Creating and Editing Filters
Filters are one of the best viewing angles for your Todoist account. With tonnes of tasks added to your list, you want to be able to see the most important ones for you or query which ones you can do based on the situation. Let's say you're in a taxi with only 20 minutes and your iPhone. Using a filter pre-created for your situation, you can see what tasks can be done in this situation.
When to use
- Once you understand the scenarios you'd be able to use this in
- Once you've populated your task and project list
Instructions
- Open Todoist
- Go to the Filters on the sidebar
- Open Filters drop-down
- Hit "Add Filter"
- Begin by composing your first filter
- Create the filter using a combination of labels, priorties, projects and due dates
- Think about a scenario that might come up
- Use "&" symbol in your query to add multiple queries
- Create a sample one for the taxi with "@5mins & @phone & today"
- Add the filter and click to see what tasks can be completed under this query
- Hit "Filter Options" (three-dots) to rename and change color
- Use the Exercise to determine your scenarios to use filters
Hints & tips
- Filters take time to get used to, you'll need to master queries before committing to this Premium feature
- Use the Todoist help sheet on this, you can find that here.
- 00:04 Hello, guys, welcome back to the GoSkills course all about Todoist.
- 00:08 In the last module, we talked about how you can create labels.
- 00:11 We created a few example labels, on this left-hand panel you can access them.
- 00:16 We created 5mins, town, errand, and
- 00:19 30mins as some example ones, as well as creating a few tasks in this center box.
- 00:24 Now you're probably wondering, of course, now you've got labels in there,
- 00:27 how am I able to sort these with even more detail?
- 00:32 So for example, let's say you don't necessarily want to use Today or Inbox, or
- 00:37 Next 7 days as your viewing angle for your Todoist account.
- 00:41 You can use something which is accessible in this left-hand panel called Filters.
- 00:46 Now filters are really, really easy to use, they come pre-created inside of this.
- 00:51 However, you can create them from scratch.
- 00:53 And there are some really simple examples here.
- 00:55 So you can see here that they've got any items of Priority 1.
- 00:59 I can see on my list that I've got Priority 3, so
- 01:01 I'm just going to click Priority 3.
- 01:03 And these are any tasks that essentially have Priority 3 inside them.
- 01:07 This is a great way to view your account.
- 01:09 But also, you can see, for example, what items are Assigned to me and
- 01:13 what items are Assigned to others.
- 01:15 So at any given point, for example, here I can see that this Plan Event Conference is
- 01:20 already assigned to Bob, and I can see any other items there.
- 01:24 I can also see any items with no due dates.
- 01:26 And I can see View all, which opens up all projects and
- 01:30 all areas inside of a Todoist.
- 01:32 Now if I want to create a new filter, I can easily do that.
- 01:35 And remember, that you can add a whole host of query points inside of filters.
- 01:40 Filters allows you to sort tasks so that you can see your own viewing angle.
- 01:45 So you can add anything from what projects you want to view,
- 01:48 what priority you want to see, due date, labels and much more.
- 01:52 And you can combine them as well to make it a lot easier for your account.
- 01:56 So let's demonstrate one, for example.
- 01:58 Let's put a red icon on this, you can change the color.
- 02:01 And as I mentioned, filters is a premium function, so
- 02:04 you can do that with a range of colors.
- 02:07 Okay, so I've got Taxi Tasks, so these are items that I need to do inside the taxi.
- 02:11 They can be a range of things, of course.
- 02:13 But in this case, I'm actually going to put anything with the 5mins label on.
- 02:18 And of course, that's the start of your query.
- 02:21 Now you can also add, for example, whether you want to have it for today and
- 02:25 you can add today or even tomorrow.
- 02:31 And you can see all the detail there.
- 02:33 But in this case, I am actually going to put phone as one of my items, and
- 02:37 hit Add Filter.
- 02:39 Now at the moment, there are no tasks @5mins and phone, so
- 02:42 what I'm going to do is I'm just going to add a few in Projects.
- 02:46 Okay, so as you can here,
- 02:48 I have a few tasks that will start to appear inside of this filter.
- 02:52 So if I go down to the Filters section and click on the filter Taxi Tasks that
- 02:57 we've created, anything that has @5 minutes and @phone is added here.
- 03:02 Let me explain the benefit of this.
- 03:04 Let's say you were in a taxi at that point and you were like, okay,
- 03:08 I actually do want to complete some tasks.
- 03:11 But of course, I don't and
- 03:13 I can't complete all of the big tasks that are inside my to-do list.
- 03:17 So you can start using the filters to see exactly five-minute tasks
- 03:21 that you can do with your phone.
- 03:23 Now this is a great viewing angle.
- 03:25 Because then, you can actually see, okay, I can get these items done using
- 03:30 my phone and in five minutes, because a taxi ride may be five to ten minutes.
- 03:35 This is a great way to skip past any excuses as well as improve
- 03:40 your productivity, because you're not necessarily limited to your experience.
- 03:45 And it's a quick view way of being able to filter what exact tasks you have to do.
- 03:51 So in the next section, we're going to be talking about managing labels and
- 03:54 filters in more detail.
- 03:56 So this was almost a sampler function to get you started with creating your first
- 04:01 few filters.
- 04:02 As you can imagine, there are a few pre-created for you.
- 04:05 But you can, if you want to, delete these filters at any given time.
- 04:09 And you can even add them to your favorites as well,
- 04:11 which means they will appear up here.
- 04:14 Hopefully, that was a nice introduction to filters.
- 04:16 I look forward to the next section, we're going to be talking about task project
- 04:19 management and labels and filters in more detail.
- 04:22 Thank you very much, and I'll see you in the next feature, cheers.
