Post Announcements to Multiple Channels
Make important messages stand out in the feed by turning them into announcements and post the announcement across multiple team channels.
When to use
Post an announcement across multiple channels when you want the message to stand out and be viewable by team members in different channels.
Instructions
We post an announcement whenever we want to highlight an important message in the channel. It might be that people in other channels also need to see this announcement. In Teams, we can create an announcement and post it across multiple channels.
- Click the New conversation button.
- Click the Format button.
- Click the drop-down arrow next to New conversation.
- Select Announcement.
- Click the drop-down arrow next to Everyone can reply.
- Select Everyone can reply.
- Click Post in multiple channels.
- In the To field, add the channels where you would like to post the announcement.
Format an Announcement
Announcements can be formatted so they stand out in the conversation feed. We can type a headline and apply a background image or solid fill color to the headline area.
We can format the announcement text using the formatting toolbar above the message. Change the font size, font style, and alignment. We can add links, tables, and images and highlight keywords and phrases. We can also @mention people, channels, and teams in the announcement text.
- Format the message as required.
- Click Send.
The announcement will post to all selected channels.
Hints & tips
- Any message can be posted to multiple channels, not just announcements.
- 00:04 Aside from starting new conversations in team channels,
- 00:08 we can also post announcements.
- 00:11 And you would post an announcement when you really want to highlight something
- 00:16 important that everybody in the channel needs to know about.
- 00:19 And it might be that not only the people in that channel need to see this
- 00:24 announcement, so
- 00:25 you can post your announcement to multiple channels at the same time.
- 00:30 Now, it's worth noting that the ability to post an announcement to multiple
- 00:35 channels isn't just for announcements.
- 00:37 You could choose to post a message to multiple channels as well.
- 00:42 But I'm going to show you this example using announcements because we
- 00:46 haven't looked at that yet.
- 00:48 So we're still working in the marketing channel for Northwind Traders,
- 00:53 and we have a big presentation coming up tomorrow night.
- 00:57 So I want to make an announcement in this channel just letting everybody know
- 01:02 what time we need to meet and where.
- 01:04 So I'm going to click the New Conversation button.
- 01:07 And if you want to post an announcement, you need to make sure that you
- 01:12 click on the Format icon to open that larger formatting box.
- 01:16 Now note here before we go any further,
- 01:19 take a look at the drop down menus that we have running across the top.
- 01:24 We have new conversation, everyone can reply and post in multiple channels.
- 01:30 So this is what I was saying, this doesn't just apply to announcements,
- 01:34 you can also post new conversations in different channels as well.
- 01:37 But we're going to do an announcement.
- 01:40 So from this drop down, we're going to select announcement instead of
- 01:45 new conversation, I can then set who can reply to this announcement.
- 01:49 So currently, everybody can reply, and I'm completely happy with that.
- 01:54 And then I can choose which channels I want to post this in.
- 01:58 So if I select post in multiple channels, currently, it's just going
- 02:02 to the Marketing channel, but I can select other channels here as well.
- 02:06 So maybe everybody in the Sales and
- 02:08 Development channels also need to see this announcement.
- 02:12 So, over on the right hand side, we're going to choose Select Channels.
- 02:16 I can then expand my team.
- 02:18 And notice I have two hidden channels.
- 02:20 I'm just going to expand those and
- 02:22 then I can select the other teams that I want to send this to.
- 02:25 So, that's going to be Sales and Development.
- 02:29 And let's click Update.
- 02:31 So now those channels are added into here as well.
- 02:35 We can now go in and format our message and notice that we get a very
- 02:40 large headline so this really is going to stand out in people's feed.
- 02:45 And that is really the idea of these announcements,
- 02:48 they're pretty hard to miss.
- 02:50 So I've just added a heading into this message and also a subheading as well.
- 02:56 So they need to know where to meet, let's use our formatting tools and
- 03:01 I'm going to go to paragraph, and let's make this a Heading Two.
- 03:05 And this one is also going to be a Heading Two.
- 03:09 And I think I really want to highlight the don't be late parts of this announcement.
- 03:13 So let's select the text, let's go to our highlight it all, and
- 03:17 let's highlight this in red.
- 03:19 And I think I'm also going to make this text bold.
- 03:23 The final thing I'm going to do here before sending this through to
- 03:26 the Marketing, Sales and Development channels is set a delivery option.
- 03:30 So this is a really important message so
- 03:33 let's mark it as important by clicking on that exclamation point.
- 03:38 Another thing that's worth noting is that can really add a lot of flair to these
- 03:42 announcements and make them look really good.
- 03:45 Notice that in this heading, I can change the background color,
- 03:50 so maybe I want this in a red color.
- 03:53 And I could even add a background image.
- 03:56 Now we're not going to do that but just be aware that the option is there.
- 04:00 Also, be aware that you can add things like bulleted or
- 04:03 numbered lists into these announcements as well.
- 04:06 Again, if we go up to that formatting bar, I could add a bullet point and
- 04:10 then just list out what they need to bring with them.
- 04:13 So I'm pretty happy with the way this announcement looks,
- 04:17 I'm going to click on Send.
- 04:19 So now if I go to the Development channel, for example,
- 04:23 we can see that announcement posted in there as well.
- 04:28 It should also be in the Sales channel, which it is.
- 04:31 So that's how announcements work.
- 04:33 That's how you can format announcements, and also post announcements and
- 04:39 also messages to multiple different channels.
