Creating Trello Team Boards
Teams can use Trello to get things done across their workday.
Creating a team account is very easy and you can start as many boards as you like on a Trello team account. Boards are one of the best ways to visualize your tasks and activities as a team and perfect for conquering all those projects you might have on.
Trello provides you with a framework to plan any activity and is extremely flexible with everyone from event planners to sales professionals, even students to doctors. This method of planning is very universal and can span across any job role or activity.
When to use
- As you begin to understand Trello for personal use
- If your team are comfortable implementing a new Project Management service like Trello
Instructions
- Create a new team inside your account (with the plus button in the top right hand corner)
- Name and add a description to your team page
- Add a profile photo, then begin creating boards
- Create a new board, using "team" board as your option
- Search for and Invite team members to the Trello boards
- Complete exercise to help get your team board started

- 00:11 We're jumping into Trello and going into as much detail as possible,
- 00:15 on how to optimize your Trello account.
- 00:18 We're here on Trello to talk a little bit about team boards,
- 00:20 which are an important part of Trello.
- 00:22 Because many people use it in the situations like startups, and small teams
- 00:27 and freelancers, to help organize all of the activities that they've got going on.
- 00:33 So it's important to understand how you can use it
- 00:36 to share between different people.
- 00:38 Once you create a new board, you just have to go up and
- 00:41 create a Personal Team, which will allow you to invite groups of people,
- 00:46 and they can be anyone from company, team or family.
- 00:50 There is a Business class version which will give you some more security, and
- 00:53 information.
- 00:54 We'll include that in the description,
- 00:55 but we don't think it's necessary to get started with.
- 00:59 So here is an example of a team page.
- 01:01 I'm gonna create a new board on this team page,
- 01:03 as an example to demonstrate some of the functions. In the team.
- 01:07 It's best to work out what setup you want.
- 01:10 So the basic kanban setup is To Do, Doing,
- 01:13 Done, which will allow you to highlight any of the tasks you've got going on.
- 01:17 However, you can be as specific as possible.
- 01:19 Once you create an item, say for example Organize Agenda for
- 01:24 Meeting,. Once you go into there, you can invite members.
- 01:28 So you can show other team members and invite them directly,
- 01:31 this is actually really beneficial.
- 01:33 Then you can assign tasks to other people,
- 01:36 that's even more beneficial when it comes to the comment section,
- 01:39 you can highlight specific people in your team to reply back to you.
- 01:43 So let's say, I want to say, hey, the good thing about Trello is
- 01:46 you can associate certain things like labels with it,
- 01:50 and add, and assign members, not even having to go into the detail of the card.
- 01:54 Once you do assign some team members, it makes it easier for
- 01:58 that team member to see that it's their responsibility to complete that task.
- 02:03 They can move it over and access all of the information inside of the notes.
- 02:08 Now it's actually really easy, because once you're on the menu,
- 02:10 you can see the people participating inside of the team note, and
- 02:14 this list of activities, of people's changes.
- 02:17 This way you can see a whole overview of who was added, what was moved,
- 02:21 what was adapted inside all of the functions inside this Trello board.
- 02:25 You can also see the comments, too, to quickly get access to that.
- 02:29 Most of the time the notifications appear up in the top, right hand corner.
- 02:33 Now you can unassign team members, and also save that, so
- 02:36 that it makes sure that that person doesn't see it.
- 02:40 You've also got the ability to change it public,
- 02:42 in case you want to actually share the board out to other people.
- 02:45 However if you press More and then go over to copy the linked board,
- 02:49 you can share it directly to someone you've invited as a team member.
- 02:53 Now this is very handy because, in case they can’t seem to find the board, or have
- 02:57 created a new account on getting started, it’s best to send this over to them.
- 03:01 On this section you’ve also got the ability to email board to board setup,
- 03:05 if you had customer emails coming in,
- 03:06 you can have them bring into an Evernote board landing in a list.
- 03:11 You can also subscribe to it, copy the board layout and print an export,
- 03:14 which are all very handy functions, for when you are inside a team.
- 03:19 You've also got power up, so you can actually add different features and
- 03:22 functions, that will allow you to quickly be able to define stuff.
- 03:26 So for example, if you and your team have a Dropbox account, Evernote, Google Drive,
- 03:30 or use Hangouts for meetings and many,
- 03:32 many more, you can connect them all there, which is a very useful feature.
- 03:37 You can also use stickers as well to notify your team, that a task has been
- 03:41 completed, and also add just a little bit of fun to the experience.
- 03:46 Now it's really easy to get started, and
- 03:48 it's one of the best ways to organize all of your team progress.
- 03:52 You can use the lists and cards however you like, so
- 03:55 it's a great way to get started.
- 03:57 I hope that gave you sort of an overview of how you can use Trello as teams.
- 04:01 It's very simple, and works in a similar way to the personal setup, so feel free to
- 04:06 go back to the first feature, which explains sort of how to set up a board.
- 04:11 But we're gonna, in the next feature, explain how you can use it for
- 04:13 event planning, and modifying all of that.
