About this lesson
Quick reference
File, Recent
The “Recent Files” list is a time saver, especially when you pin your most used document to the list.
When to use
Rather than searching repeatedly for your most used document or file location, use the push pin to lock it onto the top of the list. When the document or file is no longer urgent, just click the pin to turn it off.
Instructions:
1.There are two places to find recently used documents: Both are on the FILE ribbon
a. File Ribbon, then click HOME
b. File Ribbon, then click OPEN
2.To keep your favorite Documents or Folders at the top of the list, simply click the Push Pin that appears when you float the mouse over the Document or Folder name.
- 00:04 So we're working with Microsoft Word a little more and
- 00:07 we need to know how to get to our files quickly and efficiently.
- 00:10 So let me show you something about that file ribbon up on top.
- 00:13 I'll go ahead and click on File and it starts with the Home.
- 00:17 Then we have New and Open, we're going to go through all three of these.
- 00:20 Now notice on the Home section, I have a bunch of new templates up here.
- 00:24 We had a previous lesson on those.
- 00:26 I have an option down here for Recent.
- 00:28 Now these are chronologically listed and they float on down the list,
- 00:32 but notice some of them have push pins, and some of them, don't.
- 00:36 When I float my mouse, I have the option to go ahead and pin it.
- 00:39 And it'll pop up to the top of the list.
- 00:42 And then I can just unpin it and take it off that list.
- 00:46 Notice I have a section, we have Recent and Pinned.
- 00:49 So if you prefer to quickly find your pinned ones,
- 00:52 you just go straight to Pinned.
- 00:53 What about shared files?
- 00:55 Anything Shared with Me?
- 00:56 Well, not so far, but if you're working in OneDrive,
- 00:58 you might have some files in there.
- 01:01 I generally leave mine pinned right here, so I can just see my pinned ones first.
- 01:06 Let's go to the New section, and we had a previous lesson on this one,
- 01:09 the new templates.
- 01:10 But let's just say you're going down in here and
- 01:12 you're finding one that you really like, maybe this calendar and
- 01:15 you don't want to have to find it every single time.
- 01:18 Just pin it to the top of the list, because you want to use this every week.
- 01:21 So I just pin that one and landed right up here.
- 01:24 If you're done using it, just unpin it and it'll go away.
- 01:27 So these push pins are very handy.
- 01:30 Well now let's go to Open.
- 01:33 When we click on Open, here we have our recents, we have This PC,
- 01:38 Add a Place, Browse, even our OneDrive folders.
- 01:42 Now the Add a Place that means a second cloud server out in the web.
- 01:46 Let me draw your attention to the right-hand screen.
- 01:49 Over here we do see Documents.
- 01:51 We do see a bunch of pinned documents, and I can unpin them, and I can
- 01:55 scroll down and see more recents that are chronologically floating down the list.
- 02:00 But my favorite place of all is right up here called Folders.
- 02:04 So maybe it's not just one file you want to work with every day, or
- 02:07 once a week, or once a month.
- 02:09 It's a particular project folder you want to work with.
- 02:12 So we can click Folders, and then open that and then all your files are in there.
- 02:18 Notice again, I've pinned these, but right down here if I want to pin one of those,
- 02:21 just float your mouse, activate the pin.
- 02:24 You can also right-click, and have the option to pin to list, or
- 02:28 remove from the list.
- 02:31 Up right, up here, I could unpin from list or remove from the list entirely.
- 02:36 All right, so that is on the Open and the Recent.
- 02:40 Check this out, we have Shared with Me.
- 02:43 I haven't shared anything, but there it is.
- 02:47 We have This PC, again it shows my folders, shows my recent files.
- 02:52 These are in alphabetical order and I don't have the option to pin them.
- 02:57 It does show me the file path at the top.
- 03:00 And now let's go to Browse.
- 03:02 Browse will open up my file system, this also has a clickable file path at the top.
- 03:09 Shows me everything in this folder, and I can click any one of them I want.
- 03:13 So, I'm going to go ahead and cancel on this right now.
- 03:15 So, which one should you choose?
- 03:20 Should you go to File Home?
- 03:22 Well, maybe should you go to File New?
- 03:23 Possibly. Should you go to File Open?
- 03:25 Of course, for Recent and Folders.
- 03:29 Well, that's my favorite place, it doesn't have to be yours.
- 03:32 The lesson here is you'll go to whichever one works best for you.
- 03:35 I'm just trying to show you the options, so you can pin those files at the top and
- 03:39 those folders at the top.
- 03:40 It's a great, great feature.
