Ribbon and customer list
The ribbon and customer list is a list of active customers in QuickBooks Online and a way to filter customers based on predefined criteria.
When to use
The customer list is a great directory to quickly view transactions relating to specific customers. It's also useful to quickly see which customers are linked to open transactions such as overdue invoices.
Instructions
- Click on the word sales in the left side menu bar
- Click on the word customers in the menu that pops out to the right
- To filter the customer list:
- Click on the colorful ribbon
- Light blue = open estimates
- Dark blue = unbilled activity
- Orange = overdue invoices
- Gray = open invoices (including the overdue)
- Green = customers paid in the last 30 days
- Enter a customer name in the search box to the right of batch actions
- Click on the colorful ribbon
- To view transactions relating to a customer click on the customer name
Hints & tips
- A quick and easy way to find historical transactions related to a customer (such as sales receipt and invoices) is to find that customer on the customer list and then click on their name.

- 00:10 I'm going to have you click on sales on the left hand side of your screen.
- 00:14 And then come down to customers.
- 00:17 Doing this is going to take us to the customer list and
- 00:20 display the sales ribbon across the top of the screen.
- 00:24 In our example, our customer list is three customers long.
- 00:28 And your QuickBooks, it's likely to be longer than this.
- 00:32 What you can see when you click on the sales ribbon is the number of open
- 00:36 estimates you have.
- 00:37 The number of unbilled activities you have.
- 00:41 The number of overdue invoices, the total number of open invoices.
- 00:46 And the number of invoices that have been paid in the last 30 days.
- 00:51 If you wanted to isolate your customer list and
- 00:54 say okay, we'll pretend the customer list is more than three.
- 00:57 But if you say you know what, I want to see who owes me money.
- 01:01 You can click on the orange where it says three overdue, or
- 01:05 you can click on the gray where it says 3 open invoices.
- 01:09 The gray is going to encompass all the open invoices,
- 01:12 whereas the orange is just the overdue invoices.
- 01:16 So let's click on the gray.
- 01:18 What this has done is reduced our customer lists from three to two.
- 01:22 To of our clients have invoices that are outstanding.
- 01:26 I can see over here under pending invoices a hyperlink that says two open invoices.
- 01:32 If I click on that, it's going to take me to a list of their transactions.
- 01:36 Over to the right in the status column, I can see that these top two are overdue.
- 01:42 If I want to look at the invoice, all I have to do is click on it and
- 01:45 then I can see it.
- 01:48 Let's go back to the customer list.
- 01:52 After you get done looking at this narrowed down or filtered list, if you'd
- 01:56 like to see all of your customers again, you can click clear filter view all.
- 02:03 If you wanted to see the customers who have bought from you in the last 30 days,
- 02:07 you can click on that page on the right hand side.
- 02:11 In this case, it's all of our customers.
- 02:15 I do want you to know that this is only showing the things
- 02:17 where the invoice was generated.
- 02:20 If you didn't generate the invoice, for example, if you instead generated
- 02:23 the sales receipt, you're not going to see it over here.
- 02:26 Because sales receipts are never open and they're never overdue.
- 02:30 They're paid immediately.
- 02:32 Let's create a quick invoice just so you can see this number increasing.
- 02:35 So we're going to pick on Gleeful Gizmo this time.
- 02:39 First, I do see that I can create an invoice over here.
- 02:43 I tend to go up here to the upper left hand corner and click on the plus new.
- 02:47 I do that because it's available no matter what screen I'm on.
- 02:50 So plus new under the customers column, I'll go to invoice.
- 02:54 So Gleeful Gizmo, and then we'll say, four hours of training.
- 03:02 This person really wants to know how to drive a race car.
- 03:05 In the lower right hand corner, I'm going to go ahead and click on Save.
- 03:09 And then I'm going to close this invoice out.
- 03:11 So I'm going to click the x in the upper right hand corner.
- 03:15 Now when I look at my ribbon,
- 03:16 I can see I have three invoices that are overdue, that's still true.
- 03:21 And I have four open invoices.
- 03:23 So the difference is the new invoice the one for
- 03:25 Gleeful Gizmo, it's not overdue yet.
- 03:29 So when I click on this, it's just going to say, here's all the invoices.
- 03:33 When I click on that orange, it's going to narrow it down and
- 03:35 say these are the ones that are overdue.
- 03:38 Please follow up with these clients.
