Creating Trello Boards
Finding the sweet spot of a set-up can save you huge amounts of time and efforts when working on a project or as a team.
Creating the perfect layout on Trello is the same, once you've worked out what works best for you, you can improve your workflow easily. Trello is a strong, flexible resource to create all of your own custom set-ups for projects and goals.
When to use
- As you begin your new Trello account
- For those with new projects
Instructions
- Use pen and paper to visualize your ideas
- Create a new board on Trello with a clear title
- Begin by adding lists and cards relevant to your project
- Have a look at the Calendar Power-Up
- Change the background image or colour
- Use the exercise to implement techniques
There are a lot of different ways to set up your boards, two of them are listed below:
- The "To-Do, Doing, Done" kanban set-up
- The weekly kanban with lists titled Monday, Tuesday, Wednesday and so on

- 00:08 I'm your host Francesco and we'll be going over Trello today.
- 00:12 We're gonna be talking about how to set up the perfect Trello board for you.
- 00:17 This is important because Trello is a great resource that many people are using.
- 00:21 They can use it for teams, they can use it for individuals.
- 00:24 I've personally used it in a team situation, as you can see here, and
- 00:27 also in a work situation, but only as myself.
- 00:31 And I still use it daily to help myself organize.
- 00:34 I'm basically gonna set everything up.
- 00:36 I'm gonna show you what an account looks like and get started with stuff.
- 00:39 So I'm just gonna call this one my name and
- 00:42 put it inside of my team one, which I'll explain to do in the next feature.
- 00:47 But as you can see, the team is visible, so you can actually change that.
- 00:50 And if you want it to have no team, we have to do that.
- 00:53 And as you can see, it's privatized.
- 00:55 So I'm gonna privatize it for now, and it'll appear on my boards later on.
- 01:00 I can set up different types of boards.
- 01:02 What I recommend people to do when they start is actually
- 01:04 just to use the can ban system.
- 01:06 Now this is allowing you to stage certain items in your to do list.
- 01:10 So for example, I would have To-Do here, Doing, here.
- 01:14 I would have Done and maybe I would have Review here.
- 01:17 Essentially what I create a to-do, so it could be pick up washing, for example, and
- 01:22 then you can drag it across the status of each of these.
- 01:25 First To-do, and Doing and then Done.
- 01:27 So it's a good way to start out.
- 01:28 Now, many people I know have adopted a weekly Kanban.
- 01:32 Monday, Tuesday, Wednesday, etc., etc.
- 01:36 And it's actually a quite a nifty way to quickly add stuff.
- 01:40 So you can add all your to-dos here, and as you can see, they appear as cards.
- 01:44 So you probably wondering what brilliant, what else could they do,
- 01:47 you click into them, and you have a whole host of other functions.
- 01:51 So as you can see you can add a detailed description,
- 01:54 that could be any links of information that you might want to add.
- 01:57 You can add members, so you can invite other people so in this case,
- 02:01 it would just be myself to do that task.
- 02:03 But you can add other team members just by clicking that and
- 02:06 actually searching through the Trello function.
- 02:08 You can add comments.
- 02:09 This is very handy when it comes to using it with teams,
- 02:12 because you can add a comment and invite someone.
- 02:14 You can add attachments, add a mention, which means you highlight a specific
- 02:18 person, add emoji, and even add a card from this board or another board.
- 02:24 You can add labels as well to highlight certain things, and
- 02:26 I'll demonstrate that when we come out.
- 02:28 And you can even use a checklist inside here too, so
- 02:31 if I wanted to add pick up washing, pay washing person,
- 02:35 once you tick it off, it ticks it off as a completed item.
- 02:39 You've also got due date as well so
- 02:41 that could be a handy one, if you're looking to add a due date.
- 02:44 Very simple.
- 02:45 You can add a specific time, even enable a calendar power up which is quite nice.
- 02:50 You've also got attachments so you can add any attachments at any given time.
- 02:53 You can move the note, copy the note and
- 02:55 even unsubscribe once subscribed to the note and archive it too.
- 02:59 So it's a very functional once you go inside it and
- 03:02 as you can see, some of the functions that you just clicked on the checklist,
- 03:06 the viewing, who's gonna complete the task will appear on the outside you can quickly
- 03:10 visually associate it with things.
- 03:12 There's an important power-up that you might want to know,
- 03:15 is the calendar power-up.
- 03:16 Now, this is something that you can quickly enable.
- 03:19 And once you enable it, a calendar will appear here.
- 03:21 If I go back to this one, set the due date as Monday, click Save, and
- 03:26 as you can see Monday appears here.
- 03:28 But if I click calendar, that exact card will appear here allowing it to be
- 03:31 clickable and you can see anything in advance.
- 03:34 This is handy for
- 03:35 editorial calendars which I'll explain near the end and event planning.
- 03:39 Just a final thing to make your Trello experience as best you can,
- 03:42 you can actually change your background, so you can change its colors or photos.
- 03:46 I tend to like the photos because they've been imported from Unsplash.
- 03:49 So I'm gonna click this one, which is quite a smart one, and
- 03:52 as you can see it makes your board look really interactive.
