Sharing Projects
Collaborating with others on projects is a neat way to keep teams and loved ones connected to the next task or checklists. Using it inside of the workplace has proven popular for teams looking to assign and delegate tasks. Outside of the workplace, with casual Todoist use, lists/projects can be shared for planning, organizing moves, shopping lists, and even cleaning rotas. The potential to use projects in creative ways, once shared, is endless.
When to use
- For those looking to collaborate on projects
- To delegate/assign items to other people in Todoist
Instructions
- Open Todoist
- Head to "Projects" Tab
- Choose a Project
- Hit the Options (three-dots)
- Select "Share Project"
- Add a Collaborator via Email
- You can use their Todoist name
- Or share via their email address
- You can view the invites shared
- Delete any pending/current invites
- Go to Project View
- Assign a Task to the new person/team member

- 00:09 we're going to be diving into the abilities of sharing inside of projects.
- 00:13 Now when you want to share a project inside of Todoist,
- 00:16 it can be a great way to collaborate, collaborating with a goal in mind is
- 00:21 one of the best ways that teams can operate and coordinate their activities.
- 00:25 As you can imagine, something like a conference might be a great starting
- 00:29 point, let say you and your colleagues have to work on a conference plan it,
- 00:33 organize it and get it together, it can be pretty stressful.
- 00:37 So you can see here that I've created a conference project here, and
- 00:40 you're probably wondering, how do I get started sharing.
- 00:43 So the only way to share inside of Todoist is by creating a project and
- 00:49 inviting people over to it.
- 00:50 So for example, I'm going to click these option button here, and
- 00:54 you should see an option inside of here called Share project.
- 00:58 Once I click Share project, you can do a whole host of different things.
- 01:02 If I already had someone on side of my Todoist account that I already
- 01:06 connected with another project, you can just search name and they should appear.
- 01:10 But in this case I don't, so I'm going to actually add a new collaborator.
- 01:15 So let's add bob@bob.com and press Invite.
- 01:20 As you can see here, invite has been sent over to bob@bob.com and
- 01:25 his name has been created.
- 01:27 Now you can see here that's it pending, and
- 01:29 you can delete if you wish, remove that collaborator.
- 01:32 You can add as many as you like, although there are options
- 01:36 inside of Todoist that limit you inside of this account.
- 01:40 If I want to, I can invite from projects so you can see that there are no other
- 01:44 projects shared here, but you can do that if you have that accessible.
- 01:49 And if I wanted to, I can see who exactly is being shared
- 01:54 inside of this project without necessarily having to go in the options.
- 01:57 Now you probably see that there's this person that appear and not this just
- 02:01 plain color, that means that it's a shared project, which is a great indication.
- 02:06 Now from here you can see that Bob has obviously been invited and from here,
- 02:10 I can start to assign items to him.
- 02:13 So if I click Edit item, you can see that a plus button appears,
- 02:17 which is the assigning option.
- 02:19 Now I'm going to assign this task to Bob, and
- 02:21 he's going to begin planning the event conference.
- 02:24 Now of course, you can add tons of different sub tasks,
- 02:26 tons of different extra items, section headings and stuff that we'll talk about
- 02:31 in later advanced sections, but it's a great way to use it in front of teams, for
- 02:36 freelancers that want to bring in different clients.
- 02:38 Or even if they're just coordinating a project with someone that they're
- 02:43 working with, another team member, or using it casually.
- 02:47 I know a lot of people use this as a way to add all of their chores for the house.
- 02:51 And allow students who have the students housing that work together to clean house
- 02:55 using Todoist, so it's a great way to collaborate and
- 02:58 it's a great way to coordinate.
- 03:00 Hopefully that was a nice overview, we'll be diving over in the next section into
- 03:05 section four, which talks about labels and filters, I'm really excited for that one.
