Professionals love to use Todoist to manage, plan and communicate with contractors.
Whether you're a freelancer, employee or manager that is looking to organize their week ahead, there are plenty of features that tailor to your needs.
Professionals need features like project management, time-based tasks and recurring items, both for managing your work day and your personal schedule.
When to use
- If you're a professional in the workplace looking to get organized
Instructions
- Open Todoist
- Begin by adding recurring reminders for your daily habits
- They can include house chores, weekly catch-ups, date nights etc.
- Open "Next 7 Days" and review the week ahead
- Using this view, you can adapt the week based on your professional schedule
- Add the most important tasks
- Add a time to each task, for example: "today at 3:30pm"
- Add clear task titles with details in comments
- Add a priority level
- The goal is to have a full schedule for the week
- Assign to a project
- Use the exercise to plan your typical work day using time-based tasks

- 00:14 and also manage all of the different projects they've got coming in.
- 00:18 Now whether you using this as a freelancer or
- 00:21 you're planning to use it as an employee of a company, this works all in the same,
- 00:26 and the features can be really optimized for your account.
- 00:30 So let's start, what are some of the objectives?
- 00:32 Of course, we talk about the personal life situation.
- 00:35 You can use it to manage your routines, habits and daily activities and tasks.
- 00:41 You can review the week ahead.
- 00:42 But the sort of bread and butter of this experience is planning the work day ahead.
- 00:47 Now insode of Todoist you can use some of the features to shortlist
- 00:51 your most important task for the day, you can also create an outline of your day and
- 00:56 week ahead using Next 7 days section and the today tab.
- 01:00 And that's what we're going to talk about in the next feature.
- 01:02 We're also going to tell you, about how you can track projects and
- 01:06 assignment as well inside of your account.
- 01:09 Now, as you can see here, this is a worked example, we're going to guide you through
- 01:13 a few of the things that makes this worked example, very well put together.
- 01:18 This is the task for tomorrow, of course, you can plan the entire week ahead and,
- 01:22 you can also assign a specific time tool of this task.
- 01:25 So, you don't necessarily have to do this, but
- 01:27 I find this particularly helpful when I do recommend it a lot to people.
- 01:32 You can see that all of these are fully timed-out for the week ahead.
- 01:35 You can plan an entire week ahead without any worries, and
- 01:39 they also have clear task details and comments.
- 01:43 Although this looks like a different language in terms of the task details,
- 01:46 it actually makes a lot of sense to myself for example, because this is my task list.
- 01:52 If you can make it detailed and add as much context as you can
- 01:56 without making this too lengthy, then that's important.
- 02:00 You've also here set priority levels, you can see that a P1 priority one,
- 02:05 has been assigned to the two recording tasks for the day, and
- 02:08 also, they've all been assigned to a work project as well, which is good.
- 02:12 You can click into that work project, and find all the tasks that you need to do.
- 02:17 So the best practices, you can also give yourself time between tasks and
- 02:21 that really does help, and you can also be concise and outline the best task titles.
- 02:27 Now in terms of projects, my recommendation for
- 02:29 you guys is to keep things really simple, although you might be working with a team,
- 02:34 assign simple personal and work tasks, into personal and work projects.
- 02:41 This is a really simple way of doing it.
- 02:43 For me, I only have two core projects that I use, that is work and
- 02:47 personal to manage the majority of my tasks.
- 02:50 And that separation really does help.
- 02:53 The exercise will actually help you to determine your work day,
- 02:55 helping you outline your typical work day, providing insights to how you organize.
