Page Design Ribbon - a
Change a Template design, adjust Margins and work with Layout Guides in just a few easy clicks.
When to use
Knowing these simple but important tools will help you customize your publication every time you are in Publisher.
Instructions
Begin by opening the corresponding Exercise File with this lesson, or to go File, New and find the Newsletter (Soft Blue design).
Make sure the Page Navigation pane is open.
- Click the View Ribbon.
- Click the Page Design ribbon.
Change Template
You can change the template layout at any time while preserving all text boxes and pictures.
Simply select “Change Template” and choose a new template design from the gallery.
Page Setup
Margins: Adjust the margins to create enough space between the publication text and the edge of the paper.
Orientation: Adjust the paper direction to print either Portrait or Landscape.
Size: Adjust your paper size or create your own.
Layout Guides help you align text boxes and pictures by displaying (non-printable) blue guides on the screen.
- 00:04 Okay, continuing the lesson, and we are on the Page Design ribbon.
- 00:08 And we're going to focus on the Template, the Page Setup, and
- 00:11 the Layout guides in this particular lesson.
- 00:14 First of all, maybe you're in charge of a newsletter that has to be done on
- 00:17 a monthly basis, and they like it to look different every time.
- 00:20 Well, to have to copy over the logo to the new template could be a bit of a hassle.
- 00:25 So the great way to do that is to simply change your template every month.
- 00:29 So leave everything in place.
- 00:31 All your text boxes can stay in place.
- 00:33 Your master page stays in place.
- 00:35 You just hit the Change Template.
- 00:37 You come right into this brand new dialog box, and on the Home button at the top,
- 00:42 the little Home, you can scroll down to Newsletters.
- 00:45 When I double-click on Newsletter, now I can come in here and
- 00:49 choose any format I want.
- 00:51 I'll go ahead and choose this one.
- 00:53 And let me scroll up so we can see it, there we go.
- 00:57 I'm going to go and hit the OK button.
- 00:59 It's going to ask me, apply the template to the current publication?
- 01:02 Yes, or create a brand new publication using my text and graphics.
- 01:06 I'm going to go ahead and hit OK to this, and
- 01:07 you're going to see everything change on the left-hand side of my screen, click.
- 01:11 When I click OK, it just changed up everything, the entire design.
- 01:16 But do I have the important points that I needed to keep?
- 01:19 Do I have all my original pictures?
- 01:22 Yes, they are in there.
- 01:23 Do I have my headers and footers?
- 01:25 Yes, they are in there.
- 01:26 I seem to have lost my logo.
- 01:27 All right, that's an easy fix to put that one back, but
- 01:31 I'm willing to make that sacrifice.
- 01:33 Okay, at this point, let's go ahead and move on with our Page Design.
- 01:37 Let's take a look at Margins.
- 01:38 Here's a reality about the Page Setup section,
- 01:41 you're always going to be in here.
- 01:43 When you're in advanced level working on technical parts of a newsletter,
- 01:46 you're going to come in and check your margins.
- 01:48 You might have to change them.
- 01:50 You can customize your margins as well.
- 01:52 You're going to be looking at your Orientation, Portrait or Landscape.
- 01:55 Landscape means your paper looks like it's sideways, horizontal, and
- 01:59 Portrait is vertical paper.
- 02:01 So it just depends on your paper size.
- 02:03 Let me show you the next one, paper size, here.
- 02:05 Current is 8 and a half by 11.
- 02:07 Then we have the A measurement papers, which means the Asia papers.
- 02:12 We have the B papers.
- 02:13 And then we have in America, the Legal, Letter, Letter Booklet, Tabloid.
- 02:18 Tabloid is where you're going to change your orientation to landscape.
- 02:22 So it prints out sideways, so that you can fold the thing in half and
- 02:26 you have a nice little flyer too, a newspaper flyer.
- 02:29 You can create your new paper size simply by getting out a ruler,
- 02:33 measuring your paper, and entering the measurements right in here, all right?
- 02:36 So you can do a lot with paper size.
- 02:38 Now Guides, Guides are the technical way you're going to line up your objects,
- 02:43 your pictures, your text boxes on the screen.
- 02:45 And you just choose which guide layout you want to use.
- 02:49 Now, I'm going to go for this grid right here, 7 by 5 grid.
- 02:51 When I click that, I basically have five columns and seven rows of grids.
- 02:57 Now I can tell this to align my objects to the guide,
- 03:00 or align objects to other objects.
- 03:03 I think I want both of the options to be checkmarked.
- 03:05 So at this point, I can click on anything right here.
- 03:09 And can you see it happen?
- 03:10 I want you to take a look at these green lines.
- 03:13 As I click and move this picture around,
- 03:15 when I come up to a guide, they turn a darker color.
- 03:19 See the dark green happening when I'm coming up to it?
- 03:23 That's because it's snapping to the guide.
- 03:25 And it's just brightening up to let me know that I'm hitting a guide.
- 03:29 That's why we align to guides, or we align to other objects as well.
- 03:33 When I click and drag and move this thing around, the other object might show up.
- 03:37 There was a pink line there.
- 03:38 I don't know if you can see it.
- 03:40 I'm hoping you can.
- 03:41 As I click and drag, check out the pink line at the top of this thing,
- 03:45 because it's, yep, the pink lines are telling me it's aligning to other objects.
- 03:50 And then the dark green and dark blue lines, it's aligning to the guide.
- 03:54 It gets really technical.
- 03:55 You get your eyeballs focused on there and you'll see it all happen.
- 03:59 Well, after having them lined up, I want these guys gone.
- 04:01 I don't want them in it.
- 04:02 They look too cluttered on my screen.
- 04:04 I want them gone.
- 04:05 So I'm going to click on the drop down arrow and have this option here,
- 04:08 No Ruler Guides.
- 04:09 Click, turn those off.
- 04:10 I'm still left with one outline guide.
- 04:13 It's called a margin guide.
- 04:14 For that one, I need to go to my View ribbon and turn off Guides.
- 04:18 Now watch the outer guide on the screen, it's about to disappear.
- 04:22 Click, gone.
- 04:23 Now I have a nice, clean screen.
- 04:25 It just helps you see what the end layout is going to look like.
