 you're never going to go up to the quick access toolbar.
- 00:54 So we move the quick access toolbar, your favorite buttons,
- 00:57 in the order you want them, right next to your working area, okay.
- 01:01 So not as much travel time with the mouse to get to your buttons.
- 01:05 Now we're going to rearrange this.
- 01:06 So hit the drop-down arrow at the end of it and go ahead and
- 01:09 click the option that says More Commands.
- 01:12 When we're in here, basically what's going to happen is,
- 01:15 everything on the left are buttons you can add to your list on the right hand side.
- 01:20 Now the list on the right hand side can be arranged by simply clicking single click.
- 01:24 If you double click, they leave, and you gotta go find them again.
- 01:27 So a single click to bookmark it, and now I'm going to hit the up, up,
- 01:30 up to move it to the top.
- 01:32 Now, I have a particular order I like my buttons in, and
- 01:35 you do not have to do this, this is about my preference, and
- 01:38 you can do the same with you preference on your end.
- 01:42 But I do like my New, I like my Open, I want the one that says Close.
- 01:46 I would like to be able to close a file as well without having to go to File >
- 01:49 Close every time.
- 01:50 I just want to hit one button.
- 01:51 Well, notice on the left hand side, it's not there, and these are alphabetical.
- 01:55 So notice at the top it says Popular Commands, hit that dropdown arrow and
- 02:00 choose All Commands.
- 02:02 When we click All Commands, the list got very long, and
- 02:06 now you can basically just type your way to that option.
- 02:09 I should find Close File.
- 02:11 Now watch, I can double click or I can single click and hit Add.
- 02:14 Doesn't matter to me how you get it over there, just get that thing over there.
- 02:18 Notice now, I have New File, Open, Close.
- 02:21 On all my Microsoft programs, the first five buttons match.
- 02:24 So it's just very, becomes a habit with me, and no matter what program I'm using,
- 02:29 I know what my first five buttons on my Quick Access bar are.
- 02:31 Then we have Save, now I'm looking for Save As.
- 02:34 So I'm bookmarking Save on the right, activating on the left,
- 02:37 typing save to take me down to my Save As and double click, click click.
- 02:42 There it is.
- 02:43 So New, Open, Close, Save, Save as.
- 02:46 Then I have my Undo, Redo, my Quick Print, Spelling, Touch/Mouse Mode.
- 02:50 There are a couple of buttons I do want to add, hit OK at the very bottom of this,
- 02:54 and we're going to go back out and
- 02:56 we're going to create some buttons on the fly, right?
- 02:59 So notice, on our Home ribbon, we have our Font Style and Font Size.
- 03:03 I want those on my Quick Access bar.
- 03:04 Now, be careful, if you right-click on the word, you only get typing options,
- 03:08 because the cursor is a I-beam, which is a text cursor, so
- 03:12 I get text options with the right-click.
- 03:15 So I want the drop down arrow, which, my cursor is an arrow, so
- 03:19 when I right-click, I get computer options.
- 03:22 And read the list, the very top one says Add to Quick Access Toolbar.
- 03:25 Click, and now I have my font style on my Quick Access Toolbar.
- 03:29 Please do the same thing to the font size.
- 03:31 Right click, Add to Quick Access, and
- 03:33 you're going to be thinking, why in the world is she wasting time doing that?
- 03:36 Because what if I'm not on my Home ribbon?
- 03:38 I'm on the Page Design or Mailings, and I need to know right now,
- 03:41 what font style and size am I using?
- 03:43 Well, I've added them to my Quick Access, so instant visual feedback.
- 03:48 Calibri 10.
- 03:50 Instead of me having to go to the Home ribbon to read Calibri, size 10,
- 03:54 see, I'm just eased up my whole life.
- 03:57 Few less clicks.
- 03:58 As you find buttons that you like, you can add them on the fly.
- 04:01 Simply find button, right click, Add to Quick Access,
- 04:04 right-click, Add to Quick Access.
- 04:06 You can put any button you want on there.
- 04:08 What if you want it gone?
- 04:10 Right-click, Remove from Quick Access, right-click, Remove from Quick Access.
- 04:14 What if you want to rearrange them?
- 04:16 Hit the drop down arrow, More Commands, and now you can click in here and
- 04:20 you can rearrange whatever you want.
- 04:23 It's all up to you, you have total power over this.
- 04:26 As we go through these lessons, we'll be adding more buttons on the fly,
- 04:29 maybe removing some, maybe rearranging them.
