Tally Your Time for Clients in Hours
Spending time with clients is a necessity when growing your business or freelance. As a freelancer or business, tracking that time can be difficult and laborious, but with Hours, you have a hub of timers to keep track of each moment spent with your clients. This method can save you time, improve billing and reduce stress and friction between employees/freelancers and clients.
Try these different functions as demonstrated in the video:
- Monthly calendar view (calendar button in the top left)
- Creating a timer (plus button in the bottom right), assigning colour, title, project, client and tasks
- Adding time blcoks to the timeline
- Starting a timer
- Archiving a timer by swiping to the left
- Finding reports in Settings and emailing one
When to use
- When you are exploring methods to tracking time with clients
Hints & tips
- Remember the time tracking tool can be used outside of working with clients too
- You can add as many timers as you want
- You can add several timers per client, e.g. one for each activity
- 00:04 Hello everyone, and
- 00:06 welcome back to Essential Productivity Training with Francesco D'Alessio here.
- 00:11 So what we're going to be doing is talking a little bit about hours some more.
- 00:16 And specifically, how you can use it for tallying time with your clients.
- 00:21 This is and can be useful for freelancers,
- 00:24 also those who are just looking to consider how they use time.
- 00:28 So as you can see here, this is an iOS Application.
- 00:31 You can tap that button there in the left hand corner to zoom out on the day, and
- 00:36 you can basically see from there an overview of all of the days you've got.
- 00:40 When you go into a timer, and you can see the Newton one I've got here.
- 00:45 You can set a project for that specific client,
- 00:49 and you're probably wondering how do I even start by creating a timer.
- 00:55 And that is really, really simple.
- 00:56 So once you're in the main screen with the timers you can scroll to the bottom and
- 01:01 you'll see and timer.
- 01:03 From here you'll be able to see choose a project.
- 01:06 All of the pre-designed projects that you've already got will appear but
- 01:09 you can create a brand new one and that can be created there.
- 01:13 You can assign a color and a title to the project.
- 01:17 And then from here you'll be able to select a client.
- 01:21 And you can create a new client from here.
- 01:24 With that colorization.
- 01:26 So for example, I'm gonna select College of Arts, and hit Save.
- 01:30 Now once I've got this new client in there,
- 01:33 I can even add a detail on the task at hand whenever I'm doing the item.
- 01:38 But for this case, I'm going to show that when I went back and
- 01:43 during the day, I did a bit of work here.
- 01:45 And, as you can see, red indicates the client I've been working on,
- 01:48 College of Art here.
- 01:49 And you can see the time block.
- 01:51 So that's actually a very valuable thing to have.
- 01:54 You can do that for different clients.
- 01:56 You can see here, I've tracked that specific time for this time and
- 02:00 how long I worked on different things, and you can go forward and backwards and
- 02:04 do that, even to previous days, which is helpful.
- 02:07 And in some cases reference some of the pieces you're doing now.
- 02:12 Now, it's really easy to choose a specific task you have, say for example,
- 02:15 let's say on a client you did Emailing or something like that, or some admin or
- 02:20 recording, then you can modify all of that in the task sections and
- 02:25 you'll be able to see everything there.
- 02:26 So the task is optional, a project is more definitive I would say,
- 02:31 and is a bit more clear.
- 02:33 But from here it's all accessible and you can find everything there.
- 02:37 Now as again you can archive any of the timers from the menu and
- 02:42 you can even provide the reporting.
- 02:44 So if you go under settings you can see all of the reporting for
- 02:47 a set period of time.
- 02:48 For example lets say you've got this year so
- 02:51 far or you can have per month and you can export that into PDF or
- 02:55 even a summary, CSV and web formats so then you can send them on.
- 03:00 Maybe you want to send to a client how much time you spent with them and
- 03:04 they can reference the billing or you can send it with an invoice,
- 03:07 based on how much time you spent with them.
- 03:09 And of course you can start any timer when you like.
- 03:12 Now this is actually a very fruitful process and can be hugely beneficial for
- 03:16 your productivity.
- 03:17 So hopefully you found value from using ours.
- 03:20 The iOS application is free so it's definitely worth trying out.
- 03:24 Let's jump into the next section.
