Creative Ideas - Keyboard Shortcuts
Learn the common keyboard shortcuts in Publisher to increase your productivity.
When to use
Every time you use Publisher 2016, you will become faster and more efficient when you incorporate these common keyboard shortcuts.
Instructions
Begin by opening the corresponding Exercise File with this lesson, or to go File, New and find the “Business Newsletter” called Trader News. Use Page 1 for this lesson.
Follow along with the video and practice the following keyboard commands:
Publisher Keyboard Shortcuts
Ctrl B for bold text
Ctrl U for underline
Ctrl I for italic
Ctrl Shift = for superscript
Ctrl = for subscript
Ctrl Spacebar removes all formats from the highlighted text
Ctrl Shift f or p opens the font menu
Ctrl Shift > increases the font size by a half point
Ctrl Shift < decreases the font size by a half point
Ctrl F “find”
Ctrl H “find/replace”
Computer Tips:
- Double click any word to select that word (faster than click and drag over the letters)
- Triple click any word to select a paragraph (faster that click and drag over a paragraph)
- 00:04 As you get better and faster at using Publisher,
- 00:07 it is a good idea to begin to learn the keyboard shortcuts that are available.
- 00:11 I'm gonna go ahead and I've got the Trader News newsletter open, so
- 00:15 I can work with this paragraph of text right here.
- 00:17 And please keep in mind a double-click on a word will select a word.
- 00:20 Which, of course, then brings up the minibar and
- 00:23 puts most of your font formatting tools right there where you need it.
- 00:27 A triple-click on a paragraph or any word will select the entire paragraph.
- 00:32 And so, we'll go ahead and start with that.
- 00:34 I'm gonna go ahead and hit the Ctlr+B, it is highlighted.
- 00:38 So Ctrl+B on my keyboard will make all my fonts bold.
- 00:42 I will Ctrl+Z as in zebra, Ctrl+Z will undo that formatting.
- 00:48 And so now I'll triple click again and this time I'm gonna Ctrl+U for
- 00:51 underline and you can see what happened right there.
- 00:53 Ctrl+Z will undo that.
- 00:55 Ctrl+I for italicize and it simply puts a slant on all my letters.
- 00:59 Ctrl+Z will undo that.
- 01:01 Now superscript.
- 01:02 And I'll just work with one word here.
- 01:04 I'll work with the word newsletter.
- 01:06 So superscript is Ctrl+Shift and the equal sign.
- 01:10 And what it does, it takes that word and puts it above the line of text.
- 01:16 Ctrl+Z to undo that.
- 01:17 Now, subscript, we'll put this below the text.
- 01:19 So simply, Ctrl+= will send that below the text.
- 01:22 If you're in the science field or chemistry field,
- 01:25 you will want to use superscript and subscript.
- 01:27 How about for small caps?
- 01:29 I want this Advantages to be small caps.
- 01:33 I will hit Ctrl+Shift+K, and for some reason it's not working.
- 01:37 So if it ever doesn't work, I can still go to my home ribbon,
- 01:41 come right over here to my capitalizations and hit small caps.
- 01:44 So instead of doing uppercase lowercase,
- 01:48 all of it is small caps, so it's kind of a cool feature.
- 01:51 It looks very great in headlines.
- 01:54 Ctrl+Spacebar will remove all formats from highlighted text.
- 01:58 So I'm just gonna highlight this text and press Ctrl+Spacebar, and
- 02:02 it just takes it right back to the base-level, what it was before I started.
- 02:07 Okay, let's see, to open up the font menu,
- 02:09 if I want to go a little deeper into fonts, Ctrl+Shift+F or Ctrl+Shift+P
- 02:15 will open up into all the details of all the font styles I can change.
- 02:20 Instead of just guessing what's available on my keyboard or on the minibar,
- 02:24 here's everything that's available.
- 02:26 And again, two ways to get that.
- 02:27 Ctrl+Shift+F, or Ctrl+Shift+P.
- 02:30 Now, one of my favorite things is the Ctrl+>.
- 02:34 So I'll just work with one word.
- 02:36 Ctrl+Shift+> than allows me to tap, tap, tap, tap and
- 02:41 make that word larger or Ctrl+Shift+< until it gets smaller.
- 02:46 So then I'm not guessing at what size I want to make it, like up here.
- 02:51 I'm actually just watching it get larger and
- 02:53 smaller by tapping the Ctrl+Shift greater, or the Ctrl+Shift less than to decrease.
- 02:59 Then we have find/replace.
- 03:01 Ctrl+F is a universal for find a word, but Ctrl+H allows you to find/replace.
- 03:07 So I'm gonna find the newsletter, the word newsletter.
- 03:11 So let me scroll down so we can see my entire thing here.
- 03:13 So Ctrl+F takes me into find mode, and I've got newsletter right there, and
- 03:18 I can hit Find Next, Find Next, Find Next.
- 03:20 I'm just gonna find each variation or every word newsletter,
- 03:24 but that's fine if I'm just looking for the word, but what if I wanna replace it?
- 03:29 Now I can click Replace right here, or
- 03:31 maybe I go in knowing I'm going to replace it.
- 03:33 So I could hit, let me close this to show you, I can hit Ctrl+H.
- 03:37 That will bring me right into Find and Replace.
- 03:40 Okay, so I'm gonna find newsletter, and I'm going to replace it with flyer.
- 03:46 And now I can just hit Replace All and it's going to find all of them.
- 03:50 It's going to back through it, find them all, and replace them all.
- 03:54 So here I have flyer, here I have flyer, here I have flyer, here I have flyer.
- 03:59 So it does a lot of work for you.
- 04:01 And so anyway, these are great features for
- 04:03 productivity and efficiency tips as you get better and better using Publisher.
