Ribbon - FILE, Save-Print-Export
The final production decisions are made on the FILE ribbon.
When to use
Every time you start and finish a publication, the FILE ribbon options are put to use.
Instructions
Begin by opening the corresponding Exercise File with this lesson, or to go File, New and find the “Business Newsletter” called Trader News.
Follow along with the video for an introduction to the Publisher HOME ribbon. This includes:
- FILE, Open
Remember to pin your most current projects by clicking the push-pin to the right of the file name.
- FILE, Save As
Saving a publication will default save as a .Pub file type. But you have options to Save As other file types by click “Browse”, then Save As Type:
- FILE, Print
Print to your favorite printer and examine the options available. To print as a folded newsletter, change settings to “Booklet, side-fold” and have the right paper size ready for your printer.
- FILE, Export
Export to a commercial printer or to a cloud storage for download by a 3rd party.

- 00:10 All right. It all happens on the File menu.
- 00:12 When I click on File, here we have, Open, Save, Print and Export, right there.
- 00:16 So let's go ahead and start with Open.
- 00:19 I'm gonna go ahead and open the trader news which I've been working on and
- 00:22 I've got it pinned to the top.
- 00:23 If you wanna pin these, you just hit the little push pins on the side.
- 00:26 Okay, when that opens up I'll move that right into my view for the video.
- 00:31 There we go.
- 00:32 And okay, so that opened up just fine that was easy enough to do but
- 00:36 now I wanna save it as a different file type.
- 00:39 Now if I just wanna save it I'll hit save.
- 00:41 Maybe I made some changes, but save as allows me to put it into a different
- 00:45 folder or when I hit Browse it allows me to save as a different file type.
- 00:50 Let me move that over just a little bit.
- 00:52 Now, it defaults to publisher files because I'm in the publisher program.
- 00:56 But notice when I hit the Save as type, all of these come up.
- 00:59 So I could save it as PDF, or as plain text, or as a web page, or
- 01:02 as a Word document, or as a picture file, a GIF, a JPEG, a TIFF, or a PNG.
- 01:09 If it's on this list, you have that option.
- 01:12 If it's not on the list, you don't have the option.
- 01:13 Like an Excel file, not on the list, you don't have the option.
- 01:17 All right, in this case, I'm gonna hit Cancel.
- 01:19 I don't really wanna save something else.
- 01:20 I just wanted to show you those options.
- 01:23 Let's talk about printing.
- 01:24 If I go to, right over here,
- 01:25 to print, it's going to give you a few options, okay?
- 01:29 First of all, I do have the Print button.
- 01:31 I have the printer, which printer do you wanna print to.
- 01:34 It's defaulting to PDF, which is fine.
- 01:36 Print All Pages, or just a certain page, One page per sheet, Letter size,
- 01:41 Print One Sided.
- 01:42 It shows me the letter size, 8.5 by 11.
- 01:45 I could actually go to page 2, go to page 3.
- 01:49 I could actually zoom control right down here.
- 01:52 Here I have a button that says Fit to Sheet, and right over here it says
- 01:55 View Multiple Pages, and I'll tell it I wanna view all four pages.
- 01:59 And there they are.
- 02:00 All four pages would print on a single sheet.
- 02:03 And if I was printing here in my home office, then I would staple them together.
- 02:07 All right, so let's make a change.
- 02:10 Instead of one page per sheet, I gonna hit this.
- 02:12 I wanna tell it Booklet side fold, watch the screen view that happens.
- 02:17 It immediately is going to change my paper from 8-1/2 x 11 to 11 x 17.
- 02:23 That's a tabloid size.
- 02:25 Notice it's got page 1 here, page 4 here, cuz if I print and
- 02:29 fold it in half, this is gonna be the cover, this is gonna be the back cover.
- 02:32 It is smarter than we are.
- 02:34 Let it do the work for you if that is your ultimate goal.
- 02:38 And of course page 23 with print on inside.
- 02:40 What would if I change my mind?
- 02:42 I don’t wanna print tablet at all, all right, let’s just put it back.
- 02:46 Instead of book fold, I'm gonna go one page per sheet.
- 02:48 Although it remembers a paper size tabloid, so I've got to change my paper
- 02:53 size, click this back to my letter and there tall back to normal.
- 02:57 Four pages would print perfectly.
- 02:59 All right, so, that's a trick to printing,
- 03:01 just know that you have your options and look through your options.
- 03:06 All right. Let's go ahead and export.
- 03:07 So if I put my export over here, again, on the fail menu, hit Export,
- 03:12 because maybe I don't wanna print, I want to send it to a commercial printer.
- 03:16 Look it here, you have an option, save for a commercial printer, save for
- 03:19 another computer, save for photo printing.
- 03:21 Change file type, publish to HTML, which would be the webpage.
- 03:25 You have all of these options.
- 03:27 I'm gonna go ahead and hit Save for a Commercial Printer just so you can see.
- 03:30 And look, it gives you even more options, both PDF and
- 03:34 Publisher files, Pack and Go Wizard.
- 03:36 This is a holdover from a previous version, but it still works just fine.
- 03:41 I'll go ahead and click the commercial press.
- 03:43 And it gives me more options.
- 03:45 High quality printer, standard printing, minimum size printing.
- 03:49 Remember you've now got to email this or save it to a USB drive or
- 03:54 upload it to the cloud so that your commercial printer can download it.
- 04:00 So you're gonna just probably make a phone call to your commercial printer and
- 04:04 ask them how do you want this sent to you?
- 04:07 They will tell you the options and you will choose it from here on.
- 04:10 Just read through your options,
- 04:12 communicate with the ultimate printer, your commercial printer.
- 04:17 And make the settings accordingly.
- 04:20 It's not that hard, we tend to make it harder than it is.
- 04:24 But just be aware of all your options and
- 04:25 you're gonna be just fine when it comes time to print.
