File, Share
The “File, Share” options allow you to easily share a document with other people not necessarily on your computer network.
When to use
This feature can be used whenever you need input from others but collaborating may be difficult because of busy time schedules or time zone differences. Instead, sharing out to OneDrive or via E-mail may be a good option.
Instructions:
1.After a document is prepared and saved,
a.Click FILE, SHARE
b.The first option is “Invite People”, then you must click “Save to Cloud” and log in to your OneCloud server using your own Username and password. (Usually set up when you first installed MS Word to your computer.)
c.The second option is to Email the file. Keep in mind, this option only works if you also use MS Outlook. It will not work with Gmail, Yahoo or any other non-Microsoft email product.
- 00:04 In this lesson, I want to introduce you to file share.
- 00:08 It's basically sharing a document with other people
- 00:11 in a number of different ways.
- 00:12 So that would be on the file ribbon.
- 00:14 So I'll go ahead and click on File,
- 00:15 and right down here on the left panel is Share.
- 00:19 When I activate Share, we have a variety of ways we can share with people,
- 00:23 with Email, Present Online, or Post to a Blog.
- 00:26 As far as the first one is concerned,
- 00:27 the share with people, basically it tells you step one and step two.
- 00:31 First of all, save your document to a OneDrive location.
- 00:35 Now what is OneDrive?
- 00:36 Well when you first downloaded Microsoft Word on your computer,
- 00:40 you probably had to sign up for a OneDrive account.
- 00:44 And so it's a free cloud service linked to your OneDrive,
- 00:48 to your Microsoft user name, and basically you would have to have that
- 00:53 information in order to use the OneDrive account.
- 00:57 Step two, share your document, so we'll do this after you finish saving.
- 01:00 So you save your document to the cloud,
- 01:03 which means you log in with your user name and password, and
- 01:06 then it tell you how then to invite other people to view that document.
- 01:10 Very useful if everyone you're sharing with also uses OneDrive.
- 01:14 Okay, the next option up on the left is email.
- 01:17 And when I click Email,
- 01:18 you can actually attach a document to an email starting in Microsoft Word.
- 01:24 Instead of going to Outlook and then attaching, you would start right here.
- 01:28 Now, there is a caveat to this.
- 01:31 Only Microsoft Word will work with Outlook.
- 01:34 So if you're using Gmail or Yahoo or Hotmail, this isn't going to work at all.
- 01:38 So this little feature is Microsoft product specific.
- 01:43 Okay, if I go ahead and click Send as Attachment,
- 01:46 an email is going to open up, there it is.
- 01:48 It opened up and it already has the document attached just like that.
- 01:53 One click did that.
- 01:54 To me, that's a huge time savings and I love that.
- 01:58 And I use it as often as I can.
- 02:00 But I just want you to know on your Quick Access bar,
- 02:02 happens to sit that same little button.
- 02:05 If I click Email right here, I don't have to go to FIle Share and click Email.
- 02:09 It's sitting right here on my Quick Access bar.
- 02:12 All right, let's go ahead and
- 02:13 go back to the File and Share for the next one, the Present Online button.
- 02:18 When you activate this, basically this is for people who can watch and
- 02:23 observe your document while on web browser.
- 02:26 Again, it says right here,
- 02:28 you will need a Microsoft account to start the online presentation.
- 02:31 So this would be, again, your OneDrive account.
- 02:35 And then the last option, Post to Blog.
- 02:38 Now Post to Blog, isn't necessarily a Microsoft specific item,
- 02:42 because WordPress isn't Microsoft and Blogger isn't Microsoft.
- 02:47 But basically, all of these types of blogging software that are out there,
- 02:52 you can actually type your document and post it directly to that blog.
- 02:56 Of course, when you click that, it'll ask you to log in again.
- 02:59 So you do have to have some other information at the ready before
- 03:03 you use these features.
- 03:04 But the beauty is, it's so
- 03:06 easy now to share documents in a variety of different ways.
- 03:11 Whatever's most convenient to you is the one you will use.
- 03:14 But it does take a little practice to use these.
- 03:16 But I would highly encourage you to give it a shot.
