Make and Receive Calls
Use Teams to make and receive calls.
When to use
We can use Teams to make and receive calls to and from people within our organization or use the dial-pad if we have a calling plan setup.
Instructions
We can use Teams to call other people within our organization. Much like a physical phone, we can make and receive phone calls. If we work at an organization that has calling plans set up, we can even use a digital dial-pad to call external numbers.
Missed phone calls can be forwarded to voicemail in Teams.
- Click Calls in the left-hand navigation menu.
This will show a log of all incoming and outgoing calls. We can use the filters at the top of History, to see all calls, incoming calls, missed calls, and calls that went to voicemail.
Hover the mouse over any call and click the three dots to call the person back, chat, add to speed dial, or add as a contact.
Make a Call
It's easy to call someone in Teams.
- Click Calls in the left-hand navigation menu.
- Type the name of the person to call.
- Click Call.
Receive a Call
When someone calls in Teams, we will receive a banner notification in the bottom right-hand corner. We can choose to start a video call, an audio call or decline the call.
Add a Contact
At the top of the Teams window, we have two tabs: Phone and Contacts.
- Click Contacts.
This is where we can see all of our contacts. We can add new contacts by clicking the Add contact button. We can also add new contacts from our call history.
Add a Contact to Speed Dial
From our contacts list, we can add the contact to our speed dial list.
- Hover the mouse over the contact.
- Click the three dots.
- Choose Add to speed dial.
Remove a Contact
- Hover the mouse over the contact.
- Click the three dots.
- Choose Remove contact.
Forward Calls to Voicemail
We can set up call forwarding in Teams. The default is Don't forward.
- In the bottom left-hand corner, click Don't forward.
We can choose to forward calls to voicemail.
- Select Forward to voicemail.
We need to ensure that if we are choosing this option, we have voicemail setup and have recorded a greeting.
- Click Customized Setup.
- Click Device Settings.
- Click Calls.
- Select Forward my calls.
- Click Configure voicemail.
- Click Record a greeting.
- Click OK.
Hints & tips
- Dial-pad calling is only available if your organization has a calling plan setup.
- 00:04 One area of teams that we haven't really focused on as yet
- 00:08 is how to make and receive calls.
- 00:10 So if we click on the calls tab, you can see here a history log of any incoming or
- 00:16 outgoing calls that you've made or received.
- 00:20 And you can see currently I simply have one call in my list,
- 00:23 that is an outgoing call that I made to Olivia.
- 00:26 And making a call is very similar in many ways to starting a meeting.
- 00:32 All we need to do is simply type in the name of the person that we want to call.
- 00:37 So I'm going to call Olivia again.
- 00:39 I can select her and then simply click call.
- 00:43 And that is effectively going to jump me into a team's meeting.
- 00:47 And currently Olivia is getting a notification that I'm calling her.
- 00:51 If she accepts that call,
- 00:52 that it's going to jump her into this team's meeting.
- 00:55 And we have all of the functionality that we have in a normal team's meeting.
- 01:00 When we want to finish the call, we simply hang up to leave.
- 01:04 And that call will be logged in your history log.
- 01:08 And similarly, if Olivia was to call me,
- 01:10 notice that I'm getting a notification pop up in the bottom right hand corner.
- 01:15 And I can choose to make this a video call, or simply an audio call.
- 01:20 So let's pick it up.
- 01:23 And again, it's going to jump me into effectively a team's meeting.
- 01:28 When we want to leave, we can simply hang up.
- 01:31 I can see in my history whether this was an incoming or an outgoing call,
- 01:35 and I can also see how long that call was.
- 01:38 If I have any missed calls, I also have a tab for this, and
- 01:42 I can effectively filter by incoming calls only.
- 01:46 And that's what these three lines at the end here are, it's a filter.
- 01:50 So you can filter by a name or by a particular number.
- 01:54 Now with these different calls, also notice as I hover over I have three dots.
- 02:00 So this allows me to call that person back.
- 02:03 I can chat with them, which is going to basically open up a chat window.
- 02:08 I can add them to my speed dial list or I can add them as a contact.
- 02:13 So if I click on Add a contact, it's going to add Olivia to my contacts list.
- 02:19 And again, notice at the top here we have Phone and Contacts.
- 02:22 Let's click on the Contacts tab, there she is.
- 02:26 And I can add new contacts from here as well.
- 02:29 So maybe I want to add Ben, and maybe I also want to add James.
- 02:37 And I'm also going to add Jen.
- 02:39 And once I have all of these contacts added,
- 02:42 notice over in the right hand column I can choose to start a chat with them.
- 02:45 I can email them, or I can start a video or audio call.
- 02:52 Also notice, when we click the three dots at the end, I can remove the contact or
- 02:56 I can add that person to my speed dial list.
- 03:00 So if I have particular contacts that I call frequently,
- 03:03 I'm probably going to want to create a speed dial list.
- 03:06 So let's add Ben.
- 03:08 So now, when I go back to the phone tab,
- 03:11 notice underneath speed dial I have Olivia.
- 03:14 I added Olivia, sorry, not Ben.
- 03:16 I have her listed just there, and it makes it very quick for
- 03:20 me to start a video or an audio call with her.
- 03:23 Also notice at the bottom we can set up things like call forwarding.
- 03:28 So currently I have my calls set to not forward, but
- 03:32 I could choose to forward to voicemail.
- 03:35 Of course, this relies on you having your voicemail set up.
- 03:39 So let's take a look at where we go in order to do that.
- 03:42 So underneath we have customized setup.
- 03:45 So let's click the drop down and go into device settings,.
- 03:49 Now, in here we have a tab for calls.
- 03:52 And this is where you can come to specify if you want to forward your calls and
- 03:57 also to configure your voicemail.
- 03:59 So if we click on here, this is where we can come to record our greeting.
- 04:04 And you have various different other settings in here that you can customize.
- 04:08 Once you've configured your voicemail, you can then set it up so
- 04:11 that all of your calls are forwarded directly to your voicemail.
- 04:14 Or you can set to don't forward.
- 04:17 It's also worth noting that if you have a calling plan set up at your organization.
- 04:22 Then you might be able to use a dial pad in order to call people.
- 04:27 Now, I don't have that set up so I don't see it.
- 04:30 But if you do, on the left hand side over here, you'll be able to
- 04:34 access a dial pad where you can physically type in a number to call.
- 04:38 So just look out for that, it may or may not be set up at your organization
