Search and Filter for Messages, People, and Files
Learn how to search for messages, people, files, and apps across Teams and filter the search results.
When to use
To find things quickly in Teams, we need to know how to use search and filter effectively.
Instructions
There are several search and filtering options to help us find files, messages, and people in Teams.
The Search Bar
At the top of the Teams window is the search bar. We can use this bar to search in Teams for specific keywords or phrases.
- Click in the search bar.
- Type 'Sales'.
Teams will search across channels, files, apps, and people and return any results it finds that match the search term.
- Delete the search term.
- Type 'Ben'.
Teams will find team members that match the search term.
- Delete the search term.
- Type 'Plaza'.
Teams hasn't found any files, people, or channels that match the search term but if we press Enter, it will search messages.
- Click Go to message to jump to the message that contains the search term.
Search in a Specific Channel
We can be more specific when searching and limit the search to a channel.
- Go to the channel to search in.
- Press CTRL+F.
The search bar will now show the channel name.
- Type in 'Brainstorm'.
Teams will return a list of messages where this term was mentioned.
Search in Private Conversations
We can search our private conversations. Maybe we are looking for a conversation we had with a particular person.
- Click on Chat.
- Click in the search bar.
- Type 'Jen' and press Enter.
Teams will jump us to the conversation.
Search with KQL (Keyboard Query Language)
We can use KQL to search for specific things in Teams. For example, we might want to search for all messages from a particular person.
- Click in the search bar.
- Type the word From:
- Select a team member from the list.
What about if we want to search in a particular channel for a specific word? Maybe we want to search for the word 'Plaza' in the 'Development' channel.
- Click in the search bar.
- Type In:Developer "Plaza"
Filter Search Results
We can filter our search results in Teams. Let's use the example above.
- Click in the search bar.
- Type In:Developer "Plaza"
This will return a list of results. Notice at the top we can filter by All, Messages, People, and Files.
If we filter by Messages, we have further filters. We can filter by Type, Teams and channels, From, Date, @mentions me, Has attachment, and Hide apps and bots.
Hints & tips
- Do a wildcard search by adding an asterisk (*), e.g. Present* will return everything that starts with 'Present'. It will return Presentation, Presenting, Presented, etc.
- To search for an exact phrase that contains more than one word, put the phrase in quote marks, e.g. "Crown Plaza".
