Identify Parts of Pre Made Template
Knowing the parts of a publication document is vital to begin building one from scratch.
When to use
Every time you use Publisher, you will begin to quickly recognize the parts and elements by first viewing this lesson.
Instructions:
Begin by opening the corresponding Exercise File with this lesson, or go to File, New and find the “Business Newsletter” called Trader News.
The “File Ribbon” , New has many pre-made publications available and free for your personal or business use.
Text Boxes
- When you click on the headline “Trader News”, notice 2 new ribbons appear. These identify the headline as a Text Box and provide new tools for formatting.
- Click onto the black bar, near the date on the right side. Notice the handles don’t wrap around the full bar. It is basically 2 bars side-by-side. The clue is the handles on the shape:

- Click the picture of the office chair at the bottom of page 1 and notice the new ribbon:

Design Tips:
- Looking for a color theme? Identify a prominent color in a photo (used in your publication) and bring that color into Fonts or Fill colors of text boxes.
- Avoid “Boxing In” the sections. It blocks the visual gaze of the reader.
- Add a “Pull Quote” to catch your readers’ attention on an interesting point of text. A Pull Quote is simply a text box with larger font that highlights a small statement of text within the newsletter.
Computer Tips:
- “Ctrl + Scroll” is faster than pointing to the bottom right zoom controls. Zoom in or out quickly by holding down CTRL and scroll with your mouse wheel.
- To un-do anything, simply press “Ctrl + Z”, or click the un-do button on the Quick Access bar:

- 00:14 I'm gonna go ahead and close this particular one, takes me right to my new,
- 00:19 and right over here I have Trader News, a pre-built business news letter.
- 00:23 When I click that, I'll go ahead and click Create, and
- 00:25 then the newsletter shows up on my screen.
- 00:28 Notice they chose the green inside the picture, and they followed that pattern
- 00:33 of green text throughout the newsletter, gives it a very professional appeal.
- 00:37 On the left hand side, we have the page two and three, side by side.
- 00:41 When I click it, they show up right here, side by side.
- 00:43 Again, they took this green flow from the pictures and
- 00:47 they kept it throughout the newsletter.
- 00:49 Excellent, excellent design secret their.
- 00:52 All right, I'm gonna go back to the first one.
- 00:54 The very first page and we're going to start to decipher this.
- 00:57 I'm gonna zoom in first of all, I can use the zoom control down here on the right or
- 01:01 I can hold down Ctrl and scroll up with the wheel on my mouse to zoom on the fly.
- 01:05 Let's go ahead and start deciphering this.
- 01:08 I want you to take a look up at the ribbons.
- 01:10 We have our File, Home, all the way to our View, but no other ones.
- 01:14 But watch what happens when I click on this headline.
- 01:17 So I'll click on the headline.
- 01:19 And two brand new ribbons show up.
- 01:21 A Drawing Tools and a Text Box Tools.
- 01:24 Text Box Tools only show up when there is a text box.
- 01:27 If you were to click on the Text Box Tools, here you have all formatting for
- 01:32 the actual text within the box,the drawing tools the actual format the box
- 01:38 that's continuing the text.
- 01:40 Here I have this drop down arrow you can still see the headline in the background.
- 01:44 But as float my mouse through, it's going to apply these changes.
- 01:48 I'm not clicking, I'm just floating my mouse.
- 01:50 So I would never box in a headline, I would never box in text.
- 01:54 As much as possible,
- 01:55 I would avoid boxing text because it stops the, the flow of the gaze of the user.
- 02:01 All right, so we've determined that this is a text box.
- 02:03 Now I have this little black banner underneath.
- 02:05 It looks like one long, black strip to me.
- 02:09 Again I'm going to control, wheel up with my mouse to zoom in.
- 02:13 But when float my mouse and click, I get handles in a rectangle shape.
- 02:18 When I click on this side I get a smaller rectangle shape, hm.
- 02:22 When I take a glance up at the top it says Text Box Tools, Drawing Tools.
- 02:26 These are two text boxes side-by-side, let's prove it.
- 02:29 I'm gonna actually click and drag the left one down just to see what happens.
- 02:34 Sure enough, it breaks.
- 02:35 It breaks the flow.
- 02:37 So that's all they did,
- 02:38 was put two rectangles side by side to create one long black bar.
- 02:43 Excellent, excellent idea.
- 02:44 All right, let's go ahead and scroll down.
- 02:46 Now I have this.
- 02:47 It looks like they pulled a quote out of the context of the newsletter.
- 02:51 That is called a pull quote.
- 02:53 So when I click on that, look what happens up on top.
- 02:56 Text box tools, drawing tools, again, just another text box.
- 02:59 All they did here was actually change the font to green.
- 03:04 I'll go ahead and scroll down some more and we have what appears to be a picture.
- 03:08 Let's go ahead and click on it and see what happens on the ribbons.
- 03:11 Click on the picture.
- 03:12 Sure enough, look right there.
- 03:14 Picture tools.
- 03:15 And now I could actually click on the picture tools format and go through,
- 03:18 and I could recolor the picture, I could change styles,
- 03:21 I could put shadowing on this picture, I could crop the picture.
- 03:25 You could even resize the picture.
- 03:28 I wonder what is sitting right beside it?
- 03:30 I'm guessing it's a text box.
- 03:32 When I click it, what happens with my ribbons?
- 03:35 Sure enough, Text Box Tools, Drawing Tools.
- 03:37 Are you seeing the pattern of what's happening here?
- 03:40 All's you have to do is click and
- 03:42 pay attention to the ribbons of what's happening up on top.
- 03:46 And you're going to be able to figure out how previous templates were built.
- 03:50 You don't have to reinvent the wheel, just take one that's already built and
- 03:54 learn from it.
