Create a Team and Add Members
Create a new public, private or org-wide team from scratch or from a template and add team members.
When to use
Create a new team whenever you want a space for your team to have conversations and collaborate on files.
Instructions
There are three methods for creating a new team: from scratch, from a template, or from an existing team. When we create a new team, we will also get a corresponding Microsoft 365 group in Outlook.
Create a Team from Scratch
- Click Join or create a team.
- Click Create team.
- Choose From scratch.
We need to choose the type of team to create. Teams can be private, public, or org-wide.
Private teams are private to invited members and are not searchable. Anyone who wants to join a private team needs to be invited by the team owner.
Public teams are open for anyone to join and are searchable. We do not need to request to join a public team.
Org-wide teams are teams that everyone in our organization is a member of automatically.
- Click Public.
- Type a name for the team 'Northwind Traders'.
- Add a Description (optional).
- Click Create.
When we create a team, we are automatically the team owner and we can add additional team members. By default, a new team will have one team channel called 'General'.
Create a Team from a group or team
We can create a team from an existing Microsoft 365 group or an existing team. This is a good option if we need a team that has the same settings and members as a team or group we already have.
- Click Join or create a team.
- Click Create team.
- Choose From a group or team.
- Choose Team.
- Select an existing team from the list.
- Type a name for the team 'The Social Committee'.
- Add a Description (optional).
- Choose the Privacy: Public or Private.
- Choose the items to include from the original team.
- Click Create.
Create a Team from a Template
- Click Join or create a team.
- Click Create team.
- Select the template 'Organize Help Desk'
When we use a template, it includes pre-set channels and apps.
- Click Next.
- Set the Privacy to Public.
- Type a name for the team 'MicroWorld Help Desk'.
Add this stage, we can customize the channels by renaming them if required.
- Click Create.
Hints & tips
- It can take a few minutes for Teams to create the new team and add it to the teams list. Be patient!
- 00:04 So now we're familiar with the Teams interface, and
- 00:08 we have an idea as to how guests can access our team meetings.
- 00:12 It's time to create our very first team, and
- 00:15 we're going to use a good old classic for this, Microsoft's Northwind Traders.
- 00:21 Now, there are three ways that you can create a new team,
- 00:25 from scratch, from a template, or from an existing team.
- 00:29 So let's just start out by simply creating one from scratch.
- 00:33 Now, one thing that is worth noting at this stage is that when you do create
- 00:38 a new team, you're going to get a corresponding Microsoft 365 group,
- 00:42 which includes a group inbox and calendar in Outlook, SharePoint, and OneNote.
- 00:48 And if you're not entirely sure what I mean by that,
- 00:50 let me just switch across to my Outlook and show you what I mean.
- 00:53 Notice here in my Outlook right at the bottom here, I have groups, and
- 00:58 this is what I'm talking about.
- 01:00 So when you create a new team,
- 01:02 expect to see that team underneath this Groups area in Outlook.
- 01:06 So let's get started.
- 01:08 Now, to create a new team, we need to jump across and
- 01:12 select Teams from that left hand navigation menu.
- 01:16 Now, notice right at the bottom we have Join or create a team.
- 01:20 So we're going to click on this little link here.
- 01:23 And notice that the first button we have is Create Team.
- 01:27 And what you'll see are those three different ways that you can create a team,
- 01:31 from scratch, from a group or team.
- 01:33 So that's an existing group or team, or we could choose a template.
- 01:37 So we're going to create a team from scratch, first of all.
- 01:41 You're then going to be presented with three options.
- 01:44 What kind of team is this going to be?
- 01:47 So you can create yourself a private team, a public team, or an org-wide team.
- 01:53 So what is the difference between these three?
- 01:55 Well, if you want to limit conversations to a specific group of people,
- 02:00 you would create a private team.
- 02:03 It's also worth noting that when you create a private team,
- 02:06 it's not searchable.
- 02:08 And anybody who wants to join that private team needs to request
- 02:12 permission from the team owner, so it's not an automatic join option.
- 02:18 Now, a public team is slightly different.
- 02:20 This is open to the public, and anybody within your organization can simply join.
- 02:26 The final option here,
- 02:27 organization-wide means that when you create a team with this team type,
- 02:32 everybody in your organization is automatically a member of that team.
- 02:37 So they don't need to request to join,
- 02:39 it's just automatically going to appear in their list of teams.
- 02:43 So for this first team that we are creating,
- 02:45 we're going to create a public team.
- 02:47 So let's choose that option.
- 02:49 I can now give my team a name.
- 02:51 And as I mentioned,
- 02:52 we're going to stick with the Microsoft classic of Northwind Traders.
- 02:57 Now, you can give your team a description as well.
- 03:00 And I would advise that you do do this,
- 03:02 just letting people know what this team is all about.
- 03:06 So I just put a brief description in there, and
- 03:08 then we can click on that Create button.
- 03:11 Teams goes away.
- 03:12 It creates the team, and straightaway,
- 03:15 we get the option pop up to start adding members to this team.
- 03:20 So because I've created this team, I am now the team owner, and
- 03:24 I have a lot of control over this team.
- 03:26 I'm the only one who can delete the team, for example, and
- 03:30 I can also add members to this team.
- 03:33 Now, you don't necessarily have to add members at this stage.
- 03:36 You can simply skip this and add them at a later stage.
- 03:40 So that's exactly what we are going to do, we're going to skip for the time being,
- 03:43 because we're going to focus on this a bit later on.
- 03:46 So let's just skip and just see our team in our team's list.
- 03:51 So there it is just there.
- 03:53 Now, notice by default underneath, I've been given a general channel.
- 03:58 And you'll find this when you create a new team,
- 04:01 you're automatically going to get a general channel.
- 04:03 And of course, we can add many other channels, but
- 04:06 this is just a good place to get started.
- 04:09 So that's how you can create a team from scratch, very simple,
- 04:13 very straightforward.
- 04:14 Whilst we're here, let's just look at those other two options.
- 04:18 We're going to go down to create a team again.
- 04:20 Let's jump in to create a team, and this time, from group or team.
- 04:26 So what I could do here is I could create a brand new team based off of
- 04:30 an existing team, or a Microsoft 365 group.
- 04:34 So if I choose to create it off of an existing team,
- 04:37 it's going to show you all of the teams that I'm the owner of.
- 04:40 Now, notice that Train IT Now Limited has five team members.
- 04:44 So if I create my new team based off of this team just here, it's basically
- 04:50 going to make those people members of the new team with all of the same permissions.
- 04:56 So really, it kind of cuts down on the amount of work that I'm having to do.
- 05:00 I'm not having to add members.
- 05:02 I'm not having to adjust their permissions.
- 05:04 So if you want a team that is pretty much the same as another team
- 05:08 you've already created, then this is a really quick way to do it.
- 05:12 And notice here I get a chance to rename this team.
- 05:16 I can set its privacy, and
- 05:17 I can choose what I'd like to include from the original team.
- 05:22 So I'm just going to call this, let's call this,
- 05:25 I was going to call it Friday lunch club.
- 05:28 Let's call it The Social Committee.
- 05:32 I think that's how you spell committee.
- 05:34 I'm not the greatest speller in the world.
- 05:36 I could give my name and description.
- 05:37 For time reasons, I'm not going to do that.
- 05:40 And we're going to make this a private team.
- 05:43 But I do want to copy across pretty much everything,
- 05:47 so all of the tabs, all of the settings, the apps, and the members.
- 05:51 So now I can simply click on Create.
- 05:55 So now you see I have another team in my team's list.
- 05:59 And notice it's copied across exactly the same channels as Train IT Now Limited.
- 06:04 And if I manage the team, I can see it also has the same team members.
- 06:11 The final option that we have in here is to create a team from a template.
- 06:16 So this is really task based.
- 06:18 It depends what this team is actually for.
- 06:21 So maybe I want to set up a team to manage an event, or
- 06:25 onboard employees, or maybe I want to organize a help desk.
- 06:30 So if we select this template just here,
- 06:32 you can see that it's automatically going to give me these three channels,
- 06:36 general, announcements, and frequently asked questions.
- 06:40 And it's going to include seven apps that are all helpful if you work on
- 06:44 a help desk.
- 06:45 So let's just click on Next.
- 06:47 I'm going to make this a public team, and
- 06:52 let's call this MicroWorld Help Desk.
- 06:57 I then have an option to customize the channels.
- 07:00 So if I want to modify the names of these channels, I can.
- 07:04 I'm going to do that later.
- 07:06 For the time being, I'm going to keep these channel names and
- 07:08 just click on Create.
- 07:10 Now, when you create a team in this way,
- 07:12 it can take a few minutes to get this set up.
- 07:15 So notice here it says feel free to close this window and do other things.
- 07:19 Teams will let you know when it's ready.
- 07:21 So perfect, let's close this and let that churn away in the background.
- 07:26 Because the final thing I want to do here is I just want to very quickly show you
- 07:29 how you can add members to a team, because this is so straightforward.
- 07:33 We saw that we can add members at the point of team creation.
- 07:37 But if we want to do it afterwards, for example, if I want to add team members to
- 07:42 Northwind Traders, I simply hover my mouse over the team name.
- 07:46 Click the three dots.
- 07:47 And in that contextual menu, I can add members.
- 07:52 And all I need to do here is simply start typing in their email address.
- 07:56 So I want to add Ben.
- 07:59 Now, because Ben is within my organization,
- 08:01 we're all in the same domain, it pops up his name.
- 08:04 I don't have to type in his full email address.
- 08:07 If I was adding somebody from outside of my organization,
- 08:11 I would need to type in the full email address.
- 08:14 So let's add Ben, let's add Jen,
- 08:19 and let's add James, very simple.
- 08:24 Click on Add.
- 08:26 They are all by default given member permission levels.
- 08:30 And there are two permission levels, member and owner.
- 08:32 Again, we'll talk about that more later.
- 08:35 I'm happy with them all being members, so we can click on Close.
- 08:39 So now Northwind Traders has four members, including myself.
