Filtering data
In this lesson, you'll learn about creating filters.
When to use
Use this whenever you want to filter your data to a specific range.
Instructions
Create filters by using the Filters card on the Worksheet screen. Hold the Control button on your keyboard and drag a measure or dimension onto the filter card.
From the pop-up box that appears, filter your data accordingly.
Hints & tips
- Filters are created by dragging measures or dimensions onto the filter card.
- 00:04 Okay, in this video I want to start to talk about filters.
- 00:06 So I've gone ahead and cleared my sheet again and
- 00:09 let's just drag over our breed and our count, like we've been doing before.
- 00:14 And let me pull this up as a text table.
- 00:19 So, you see we've got a lot of things here.
- 00:22 We've got a lot of breeds, and a lot of text and a lot of data.
- 00:27 And some of these are just maybe not so relevant, like,
- 00:30 do we care that there's one black Russian terrier, maybe not.
- 00:33 Maybe we just want a specific range of this data to focus on like the top 10 or
- 00:39 the top anything over 2000 or 5000 or 8000, or whatever, how can we do that?
- 00:46 How can we sort of filter this stuff out?
- 00:47 Well, it's really easy, we have this filters card and
- 00:49 we can do all kinds of cool stuff with it.
- 00:51 So let's say we want to filter by the number.
- 00:54 We want to break this down, we want a lot of these little ones 5, 8, 18.
- 00:59 Beyond a certain level, we wanted just sort of discard and
- 01:02 only focus on the larger numbers.
- 01:04 So I can same way, hold down my control button, command if you're on a Mac.
- 01:07 And, just drag this up to filters, and when we do, this little menu pops up.
- 01:11 And we can pick, we can do range of filters, we can do at least, at most,
- 01:15 we could do some special.
- 01:16 You can see range values is the default that's already selected, and
- 01:20 we could set up a range so 9403 that's the number of mixed ones I think.
- 01:24 We'll remember back couple of videos ago looking at our tree map.
- 01:28 I think 9400 was the mixed or lab or whatever the largest section was.
- 01:33 And so let's say we only want the top five from 5000 to 9400.
- 01:38 So there has to be at least 5000 registered dog
- 01:41 breeds to show up with this, so we can click apply and see.
- 01:45 And that only gives us three records, the lab mix, labrador retriever, and the mixed,
- 01:49 and sure enough that mixed is the biggest one, right?
- 01:51 So okay, maybe that's a little bit too much, let's go 2000.
- 01:55 When we do, okay, we've got a nice little list.
- 01:58 It's very manageable, and this may be what we want to look at so let's click Okay,
- 02:02 and that's very cool.
- 02:03 So let's, for instance, now pop over to our pie chart, all of a sudden, the pie
- 02:07 chart becomes much more manageable. What about these packed bubbles?
- 02:11 Yeah, this is much more sort of user friendly.
- 02:14 And we can see when we hover over them,
- 02:16 each of the values, maybe we want to use our labels.
- 02:20 So I'm going to come down here, hit control, grab my labels in there,
- 02:23 boom, there we go, just that easy.
- 02:25 Maybe we want our percentages, so let's grab the count again, bring it down.
- 02:30 Click the caret, change quick table calculation,
- 02:33 add our percent of total, control button, hold, bring it up to label.
- 02:38 Boom, now we can see the percentage and very very cool.
- 02:41 So that's how to add a filter quick and easy.
- 02:45 And we can do certain things here.
- 02:47 So if we click on this, and let's go,
- 02:50 we can set this to apply to specific worksheets.
- 02:53 So we can say only this worksheet, we could say selected worksheets,
- 02:57 or we could say, hey, all of our worksheets, just use this filter.
- 03:01 So if we click this, that will happen right?
- 03:05 So that will affect this worksheet over here too.
- 03:08 So let's give it a try and see, so I can click on this, apply to worksheets,
- 03:13 all using this data source, boom.
- 03:16 And now we come back over here, there's only those few things listed, right.
- 03:21 There we go.
- 03:22 So it's applied that to every worksheet that we have.
- 03:24 We only have two worksheets, but very interesting.
- 03:27 So you can come back here, hit Ctrl Z and change that back.
- 03:32 Let's see, what else can we do?
- 03:33 We can edit the filter that brings this menu back up again, so
- 03:36 we can change this if we wanted to.
- 03:38 I don't really see anything that we would want to change, but if you did,
- 03:42 you could do that there and just that easy.
- 03:44 So that's a quick and easy way to add a filter to your data.
- 03:47 And you can filter by anything you want, I just happen to pull in count.
- 03:50 You can add multiple filters if you have different measures that you want to use.
- 03:54 And it's just as easy as dragging them into the filter cards and
- 03:57 adding them there.
- 03:59 So that's all for this video.
- 04:00 In the next video, we'll look at adding filter menus.
