Envelopes and Labels
Learn how to quickly produce a printed envelope or label for postal mail.
When to use
Printed correspondence requires an addressed envelope or sometimes a label to place onto a large envelope.
Instructions
Print an Envelope
- Select the address text on the document.
- On the MAILINGS ribbon, Create group (on far left), click Envelopes
- The address should appear on the top of the box, have an envelope ready in your printer, and click PRINT.
Add an Envelope to the Document page
- Same steps 1 & 2 above, except click
‘Add to Document” and an envelope page will be placed above your document for repeated future use.
Print a Label or sheet of Labels
- Select the address text on the document.
- On the MAILINGS ribbon, Create group (on far left), click Labels
- Choose Full page or Single label, and make sure the correct Label style is shown
- If it needs to be changed, check your label box for the brand and style #, click OPTIONS, and select the matching Label information.
- 00:04 On your Mailings ribbon, way over on the left-hand side, we have Envelopes and
- 00:08 Labels, and again, if this is something you're going to use a lot,
- 00:11 I would highly recommend adding these to your Quick Access Toolbar.
- 00:14 Simply right-click on top of the buttons, Add to Quick Access Toolbar, and
- 00:19 you should see them on the end of your Quick Access bar.
- 00:21 All right, let's go ahead and get started.
- 00:23 It's a pretty simple, straightforward process.
- 00:26 You simply select the address you wanna send to.
- 00:29 You click on your Mailings ribbon > Envelopes.
- 00:32 And your address appears on the screen.
- 00:35 If you have a pre-addressed envelope,
- 00:36 you're not going to type anything on the return address.
- 00:38 But if you're using a blank white envelope,
- 00:40 you absolutely going to type an address right in here.
- 00:42 And then it even shows you how to feed the envelope to the printer.
- 00:47 On the Actions ribbon, I can actually choose a different size envelope, and
- 00:51 I can even change the font sizes.
- 00:52 So I'll hit Cancel on there, and
- 00:54 I do wanna show you this little feature called Add to Document.
- 00:57 When I activate that button, there was a slight change on my screen, and
- 01:02 basically it put an envelope on top of the document itself.
- 01:05 So that if this is a regular mailing you do, why go to the work again?
- 01:09 Just do the work once,
- 01:10 add the envelope to the top of your document and save it together.
- 01:14 Now when I hit Print,
- 01:15 envelope prints first, and then the letter prints second, okay?
- 01:19 So now, let's go ahead and look at the labels.
- 01:22 All right, every label box you purchase has a number on it,
- 01:27 5261, on this particular example.
- 01:30 And so, same process.
- 01:32 I'm just going to select the address I want to use,
- 01:35 click Mailings > Labels, and now I'm here.
- 01:39 The label address shows up.
- 01:40 Full page of the same label or
- 01:42 a single label where you can identify the row and column.
- 01:45 If you've got a leftover sheet with leftover label stickers on it,
- 01:48 you don't have to waste anything.
- 01:50 You can actually identify which one.
- 01:51 Okay, full page of the same label, look what happens when I hit,
- 01:56 actually I have to hit Options first cuz I have to make sure it is using Avery 5261.
- 02:02 Of course, I can see this here because I had chosen it previously, but
- 02:06 what if your box is different?
- 02:08 When I click Options, this is where you identify your Label vendor, and
- 02:12 look at the long list.
- 02:13 My goodness, there is a lot of vendors in there.
- 02:16 I'm gonna stick with my Avery.
- 02:18 And then look at all these numbers down here.
- 02:20 I want 5261, so if I click there,
- 02:23 I can actually type my way to that number, 5261, and choose that one.
- 02:28 And of course, I got that number off the front of the box.
- 02:32 So I'll go ahead and hit OK to this.
- 02:34 And now, what's gonna happen is I'm gonna hit brand New Document.
- 02:38 It's gonna create a new document.
- 02:40 It's gonna look a little funny on my screen, and so
- 02:42 let me just do some switching here real quick.
- 02:46 There's a little glitch on my 2016, so I have to click out of it and back into it.
- 02:51 But when I hit New Document, look what happened.
- 02:54 I have a full page document of the same label.
- 02:57 Wonderful if this is someone you're sending to on a regular basis.
- 03:00 You just can just peel off a sticker, stick it on an envelope much easier, or
- 03:04 on a package I guess, much easier than printing a single envelope.
- 03:08 Of course, if this is something I'm gonna save, I would save it,
- 03:10 name it appropriately, but that is the whole lesson about envelopes and labels.
- 03:16 Put the buttons on your Quick Access Bar if you're using them a lot, but
- 03:19 just don't forget they're on Mailings > Envelopes and Labels.
