Initiate a Video or Audio Call On-Demand
Start an on-demand meeting using Meet now.
When to use
We start an on-demand meeting whenever we want to quickly jump into a meeting with colleagues without scheduling it in advance.
Instructions
Meetings is one of the strengths of Teams. We can start a video or audio meeting at any time, have face-to-face conversations, share files, share our screen, create whiteboards and so much more.
There are two different types of Teams meeting: On-Demand (Meet now) or Scheduled. The organic nature of conversations in Teams lends itself to on-demand meetings.
Maybe we are chatting with a colleague in a teams channel and decide the discussion would be more productive and easier if we jumped into a video or audio meeting. This would be classified as an on-demand meeting as it's not scheduled.
Start an On-Demand Meeting
We can start an on-demand meeting from a few different places: in the channel, in a conversation, or from the calendar.
Channel
We can start a meeting from within a channel.
- Go to the channel.
- Click the Meet button in the top right-hand corner.
- Click Meet now.
Conversation
We can start a meeting when we post a reply to a message in a channel.
- Click the Reply button under a message.
- Click the Meet now icon.
Calendar
More recently, we have been able to start a meeting from the Teams calendar.
- Click on Calendar in the main navigation menu.
- Click the Meet now button.
Choose any of these methods to jump into a meeting.
Meeting Settings
The first thing we see when we choose Meet now is the meeting settings window. This is where we can choose if we want to turn our camera on, select a background filter, and set up our devices for audio and video. We can also rename the meeting from here.
- Click Join now.
In-Meeting Options
Once we click Join now, we are in the meeting. At this stage, we will be asked if we want to Copy the meeting link or Add participants. We can choose to invite people to the meeting at this stage or we can close this window and invite people later.
At the top of the meeting is a command bar with various in-meeting options.
- People - open the people pane to show all meeting participants. We can manage participants from here.
- Chat - open the chat pane so everyone can have a conversation in the meeting.
- Reactions - send an emoji to react to a message or a comment.
- Rooms - create breakout rooms for small group work.
- More - more meeting options. We can turn on live captions, record the meeting, change our background, and more.
- Camera - toggle your camera off and on.
- Mic - toggle your microphone off and on.
- Share - share content in the meeting.
Leave or End a Meeting
We can leave a meeting at any time. If we are the meeting organizer, we can end the meeting for all participants. If we leave a meeting, the meeting still carries on we are just no longer participating. If we end a meeting, it will stop the meeting for everyone.
- In the meeting, click the drop-down arrow next to Leave.
- Choose Leave or End meeting.
Hints & tips
- We can toggle our camera off and on by using the keyboard shortcut CTRL+SHIFT+O.
- The raised hand reaction is useful when all participants are muted and someone wants to ask a question or get the attention of the meeting host.

- 00:15 Meetings allow us to chat and discuss ideas with other participants,
- 00:20 even external participants, and we can do so much more than that.
- 00:25 We can share files, we can share whiteboards,
- 00:28 host PowerPoint presentations, and live webinars.
- 00:32 And we can choose if we want to participate in a video call where we
- 00:36 can see everybody's lovely faces, or
- 00:39 if we simply want to participate in an audio call.
- 00:43 Now when it comes to meetings in Teams,
- 00:45 there are two different types of meetings that you can set up.
- 00:48 You can create an on-demand meeting, or you can schedule a meeting.
- 00:53 Now, the organic nature of conversations in Teams,
- 00:57 lends itself much more to on-demand meetings.
- 01:01 For example, I'm currently in the marketing channel and maybe Olivia and
- 01:06 I are going backwards and forwards on some ideas related to the company logo.
- 01:11 And we might decide that this is going to be a lot easier to discuss and
- 01:16 share mockups if we jump into a Team's call.
- 01:19 So this is where we would start an on-demand meeting.
- 01:24 An on-demand meetings in teams are accessed via the meet now button.
- 01:30 So if you take a look up in the top right hand corner of the channel,
- 01:34 if I click the drop down notice we have meet now and also schedule a meeting.
- 01:38 So we would want to use meet now to jump instantly into a meeting.
- 01:44 Now you're going to find this meet now button in a few different places,
- 01:48 and I will say that over the years this button has moved around a lot.
- 01:52 But currently in Teams, in 2022 we have a meet now button in
- 01:57 the top right hand corner of the team channel.
- 02:00 We also have one when we reply to people in a team channel.
- 02:05 If we take a look at the icons underneath, one of these is meet now.
- 02:11 And the third place we can find this meet now button is in the calendar.
- 02:16 Again in the top corner, we have a meet now button.
- 02:19 So you can utilize any of these methods in order to jump into a very
- 02:24 quick on-demand meeting.
- 02:26 So let's do that, I'm going to click the drop down and choose meet now.
- 02:32 So this is going to take me into my meeting settings,
- 02:36 and there I am down there, if I just wave at my webcam.
- 02:40 Now notice by default, my camera is turned on.
- 02:44 And you can see that little sliding toggle at the bottom, so if you don't
- 02:50 want anybody to see you, you can turn your camera off and just have an audio meeting.
- 02:55 Now I'm going to keep mine on, why not, you can see me anyway.
- 02:59 And then I have some other settings that I can choose.
- 03:03 Now it might be that I want to blur my background.
- 03:07 Now notice here we have something called background filters ,now we have a lesson
- 03:11 on this later, so I'm going to skip over that for the time being.
- 03:14 Notice this meeting is going to use my computer audio.
- 03:17 And because I have a microphone plugged in,
- 03:20 it's picked up my microphone, and I can set the volume.
- 03:24 Also if I want to turn my microphone off, I'm not entirely sure why I'd want to do
- 03:28 that, if I'm going to take part in this meeting, I could slide that toggle.
- 03:32 I can also rename my meeting from here as well, so at the top right says meeting in
- 03:37 marketing, I can choose to rename this to something else.
- 03:40 So maybe when you're talking about a specific project, project alpha, for
- 03:44 example.
- 03:45 I'm going to go into the settings a lot more a bit later on.
- 03:48 For the time being, let's just get ourselves into this meeting.
- 03:53 So all we need to do here is click on Join Now.
- 04:01 And now I am officially in this meeting.
- 04:05 Now notice at this stage I can invite people to join me, so
- 04:09 I can copy the meeting link, or I can choose to add participants.
- 04:14 Now, I'm not going to do that at this stage, let's close this down and
- 04:18 I'm just going to make this Meeting Window a little bit bigger.
- 04:22 I'm going to turn off my camera, just so
- 04:24 I don't distract you all throughout the rest of this lesson.
- 04:27 So, notice at the top here,
- 04:29 we have a number of different buttons that we can use to manage this team meeting.
- 04:35 So I'm going to go straight to camera, and I'm just going to toggle that off.
- 04:39 Now I can do the same thing with my microphone, so if I want to mute myself,
- 04:43 I can click the mute button.
- 04:45 Notice that we have a keyboard shortcut for this of Ctrl+Shift+M.
- 04:49 If I click on people, that's going to open up the participants pane,
- 04:54 and this is going to show me everybody who is in this meeting.
- 04:59 So currently, I'm your organizer of the meeting and I'm the only one in here.
- 05:04 And it's showing me other colleagues that are part of my organization that I might
- 05:08 want to request to join.
- 05:10 If we take a look at chat, this is a chat panel that is specific to this meeting.
- 05:17 And I will say that in my role as a trainer,
- 05:20 sometimes I run webinars on Teams where I might have 500 people on the call.
- 05:25 And it's not very efficient for me to have everybody's microphones on.
- 05:30 So, what I normally do is mute everyone's microphone's, so we're not getting
- 05:35 lots of background noise, and everybody speaks to each other via the chat panel.
- 05:40 And this works in pretty much the same way as chat in a regular channel.
- 05:45 We can type our message at the bottom here and then we have various different options
- 05:50 that we can use, so this should look familiar.
- 05:52 We have the format button to add formatting to our message.
- 05:56 We can set our delivery method, we can attach files in here as well and
- 06:00 share them with the meeting.
- 06:02 We can add a loop component, emojis, stickers, so on, and so forth.
- 06:07 We have a reactions button just here, so if somebody is talking and
- 06:12 I want to register that I like this, or maybe I love it, or
- 06:16 I want to give them a round of applause, I can do that from here.
- 06:20 Another option that's really good is this little one just here, raise hand.
- 06:25 So if I click on this, it's going to register that I've got my hand raised.
- 06:30 So you might see this from other participants in the meeting.
- 06:35 And this is particularly useful if you do have everybody on mute, because it just
- 06:40 let's you know as the speaker, the presenter that somebody possibly wants to
- 06:45 say something, so you can then unmute their mic and hear them out.
- 06:49 The next icon along is break out rooms, that is a fairly new feature to Teams, and
- 06:54 we will have a whole lesson dedicated to that.
- 06:56 We have a more dropdown which shows us more actions, and
- 07:00 again we're going to be diving in and out of here throughout this section.
- 07:05 We've seen that camera and
- 07:06 mic are basically just toggles to toggle those off and on.
- 07:10 And then finally we have a share content button at the end here, so this is if
- 07:15 you want to share your screen or share files or maybe share a whiteboard.
- 07:20 And we're going to take a look at all of those things a bit later on.
- 07:24 And we have a leave button at the end, and
- 07:27 if I click the drop down here, I can leave or I can end the meeting.
- 07:31 So if I simply just want to leave this meeting, but
- 07:34 the meeting stays running after I've left I would choose leave.
- 07:38 Alternatively, I can end the meeting which is going to end it for all participants.
- 07:43 So I'm going to choose end meeting, end the meeting for everyone,
- 07:48 yes, let's click on end.
- 07:50 It's going to take me out of that meeting and put me back into my team channel.
