Record a Meeting or Call
Record a meeting or call for review at a later time.
When to use
We record a meeting or call whenever we want an accurate account of everything that happened in a meeting. This is particularly useful for webinars and training sessions where participants might want to review the content later on.
Instructions
Before recording a meeting, it's always best practice to let the participants know so they can choose to raise an objection or not attend the meeting.
Record a Meeting
- Open a meeting from the calendar or start an on-demand meeting.
- Click the More button.
- Click Start recording.
Once the recording has started, a message will appear across the screen to let everyone know we are recording and we can see a timer in the top left-hand corner.
Teams will record everything in the meeting including all speakers' voices, chat transcripts, and files shared.
Live Captions
A useful thing to turn on - particularly when recording a meeting - is Live Captions. This is an accessibility option that ensures anyone who is hearing impaired can still follow the meeting through auto-generated live captions on the screen.
- Click the More button.
- Click Turn on live captions.
Stop Recording
When the meeting is finished we can stop recording.
- Click the More button.
- Click Stop Recording.
The meeting recording will be saved to Teams.
Depending on the length of the meeting, it can take a while for the recording to upload to the Teams server so be patient!
Retrieving the Meeting
We can find the recording in a couple of different places in Teams.
Meeting Invite
- Reopen the meeting from the calendar.
- Click the Chat tab.
The recording is saved here.
Chat
We can also find the meeting recording in Chat.
- Go to Chat.
- Click on the meeting in the chat log.
- Click the Chat tab.
Hints & tips
- Recordings and Transcriptions can also be found on the Recordings and Transcriptions tab.
- If the meeting is an on-demand meeting started in a team channel, the recording will also post to the channel.

- 00:13 A lot of the clients that I train will specifically want to make sure that I am
- 00:17 recording the meeting so that they can go back and
- 00:20 review the training in their own time.
- 00:22 And it might be that any meeting that you host, you might want to record.
- 00:27 Now, I would advise some caution here.
- 00:30 It's always worth making sure or checking with the other participants that they
- 00:34 don't mind this meeting being recorded.
- 00:37 So just make sure that you let people know before you do this.
- 00:41 Now, recording a meeting is a very simple process.
- 00:44 So what we're going to do is we're going to jump in to our problem solving
- 00:49 meeting.
- 00:49 So let's join, and once again, I'm just going to wait for
- 00:53 Olivia to join as well, and there she is like clockwork.
- 00:57 Now, currently, this meeting isn't being recorded.
- 01:01 But if I do want to record it, all I need to do here is go up to More actions,
- 01:06 and towards the bottom, I have a button that says Start recording.
- 01:11 As soon as I click on that, I'm going to receive a message,
- 01:15 which just lets everybody know that this meeting is being recorded.
- 01:19 You can see the timer in the top left hand corner, so
- 01:22 I can keep an eye on time, and also the recorder button just here.
- 01:27 So now, everything that I'm saying, everything that I share,
- 01:32 and all of the chat is being recorded and saved.
- 01:36 Now, one thing that can be quite useful to do at this stage, particularly if you
- 01:40 are recording and many, many people are going to view this recording afterwards,
- 01:45 is to make sure that you account for any disabilities by turning on captions.
- 01:50 So if we go back into More, notice at the bottom, we have turned on live captions.
- 01:55 And now, everything that I'm saying is not only being recorded, but
- 01:59 it's also coming up in a caption at the bottom of the screen.
- 02:03 So, that is really helpful to people who are hearing impaired.
- 02:09 So I would highly recommend that you turn these captions on.
- 02:13 Now, just for this exercise, I'm going to turn off live captions.
- 02:19 Now, when you want to stop recording, it's a simple case of going back into More
- 02:23 actions, and selecting the Stop recording button.
- 02:26 I'm going to say, yes, I'm sure that I want to stop recording.
- 02:31 And now that recording is being saved.
- 02:34 Notice it says you can find the link to the recording in the meeting chat history.
- 02:39 So in a moment, we'll jump back in and see how we can retrieve that recording.
- 02:44 It's also worth noting that if you forget to turn off the recorder,
- 02:48 which I do all the time, and you end the meeting,
- 02:51 the recorder will be automatically stopped for you.
- 02:54 So, let's leave this meeting, just going to say, End meeting.
- 03:00 So, where can we find this recording?
- 03:04 Well, we can actually find it in a couple of different places.
- 03:07 And I will say that if the recording is pretty long, so maybe it's recorded in
- 03:11 an hour or a two hour meeting, it's best to give it a little bit of time to upload.
- 03:16 So if you finish your meeting and then immediately check for the recording,
- 03:20 if it's not there, don't worry, just be a little bit patient.
- 03:23 Now, the first place we can find the recording is in the meeting invite.
- 03:27 So if you did start this meeting from an invite in the Calendar,
- 03:33 if we reopen the invite, notice at the top, we have Chat.
- 03:39 So if I click on a Chat, this is going to show me the chat transcript for
- 03:44 this meeting.
- 03:45 But it's also going to show me the recording as well, so
- 03:49 I can access it from that.
- 03:51 I can also find a copy of the recording in Chat.
- 03:56 So right in the top here, where we have Problem Solving Exercise,
- 04:00 again, we're going to see a copy of the chat transcript.
- 04:04 We're going to see any recordings in here as well, and
- 04:08 also the attendance report, which you can click to download.
- 04:12 Now, we started this meeting from our Calendar, but
- 04:16 if we started an ad hoc meeting from a Team's channel,
- 04:20 we can be able to see the recording posted in the channel as well.
