Language and Translation
Microsoft Word 365 can be customized to display a different and can also translate an entire document and Read it Aloud.
When to use
If you work with non-English speaking customers or co-workers, translating documents may be a benefit for you.
If you do not speak English as a first language, you may want to fully customize Word to display in a language of your choice and have the document read aloud.
Instructions
Set Language Preferences
- Click the Review Ribbon, then Language
- Choose the Editing Language, Display and Help Languages, and Screen Tip Language
Quick Translation
- Right Click any word and choose “Translate” on the list.
- OR, select a paragraph or sentence, click the Review Ribbon, click Language, and then Translate
Choose “Translate Selection”
- To Translate an entire document: Click Review ribbon, Translate, and choose Translate Document
Read Aloud
Right Click any word or full document and choose “Read Aloud”
or click the Review Ribbon and choose the Read Aloud button.
- 00:04 The Review ribbon contains another great feature which is called Language.
- 00:08 We can translate and we can change the language that we type in or
- 00:12 the language that displays on our screen.
- 00:14 Let's go ahead and click that one first.
- 00:19 The options are Set Proofing Language and Language Preferences.
- 00:23 When I click the Set Proofing Language,
- 00:26 I can tell it which language I want it to spell check in.
- 00:30 After you made your selection, go ahead and click OK and rerun your spellcheck.
- 00:35 The second option under Language and Language is Language Preferences.
- 00:40 When this screen opens, it allows me to change the language on the buttons, menus,
- 00:45 and other controls.
- 00:46 Down below, this is where I can manage the language used for
- 00:49 creating and editing documents like the proofing language.
- 00:52 So it's the same button on the front screen, but it's here as well.
- 00:56 I'll click OK on that, but I'm not making any changes on my screen.
- 01:01 Now let's go to the second best thing in the world, translate.
- 01:04 My goodness.
- 01:06 When we activate the translate button, we have two options,
- 01:10 translate just a selection or the entire document.
- 01:13 I'll go ahead and select a line of text, come up to the Review ribbon, Language,
- 01:18 choose Translate and Translate Selection.
- 01:23 You'll see a panel appear on the right hand side, and
- 01:26 notice at the top I can translate just a selection or the entire document.
- 01:30 Now in this case I'd already had Spanish chosen,
- 01:33 I can hit that drop down and I can type in a different language, and
- 01:38 it will translate, and then I can go ahead and click Insert.
- 01:42 Now before I go on,
- 01:43 I want to show you something else that's happening up here on the Review ribbon.
- 01:47 We have a Read Aloud button, so
- 01:50 when I click on just this example and
- 01:54 hit Read Aloud, listen to the English language.
- 02:00 >> Sample text to translate below, choose your language on Review ribbon.
- 02:04 >> Okay, I can stop that.
- 02:05 Now if I select that paragraph again, come to the translator and hit insert.
- 02:12 Watch what happens when I hit the Read Aloud button.
- 02:22 >> Even the pronunciation is accurate, this is fantastic.
- 02:25 Let's try it again, I'm going to triple click
- 02:30 that paragraph, change this to Spanish,
- 02:34 click on Insert, and hit the Read Aloud button.
- 02:43 >> I love this.
- 02:44 All right, let's do the final part, and that is translating the entire document.
- 02:48 Now before I do this, I don't have to even select the entire document.
- 02:52 I'm just going to click on it, tell it to auto detect,
- 02:56 translate the entire thing to Spanish and hit translate.
- 03:01 Translation is complete.
- 03:02 If I'd like I could go back to the Review ribbon, hit Read Aloud and
- 03:06 have the entire document read to me in Spanish.
- 03:09 If something changed I want to take a note of that, take a look at my title bar.
- 03:13 It just says Word, it doesn't have my document title,
- 03:16 that's because there are two documents open right now.
- 03:19 I'll click on the View ribbon, switch windows, and
- 03:23 it shows me my original Exercise document, View ribbon,
- 03:27 Switch Windows, and my new one that hasn't even been saved yet.
- 03:32 So it protects your original document but
- 03:35 hands you a translation on a separate piece of paper, this is wonderful.
- 03:39 I really encourage you go into the Review ribbon, experiment with the Language and
- 03:44 the Translation and then hit the read aloud.
- 03:47 You might be able to learn how to speak and
- 03:52 pronounce another language properly.
