Page Design - Header Footer
Headers and Footers are located in the margin areas at the top and bottom of a page.
When to use
When you need to add page numbers or logos that will appear on every page of a publication, use the Header / Footer tools.
Instructions
- Insert Ribbon.
- Header/Footer: a text box appears at the top edge and the background turns yellow.
- You also have a new ribbon called Master Page.
The Master Page is the background layer of the publication layout that contains the header/footer, page numbers, margins, etc. If you had text on your publication, it will appear to be gone on the Master Page view. Don’t panic! It is still there, just click Close Master Page.
While the Header section is open, and Master Page ribbon is open, you can place a company logo into the header.
- Click the Insert Ribbon.
- Click Pictures.
- Find a picture or use the one included in the lesson files.
- Click back into the Header section (so you have to click off of the picture and into the background area), then switch to the Footer section.
- Insert a Page Number into the Footer section.
- Insert the current Date and Time into the Footer section.
- To view the results of your Header/Footer along with the original text, Close the Master Page:
Add a second page to make sure the Header/Footer repeat properly
- Insert Ribbon.
- Click Page, Insert Blank Page.

- 00:07 Now if you're working on headers and footers, this is an advanced level.
- 00:11 That means you're working on a project and
- 00:12 it matters that you identify certain things on every single page.
- 00:16 Now on the Insert ribbon, way over on the right-hand side, there's a section that
- 00:19 says Header, Footer, Page Number and, of course, it's labeled Headers & Footers.
- 00:23 Now I'm going to go ahead and click on Header.
- 00:25 Take a look at the left-hand side, first of all my page navigation pane, and
- 00:29 the screen in front of us.
- 00:31 As soon as I click Header, things are going to change.
- 00:33 Click, there we go.
- 00:34 A lot changed.
- 00:36 On my page navigation, I have a blank page.
- 00:38 Now I'm dealing with the background of the newsletter.
- 00:41 I'm not dealing with the text boxes or pictures anymore, just the background.
- 00:45 Notice also, I have a brand new ribbon called Master Page.
- 00:48 It's not called the header and
- 00:49 footer ribbon, it's called the Master Page ribbon.
- 00:52 There's another place we can go get the same ribbon and
- 00:56 I need to show it to you because it becomes your personal preference.
- 00:58 So I'm going to go ahead and close Master Page to get back to my main newsletter.
- 01:04 And on the Page Design ribbon, so
- 01:06 this entire lesson is all about the Page Design ribbon.
- 01:09 Take a look right over here on the far right-hand side, Master Pages.
- 01:13 So when I click that, I have the option to Edit Master Page and
- 01:17 the tooltip comes up and says Ctrl+M.
- 01:19 So if there's something your going into a lot,
- 01:21 that might be something you would like to memorize.
- 01:23 Personally, I rarely go on to my Edit Master Pages, but
- 01:26 it's important that you know about it.
- 01:28 I'm going to go ahead and click Edit Master Pages, and
- 01:30 please notice the same exact thing as when I went to Insert Header.
- 01:35 All right, let's go ahead and work in here.
- 01:37 We can add a second Master Page.
- 01:39 We can make it a Two Page Master.
- 01:41 But whatever we do in here,
- 01:42 we must Apply To All pages, just a Current, or Apply Master Page.
- 01:47 So if I put something on one page, like a logo, and it doesn't show up on
- 01:51 the other pages, it's because I failed to click this button, Apply To Master Pages.
- 01:55 I can Duplicate this, I can Rename this.
- 01:58 Let's see, I want to Show Header/Footer.
- 02:00 This is why I came in here.
- 02:02 Notice, the Show Header/Footer,
- 02:04 the three buttons next to it are grayed out, because I'm not showing them, click.
- 02:08 As soon as I click that,
- 02:09 activate it, now I've got my Insert Page Number, Date, Time.
- 02:13 All right, so my Insert Page Number, actually,
- 02:15 I'm going to start by inserting a picture into my Header.
- 02:19 I want my company logo to show up on every single page of
- 02:22 this newsletter in the exact same spot.
- 02:25 No one can mess with it or move it around afterwards.
- 02:28 Well, even though I'm in Master Page, I still have access to my other ribbons.
- 02:32 So I'm going to click on my Insert ribbon > Pictures.
- 02:35 I'm going to grab my company logo, and insert that.
- 02:38 There we go.
- 02:39 Now it landed in the middle of my screen.
- 02:42 I want it to be at the very top, tip top of my entire newsletter, way up here.
- 02:47 And it doesn't even matter that it isn't in this dashed box of the header.
- 02:51 It doesn't matter, as long as it's on the master,
- 02:54 it's going to show up on every page, as long as I tell it to Apply To All Pages.
- 02:59 Click, I just told that logo to apply to all pages.
- 03:03 Here we go. Let's keep going.
- 03:04 On the header.
- 03:05 On the, let's see, right-hand side.
- 03:08 Let's say, I want to go to the footer.
- 03:10 I'm going to Show Header/Footer.
- 03:12 Go to the footer.
- 03:12 See, I can just click that back and forth, go header, go to footer.
- 03:16 All right, I'm going to put in page numbers.
- 03:17 So first I'm going to type Page # Space bar.
- 03:22 All right, that's something I typed in, I want it to show up on every single page.
- 03:25 Now I'm going to insert a page number field.
- 03:28 Click, and now it put in another, I don't know if you can see it.
- 03:31 It put another pound sign.
- 03:33 I typed the first one, but
- 03:34 this little pound sign that showed up will appear as a number in the newsletter.
- 03:38 It's called a field.
- 03:39 That's the code they use for their page number field.
- 03:42 That's fine with me.
- 03:43 Let's make sure we apply it to all pages.
- 03:47 All right, at this point, I'm not going to put the date and time.
- 03:50 I'm just going to close my master page, just to see what happens.
- 03:53 When we come back out, I'm looking for
- 03:55 this logo at the top and the page number at the bottom.
- 03:57 And it's actually, I'm getting fussy and
- 04:00 I'm going to actually move that a little lower.
- 04:02 Here we go.
- 04:03 Close the page.
- 04:04 When I click on page two, and let's show whole page.
- 04:08 Look, see, I've got my company logo at the top, page numbers at the bottom.
- 04:12 Hm, personally I should have probably put those page numbers on the right-hand side,
- 04:15 doesn't matter to me right now.
- 04:17 All right, as you can see that is great.
- 04:19 That is how you use your headers and footers via the master pages.
