Sub-tasks
Sub-tasks are one of the features within Todoist that provide a lot of value for teams with a long list of things to get done within a project, even for individuals. Sub-tasks help to break down tasks into segments, perfect for getting things done. Adding everything to a simple checklist with an expanded view of the sub-tasks will improve the way you use Todoist.
When to use
- If you and your team have a long list of to-dos
- When you're overwhelmed by the to-do list
Instructions
- Open Todoist
- Create a new Project
- Create a new Task
- Add a new Task below
- Use the three dots to indent the task below
- This will create a sub-task
- Begin adding more sub-tasks to the task
- All of these can be added with a due date

- Don't add a due date to each task, if you don't see necessary
- Use the sub-tasks area as a checklist to break down important tasks

- 00:09 So we have just dived into reminders in the previous feature, and
- 00:13 now we'll be diving into sub-tasks.
- 00:15 Now sub-tasks are quite an important part of your Todoist experience.
- 00:19 They do allow you to break down a task into smaller chunks that
- 00:24 allow you to essentially get the job done in a more actionable outplay.
- 00:29 So what we'll be doing in this demonstration is we'll be setting up
- 00:33 a first project to demonstrate how you can create sub-tasks
- 00:37 is a little bit easier to organize your sub-task inside of a project.
- 00:41 So that's why we'll be doing it in this demonstration.
- 00:44 If you would create a project, you go down to here.
- 00:47 In this example, I'm just going to create one called Personal,
- 00:50 because this is going to be a cooking item, so it's going to be really simple.
- 00:54 So once we click Add Project, I obviously have created a project here.
- 01:00 Now, what I'm going to do is I'm going to drag 'Buy ngredients' down to personal and
- 01:06 it disappears from inbox.
- 01:07 That's because it's now gone into a project.
- 01:10 Now we're going to be diving into projects in more detail after the next feature.
- 01:14 So you can see here that I've got 'Buy ingredients' as one of my items.
- 01:19 As you click on to one of your tasks, you do have the ability to add a task below.
- 01:24 And that's from the Options of your task.
- 01:28 Now, once you do this, you can see that it is in line with it.
- 01:31 However, if you want it to be in line as a sub task, you can create it there just by
- 01:37 dragging it in the inside, which is very easy to do.
- 01:41 Now, let's start listing a few ingredients for the salmon dish.
- 01:44 Let's start to add them to the main ingredient, let's put down salmon.
- 01:48 Let's try and get some broccoli in there too, because that's always good to have.
- 01:53 And also we're going to include some cabbage, too.
- 01:56 I've created three simple sub tasks.
- 01:59 You can see that this button has appeared on this left hand side.
- 02:03 We just say toggle opening up a checklist below.
- 02:06 Now as you can imagine,
- 02:07 when you are out on that Thursday at 10:00 am when you are looking for
- 02:10 those ingredients, you can open this up and you can see all of the sub tasks.
- 02:15 Now for example, if I go to that Thursday,
- 02:17 you can see here that the item appears in the list and it will open up.
- 02:22 So what I can do is while I'm going around shopping, I can take these off.
- 02:26 So for example, I would purchase a salmon, buy the broccoli,
- 02:30 and also buy the cabbage, too.
- 02:32 Once you've completed all of the sub tasks,
- 02:34 it doesn't necessarily complete the main task for you.
- 02:37 Now this is something that you can set up.
- 02:40 However, it's a lot easier when you completed them to then go into here and
- 02:44 fully complete the item.
- 02:46 Now this is something a lot of people use, and the takeaway experience is great for
- 02:50 planning and organizing your week ahead.
- 02:53 Now, you can and some people also use comments, to actually organize and
- 02:58 layout a few checklists.
- 02:59 However, do remember that comments and
- 03:01 follow-up notes are available in premium only.
