What is Visio?
Visio is a software program that helps you communicate complex information in a very visual format. With Visio, you can quickly create professional flow charts, timelines, process maps, organizational charts, IT diagrams, floor plans, and a lot more. There’s a desktop version, and an online version. In this course, we will be using the desktop version of Visio.
Definitions
- Diagram / Drawing: the file that Visio makes
- Shape: Each individual component of the drawing
- Stencil: a collection of available shapes

- 00:49 And that'll become more apparent to you as the course continues.
- 00:53 So, let's go ahead and see different ways to go into Microsoft Visio.
- 00:58 So this assumes of course you have Visio installed on your computer.
- 01:03 Now, sometimes you might see a Visio icon on your desktop.
- 01:08 Sometimes you might have a Visio icon on your taskbar.
- 01:11 Or sometimes you would use the start menu.
- 01:14 Or, if you have Windows 10, you could click on the search area and type in Visio.
- 01:19 So either way is a great way to go into the Visio program.
- 01:22 So I'm going to use the icon that's on my taskbar.
- 01:26 I'm going to click on Visio.
- 01:28 So when you first go into the program,
- 01:31 we can open up a new diagram or a new drawing.
- 01:36 We can open up an existing one.
- 01:38 Then there's different templates that you can use, and
- 01:42 the templates have a collection of stencils that go along with that theme.
- 01:48 So you can make a basic diagram, basic flowchart, and
- 01:52 then there's more templates that you can go into.
- 01:54 Now we're going to start with a blank drawing.
- 01:57 But just be aware that during this course,
- 01:59 I'm going to show you some of those templates.
- 02:01 So let's go into a blank drawing.
- 02:05 And now at this point,
- 02:06 it wants to know whether you're going to use metric units or US units.
- 02:11 So, I'm going to use US units, but
- 02:13 you could always change that within the diagram as well.
- 02:15 So I'll pick on the word create, good.
- 02:19 So now we're into the Visio program.
- 02:22 Let's take a tour of the screen.
- 02:24 So, it's going to be very similar to other Microsoft programs
- 02:28 that you might have worked with.
- 02:30 So up here, we have the Quick Access Toolbar.
- 02:34 So you're going to see how we can easily add icons the Quick Access Toolbar
- 02:39 very soon.
- 02:40 Over here we have the title bar, it's going to be the title of the document or
- 02:45 of the drawing.
- 02:47 If you come over here, you'll see your user information.
- 02:50 And these days, you need a Microsoft account to use Microsoft Visio.
- 02:56 Now, where is says file, and home, and insert.
- 02:59 Those are your tabs or they can also be called menus.
- 03:03 The new word for those is tabs.
- 03:05 So during the course, if I say pick on the Insert tab, we're going to
- 03:09 be right there, or pick on the insert menu is another way to say that.
- 03:13 Notice how each time when I pick on a different menu,
- 03:16 then the whole toolbar changes with different icons.
- 03:19 The new word for the toolbar is the ribbon.
- 03:23 So we can call the icons as the ribbon, or we can call it the toolbar, okay.
- 03:28 Over here is where you're going to have your stencils and your shapes.
- 03:33 Here is the actual drawing that we're going to work on.
- 03:38 Now over here is where we can share the document.
- 03:40 And just like other Microsoft programs, we can share it with OneDrive.
- 03:44 Or you can share it with SharePoint.
- 03:47 Over here is where you can add comments to the document, and
- 03:50 those can be shared as well.
- 03:53 Now down at the bottom of the window we have the status bar.
- 03:56 Okay, now there's different ways we can change the status bar.
- 04:00 Then here we have the pages, they're almost like sheets in the Excel workbook.
- 04:05 We can add pages or manage the pages over here.
- 04:08 That's called the page navigator.
- 04:10 So one drawing can have multiple pages.
- 04:14 Down here we have the horizontal scroll bar,
- 04:18 over here to the left we have the vertical scroll bar.
- 04:21 Okay, and then we have our zoom area over here.
- 04:25 So this gives a good idea of touring the screen.
- 04:29 Now, let's see how we can add an icon to the Quick Access Toolbar, for example.
- 04:33 So, I like that Quick Access Toolbar a lot because
- 04:37 here you can put your favorite icons.
- 04:39 So, let me show you two quick ways to add things to the Quick Access Toolbar.
- 04:44 I'm going to click on that arrow to the right of the Quick Access Toolbar.
- 04:48 And then you can just pick any one of those.
- 04:50 So I'll pick on the word New.
- 04:52 And now the New document icon is on the Quick Access Toolbar.
- 04:56 Okay, so that was really quick and easy.
- 04:58 We're just going to click on that arrow, and
- 05:00 then you can just pick any one of those to add things to the Quick Access Toolbar.
- 05:04 Here's another quick way to add things to the Quick Access Toolbar.
- 05:08 You just right click on one of your icons.
- 05:10 So if I right click on bold, then I'll say add to Quick Access Toolbar.
- 05:15 And now that one is up there as well.
- 05:17 So I just showed you two quick ways to add things to the Quick Access Toolbar.
- 05:21 If you wanted to remove something from the Quick Access Toolbar, for example, I'll
- 05:25 just right click on bold, and I'll say remove from Quick Access Toolbar, right?
- 05:29 So you can add things to that or take things away from that.
- 05:33 Now, another thing that you can customize in this window actually,
- 05:36 there's a lot that you can customize, which you'll find out during the course.
- 05:39 But down here on the status bar,
- 05:42 you can decide what's going to appear on your status bar.
- 05:45 So I'm going to move my mouse down there, and
- 05:47 I'm going to right-click on the status bar, right-click.
- 05:50 Now anything that's checked will be on the status bar.
- 05:54 So you can pick and choose which ones you want to see.
- 05:57 So usually I like to have the page number, the width and the height of the document.
- 06:02 So you can just click them if they're not already checked.
- 06:07 Or if they are checked, you can click them and then it'll uncheck them.
- 06:10 So then you can decide what's going to appear or
- 06:12 not appear on your status bar, okay?
- 06:16 So, just click over here when you're done with that.
- 06:19 In that case, I just right clicked.
- 06:21 And then we can see how to add things to the status bar, or
- 06:25 you can decide what's going to be on there.
- 06:28 So, if you're familiar with a lot of the other Microsoft programs,
- 06:32 you'll see some familiar components in Microsoft Visio as well.
- 06:36 So, now you have an idea of how to go into Microsoft Visio.
- 06:41 Two quick ways to add things to the Quick Access Toolbar, and how to add things to the status bar.
