Quick reference
Page Design - Header Footer
Headers and Footers are located in the margin areas at the top and bottom of a page.
When to use
When you need to add page numbers or logos that will appear on every page of a publication, use the Header / Footer tools.
Instructions:
Insert Ribbon:
Header/Footer: A text box appears at the top edge and the background turns yellow:
You also have a new ribbon called “Master Page”
The Master Page is the background layer of the publication layout that contains the header/footer, page numbers, margins, etc. If you had text on your publication, it will appear to be gone on the Master Page view. Don’t panic! It is still there, just click “Close Master Page”.
While the Header section is open, and Master Page ribbon is open, you can place a company logo into the header.
Click the Insert Ribbon: Click Pictures
Find a picture or use the one included in the lesson files.
Click back into the Header section (so you have to click off of the picture and into the background area), then switch to the Footer section:
Insert a Page Number into the Footer section:
Insert the current Date and Time into the Footer section:
To view the results of your Header/Footer along with the original text, Close the Master Page:
Add a second page to make sure the Header/Footer repeat properly:

Click Page, Insert Blank Page
- 00:05 In this lesson we're gonna move into an advanced area called the headers,
- 00:08 the footers, and the page numbers.
- 00:10 On my screen you'll see the Insert ribbon.
- 00:12 I have some text on a document and right over here is the header and footer.
- 00:17 Now mine looks small because for recording purposes,
- 00:20 I had to shrink my screen a little.
- 00:22 But your screen, if it's maximized, might look like this.
- 00:25 Header, footer, page number right there on the ribbon.
- 00:27 When I hit my dropdown arrow, I do have those three options.
- 00:31 Now notice, a couple of things are going to happen when I click header.
- 00:34 First of all it gives me a description right down here of what it is,
- 00:37 but I'll go ahead and click it so you can see.
- 00:40 The text that was on my screen a minute ago has vanished and
- 00:44 on the upper part instead of being gray it's yellow.
- 00:47 Also take a look at the ribbons.
- 00:49 Right up on top I now have what's called a Master Page ribbon.
- 00:52 Now, Master Page is simply the invisible background layout that contains
- 00:57 the header, the footer, the page numbers, the margin guides, all of that stuff.
- 01:00 The Master Page does not contain text unless you want that text repeated on
- 01:04 every single page.
- 01:06 Well in this case, I do.
- 01:07 I'm going to put text into this header so it's repeated on every single page.
- 01:11 In fact, I'm going to put my company logo there.
- 01:14 So, already clicked into my header.
- 01:17 I'm gonna click on my insert ribbon and choose picture.
- 01:20 In here, I already have my company logo ready.
- 01:23 And I'll go ahead and click that and it ends up right here.
- 01:25 Notice, over on the left-hand side, all my main text is gone, this
- 01:30 is just background layer text, master page text, and there's my logo right up on top.
- 01:36 Now I'm gonna switch back to my header, notice my ribbon says Picture Tools,
- 01:40 because I've got handles on my picture.
- 01:42 So it's giving me picture tools, but I'm gonna click in the background.
- 01:45 And you'll see suddenly I am back to my Master Page ribbon.
- 01:48 I have my header text box showing up.
- 01:50 And I wanna switch to my footer.
- 01:52 So I'll click on this Show Header/Footer, and it's going to flip me directly
- 01:56 to the bottom and show me my footer, which again, is a text box.
- 01:59 Now, I'd like to insert page numbers, so I'm gonna hit the Page Number button,
- 02:04 which puts a little hashtag or number symbol.
- 02:08 And I'm gonna say of 2.
- 02:10 So # of 2.
- 02:12 It will fill in the appropriate number on that number sign.
- 02:15 When I hit Tab, it sends me to the center of my footer, and
- 02:18 Tab again sends me to the right-hand side.
- 02:21 I'll go ahead and click Insert Date, and
- 02:24 I'll press comma + spacebar, and insert time.
- 02:28 So I have today's date and time.
- 02:30 Every time this document opens up it will refresh the date and time.
- 02:34 Okay.
- 02:34 So at this point, I'm done with this.
- 02:36 I'll go ahead and close master page and
- 02:38 you will see all my text come right back on the screen.
- 02:42 But now I've got a header and a footer at the bottom.
- 02:45 So let me go ahead and scroll down.
- 02:47 Okay.
- 02:47 There you go, I zoomed down.
- 02:49 I'm going to go ahead and add a second page.
- 02:51 So click on Insert > Page.
- 02:54 And look what happens on my navigation pane.
- 02:57 There's page 2.
- 02:58 I have the header and I have the footer.
- 03:01 Okay, so that is basically how you use the header footer.
- 03:04 It repeats base information.
- 03:06 It affects the background of layout, not the actual text that you put on top,
- 03:10 just the background layout.
- 03:12 It's worth mastering this are cuz it's very valuable.
- 03:16 Thank you.
