Quick reference
Target Groups with Tags
Use tags to target messages toward specific groups of people.
When to use
We use tags when we want to direct a message toward specific groups of people that have been added to a tag.
Instructions
In Teams, we can create tags and assign people to those tags.
We might choose to create a tag for the 'Sales Team' and assign all salespeople to the tag. If we need to send a message to everyone on the sales team, we can use the tag.
We might create a tag for 'Project Team A' so we can send messages to everyone involved in the project.
As a team owner, we can specify who can create and manage tags in Teams.
Create Tags
Let's create a tag for the Marketing Team.
- Click the three dots next to the team name in the teams list.
- Click Manage tags.
- Click the Create tag button.
- Type 'Marketing' into the Tag name field.
- Add a Tag description (optional).
- Type the names of the people to add to the tag in the Add people field.
- Click Create.
Repeat this process to add more tags.
Manage Tags (Team Owners)
Any tabs we create will be categorized so we can see which tags have been assigned to us and which tags have been assigned to other people.
Team owners can manage the tags.
- Click the three dots next to the tag name.
From here we can start a chat with the tag members, edit the tag, create a copy of the tag or delete the tag.
Use Tags in a Conversation
Once we have set up tags, we can use them in conversations to direct our message to the tag members.
- Click the New conversation button.
- Type a message.
- Type the @ symbol and select the tag from the list.
- Click Send.
- 00:04 Tags let you quickly reach a group of people all at once.
- 00:09 We can create a tag and categorize people based on different attributes,
- 00:14 such as their department, or maybe their job role, or
- 00:18 maybe a particular skill they have, or a project that they're working on.
- 00:24 For example, maybe Jen, James, and Ben all belong to the marketing team,
- 00:29 and I want to be able to @ mention them specifically to
- 00:34 direct all things related to marketing towards them.
- 00:38 So what I could do is create a tag called marketing and add them to the tag.
- 00:44 So let's take a look at how we can set up a couple of different tags, and
- 00:48 then how we can manage those tag.
- 00:51 So for this, we need to go to the three dots next to our team.
- 00:55 So we're going to go into Northwind Traders.
- 00:58 And notice here we have an option in that menu of Manage tags.
- 01:04 Now it's telling me that this team doesn't have any tags yet, so
- 01:08 we need to create our first tag.
- 01:10 So what is our tag name going to be?
- 01:13 Well, the first one I'm going to set up is for marketing.
- 01:18 So we're going to call it simply Marketing to make things easy.
- 01:22 I can give my tag a description, and then I can add people to that tag.
- 01:27 So let's say we want to add Jen, Ben, and
- 01:32 James because those guys are in the marketing team.
- 01:39 Let's click on Create to add that tag.
- 01:43 Let's create one more tag.
- 01:45 So this one is going to be for all people who are working on the project alpha.
- 01:52 So we're going to call this Project Alpha.
- 02:00 And then I'm working on that project, so I'm going to add myself and Olivia.
- 02:09 And click on Create.
- 02:11 So now you can see I have my tags divided down into two groups, so tags that
- 02:16 are assigned to me, the tags that I'm part of, and then any other tags for this team.
- 02:22 And because I'm the team owner, I can manage these tags as well by clicking on
- 02:26 the three dots, so I can do things like chat with the marketing team from here.
- 02:30 I can edit, I can create a copy, or I can delete the tag.
- 02:35 So once we have some tags set up, how do we utilize them in chats?
- 02:40 Well let's go back to the, I think we'll just go back to the general channel, and
- 02:45 we're going to start a new conversation.
- 02:47 So maybe I want to send a message out to the marketing team,
- 02:52 is the new logo completed yet?
- 02:54 And now I can simply @ mention the tag.
- 02:57 And you'll see as soon as I start typing it, it comes up in that list so
- 03:02 I can simply select the correct tag and hit Enter to send that through.
- 03:07 So tags are a really simple way
- 03:09 of targeting messages towards specific audiences.
