Sharing Your Visualization As A PowerPoint File
In this lesson, you'll learn how to share your Visualization as a PowerPoint, PDF, and Image file.
When to use
Use this technique to share your Visualization as a PowerPoint File, PDF Files, or Image File.
Instructions
Save your Visualization to the Tableau Cloud. Go to the Tableau.com website and go to your profile, then find your saved Visualization.
Scroll to the bottom of the screen and click the Download icon and choose to save the file as "PowerPoint", "Image", or "PDF".
Hints & tips
- You can't export your Viz as a PowerPoint, image, or PDF directly from the software.
- You CAN save your Viz to the Tableau Cloud, then go to the Tableau website and save it as PowerPoint, Image, or PDF there.

- 00:10 Now, one of the drawbacks of Tableau Public is that we can't save our work
- 00:15 to PDF files, or to images, or to PowerPoint.
- 00:18 If we come over here to worksheet and hit Export, you can see it's grayed out,
- 00:22 it's just grayed out in this version.
- 00:24 So you have to pay for the upgraded version in order to use these things.
- 00:28 Same here, if we try to save this, all we can do is save it to Tableau public, but
- 00:31 there is a workaround and I'm going to show you how to do it in this video.
- 00:34 So let's head back over to the website, Tableau.com and
- 00:37 sign back into your account and we want Tableau public.
- 00:41 So I'm going to go ahead and sign in, so you can come up here to our profile and
- 00:45 you can see our visualizations that we have saved, and we can come over here and
- 00:50 click View to see our visualization.
- 00:53 And what we do here is, now up here you see this download button, and
- 00:57 this will download to tableau.
- 00:59 This will download this whole worksheet, this whole visualization to tableau.
- 01:03 So, if you've closed Tableau and you want to open it back up and
- 01:06 start working again, you can download it from right there, and then that will work.
- 01:10 But if you want to save this as a PowerPoint, an image or a PDF file,
- 01:14 you can come down here in this little sneaky download button, pops up.
- 01:20 And you can save it as an image, a data Crosstab, PDF,
- 01:23 PowerPoint or as a tableau workbook.
- 01:26 Now, we're not going to talk about data or Crosstab, but
- 01:28 we can do the rest of these.
- 01:30 So, let's save this as an image.
- 01:32 We'll click Image and we can either open it or save it, I want to save it.
- 01:35 And now I just want to save this to my desktop.
- 01:38 So I'll go ahead and do that.
- 01:40 And this is just going to save PNG.
- 01:41 So go ahead and save this.
- 01:43 I've already got it I will replace it.
- 01:46 And now I can go back here to my desktop and here it is.
- 01:48 If I right click on it, I've got this image, and
- 01:51 I can do anything I want with this image-wise.
- 01:53 I can open it in Photoshop, I can export it to anything I want.
- 01:56 I could do anything I want with it, there it is.
- 01:58 So that's very, very cool.
- 01:59 So that's images.
- 02:00 Now we can also do for instance PDF, so we can decide what we want
- 02:05 to generate in our PDF, just this worksheet, all of the worksheets.
- 02:10 So if we want all of them, we can click specific and we can see
- 02:13 here is the two that we have, there's also a blank one, but we won't do that one.
- 02:17 And then we can select what kind of scaling we want.
- 02:20 If we want it all to fit on one page,
- 02:22 you might have to play around with the scaling a little bit.
- 02:24 So I'll put it as 60%, and you can change the orientation portrait or
- 02:28 landscape, right?
- 02:31 I'll just leave it like this, and then when you're finished,
- 02:34 you can click Download, and then this will either open or save, we want to save this,
- 02:38 and again, I'm just going to save it to my desktop.
- 02:40 So go ahead and do that.
- 02:41 I've already actually done this, so I don't have to save it again.
- 02:44 And again, we can come down here and look, and here's this PDF file, and when we open
- 02:48 it, we've got this PDF file, and it's very cool, now you can share this.
- 02:52 You can email it to your colleagues or friends or whatever,
- 02:55 do anything you want with it, you can print it out and make a paper copy of it,
- 02:58 anything you want, that's the PDF.
- 03:00 Very cool, and then finally, we can do PowerPoint as well.
- 03:03 So, on PowerPoint, again, you can do just this view or
- 03:07 you can pick which ones you want or do both of them.
- 03:10 And then go ahead and click download.
- 03:13 And either you can open it or save it.
- 03:15 I'm just going to go ahead and save it.
- 03:17 Again, I've already saved this, save it anywhere you want.
- 03:19 I'm just going to save it to my desktop, and I've already saved it, so
- 03:22 I won't do it again but you'll click yes there.
- 03:25 And then here we have the PowerPoint, so we can double click this and
- 03:28 now I've got this nice Microsoft PowerPoint presentation that we can do.
- 03:33 So very, very cool and very easy.
- 03:35 And I gotta tell you, one of the main drawbacks of Tableau public is that you
- 03:39 can't save your visualizations to PDF, PowerPoint or images, but turns out,
- 03:44 you actually can.
- 03:45 You just have to sort of go through a couple of extra steps, go to the website,
- 03:50 click on your visualization that you want to view and then just come down here.
- 03:54 Don't click this one up here, because this will download the entire workbook
- 03:58 the entire worksheet into tableau, which is not what you want,
- 04:01 unless you're just starting tableau.
- 04:03 You've had your computer turned off, you turn on tableau,
- 04:05 you want to work on this visualization.
- 04:07 You come here, you download it, you start working on it.
- 04:10 Otherwise, in order to make it into an image, a PDF or a PowerPoint,
- 04:13 click this little guy down here, choose what you want, set your settings, and
- 04:18 you're good to go.
