The final production decisions are made on the File ribbon.
When to use
Every time you start and finish a publication, the File ribbon options are put to use.
Instructions
Begin by opening the corresponding Exercise File with this lesson, or to go File, New and find the Business Newsletter called Trader News.
Follow along with the video for an introduction to the Publisher Home ribbon. This includes:
- File, Open
Remember to pin your most current projects by clicking the push-pin to the right of the file name.
- File, Save As
Saving a publication will default save as a .Pub file type. But you have options to Save As other file types by click Browse, then Save As Type.
- File, Print
Print to your favorite printer and examine the options available. To print as a folded newsletter, change settings to Booklet, side-fold and have the right paper size ready for your printer.
- File, Export
Export to a commercial printer or to a cloud storage for download by a 3rd party.

- 00:06 We're going to talk about how to open, save, print and export, and
- 00:09 it seems self-explanatory but there are some advanced features in here.
- 00:13 So it all happens on the file ribbon.
- 00:16 So when I click on File, well, here's my Open, and my Save, and my Print, and
- 00:20 my Export.
- 00:21 So let's go ahead and start with Open.
- 00:22 When you click Open, it shows you the most recent files you used.
- 00:26 And of course,
- 00:27 if you'll take a look on the right-hand side there's a little pushpin.
- 00:30 So if this is something you're using a lot, you might want to pin it to the top.
- 00:33 I'll go ahead and click that pushpin and there it is.
- 00:36 It just stuck itself to the very top.
- 00:38 So now it'll chronologically fall off the list.
- 00:41 Notice also they gave us our folders back, so
- 00:44 we can also pushpin our folders to the top.
- 00:46 So that if there's a folder you're constantly going for, you can jump in and
- 00:50 get your folders, or your certain publications,
- 00:52 both are able to be pushpinned.
- 00:54 All right, well, mine is already open, so I want to go ahead and save this as.
- 00:58 So when I save as, now I can tell it to save as a different file type.
- 01:03 So I can save it off to the OneDrive to this PC,
- 01:06 add another place like another network drive or choose Browse.
- 01:10 And when I click Browse, this is where you get to see your Save As Type.
- 01:14 Now, under Save As Type,
- 01:16 you can only save to whatever file types are available on this list.
- 01:20 Notice, Excel is not on this list.
- 01:23 You're never going to take a Publisher file and make it into Excel.
- 01:26 But look at this one, you can take a Publisher file and
- 01:28 make it into a Word document.
- 01:30 You can save it as a PDF, which means anyone can open and see it.
- 01:34 You can save a Publisher file as a picture, a GIF, a JPG, a TIFF, or a PNG.
- 01:38 It's kind of a nice little trick, actually, to do that.
- 01:41 So just so you know, Save As gives you the different file types.
- 01:45 All right, I'm going to hit Cancel on that.
- 01:47 So, how about print.
- 01:48 What can we do with print?
- 01:49 My goodness, this is the greatest thing.
- 01:51 First of all, print has your page setup options in here as well, but
- 01:55 there's a lot of stuff in the background that I need to draw your attention to.
- 01:58 First of all, it is choosing my PDF printer, which is fine and
- 02:01 I love that it comes on board with a PDF printer.
- 02:04 And, maybe my own printer is here as well.
- 02:06 I can send that to my own printer.
- 02:08 I can add a printer or print to a file but regardless,
- 02:11 I'm going to leave it right here.
- 02:12 And notice, it's giving me my page size here, 8.5 by 11.
- 02:17 Well, take a look right down here I've got page 1 of 6, so
- 02:20 I can hit the arrows and check out each page.
- 02:24 But notice that we've got some buttons down below.
- 02:26 I can zoom in to get a closer look, I can hit this Fit to Sheet button,
- 02:31 or this button here says View Multiple Sheets.
- 02:34 So I'll click that, and I want to tell it I want to see four sheets at once, let go.
- 02:39 There we go, I can see four sheets at once.
- 02:41 Well, let's take this a step further.
- 02:43 If I want to print all pages or just certain pages, instead of just one page
- 02:48 per sheet, I want to get this as more of a tabloid print, kind of a newspaper fold.
- 02:52 So I'm going to click on the one page per sheet and read the list, Tiled,
- 02:57 Multiple, or Booklet side-fold.
- 02:59 So I'm going to go with booklet side fold and watch what happens on the preview.
- 03:04 And notice the sizes,
- 03:07 the paper size just changed to tablet, I didn't tell it to do that.
- 03:10 Check it out over here, it did that automatically.
- 03:13 And now, also notice when I click on this particular one,
- 03:17 let me see if I can scroll down here to see this,
- 03:20 it's telling me the page numbers, we have page 1 of 3, page 2 of 3.
- 03:25 My goodness, let me see, every time I click on that, it's expanding it, so
- 03:29 I gotta be careful with my clicks.
- 03:31 But regardless, it knows that this is page 1, and this is page 6.
- 03:36 So if this was a newspaper print, and I folded this in half,
- 03:40 page 1 would be on the front cover and page 6 would be on the back cover, and
- 03:44 then the rest of the internal ones would print on other pages.
- 03:47 So it's smarter than we are, just let it do its job.
- 03:50 Well, I don't want that at all, I want to switch that back to single-page print.
- 03:54 So one page per sheet, but notice it didn't switch it back to my letter size.
- 03:59 I've got to hit that Tabloid and go back to my 8.5 by 11 letter size.
- 04:03 And there we go, all fixed.
- 04:04 All right, the last item is the Export.
- 04:07 If you're going to export this, maybe out to the Internet,
- 04:09 maybe you want to change your file type.
- 04:11 Maybe you're going to save this for photo printing or
- 04:13 send it to a commercial printer.
- 04:15 Basically, whatever you're doing, if you're doing something fancy like going to
- 04:18 commercial printer, you're going to make a phone call to that company and say,
- 04:21 what format would you like this in?
- 04:24 And they will probably tell you, hit the save for commercial printer, go ahead and
- 04:28 make the adjustments here for high quality printing and whatever,
- 04:33 they will direct you.
- 04:35 Also this Pack and Go Wizard is a holdover from a previous publisher version, but
- 04:39 it still works great, and you might have to go ahead and click that.
- 04:42 But honestly if you're sending a file to a commercial printer, they will guide you,
- 04:47 just rely on them, they're experts at this.
- 04:49 Well, that's it for now. Please get in there and
