Email Into Projects
Creating tasks can be done from Todoist, in Quick Add and even on the go on your mobile. But what about via email? Sure!
Todoist Premium provides users with the ability to add tasks via email, directly into the project and even into comments too. Emailing projects takes a little bit of attention but once set-up, you don't have to leave your inbox when adding new tasks into your Todoist account.
When to use
- When you want to create tasks from email
- When you and your team want to share comments via email
Instructions
- Open Todoist
- Go to a Project
- Open "Project Actions"
- Go to "Email Tasks to this Project"
- Find the custom email address provided
- Go to your email provider
- Create a new email window
- Paste the email into the "to" section of the email window
- Add task title as the subject
- Add <due date> using the brackets
- Add @labels using the @ symbol
- Use the !! followed by the priority number - eg. 1 for highest, 3 for lowest
- Once added, send the email
- A task will be created inside of your Todoist project
- To add a comment from your email
- Go to a project and hit a task
- To add a comment, go to "Add Comments via Email"
- Select the custom email and create a new compose window
- Add information to the body of the email
- A new comment will be created inside of the Todoist task
- A link to the email will be provided

- 00:09 we are diving into some of the advanced elements of your Todoist account.
- 00:13 And one of those advanced elements is emailing into different comments, and
- 00:18 into different projects.
- 00:20 Now, I think this is a great function in terms of being able to involve your team
- 00:25 and coordinate your activities across your day,
- 00:27 without the need of having to go into Todoist every five minutes to add a task.
- 00:32 Now, let's say you and your team to start off with
- 00:36 half a task to be able to send into Todoist, it is really accessible.
- 00:40 So all you do, and this is the conference project that we got shared.
- 00:44 Up in the top right-hand corner you go to Project Actions,
- 00:46 and you scroll down to Email tasks to this project.
- 00:50 Now once I hit this, you can see that an email specifically appears here.
- 00:56 Now you can copy this to the clipboard, and
- 00:59 it allows it to save it ready for your sending of the email.
- 01:03 When you send an email which we demonstrate in a second,
- 01:06 you can't set due dates and labels as well as set priorities.
- 01:10 So, if you're quickly adding it into Todoist,
- 01:13 this can be a great way to do that.
- 01:15 Here we have a new message inside of email.
- 01:18 All you have to do is paste from clipboard, and
- 01:20 you'll see this individual email appear here.
- 01:23 If I want to send it in, you can clip it to your cc or bcc, but
- 01:28 in this case, I want to send a task directly to the team.
- 01:31 Now, all you have to do is set the name title first.
- 01:34 So for example, Organize Merchandise for event.
- 01:41 If I want to, I add these brackets here, and
- 01:43 I can type in date tomorrow, you can add any date to there.
- 01:48 To add a priority, all I have to put is two exclamation marks and
- 01:51 the priority level you want, say for example, going to put this as two but
- 01:54 you could put as one or three.
- 01:56 And you can also add a label to it, so this might take me 15 minutes.
- 02:00 So if I get rid of this footer that I have in my email, I only want to send the task,
- 02:04 so I'm going to click Send and wait for it to arrive in the Todoist project.
- 02:08 So as you can see here, it has arrived in the conference project,
- 02:13 down at the bottom here, it's already got a tag,
- 02:15 it's got the property level I wanted too, as well as the date for tomorrow.
- 02:19 Now the great thing is, if I wanted to I can assign it straight away,
- 02:21 I'm going to assign it to Bob.
- 02:23 And I can go into comments and I actually access the email that was originally sent.
- 02:27 And, that is great because if I wanted to add load of context to the body,
- 02:31 that is perfect.
- 02:32 Now you're probably wondering, how do I add from a comment?
- 02:36 So for example, if I had a specific task that I wanted to share some notes, links,
- 02:40 files, photos with, and actually notify Bob about,
- 02:44 all I had to do is click this button here, add comments via email, and
- 02:48 copy it to clipboard, and do the exact same thing.
- 02:51 Here we are inside of a new message again,
- 02:52 if I paste from the clipboard, I can add the new comment, and
- 02:56 as you can see it will be sent into that direct comment inside of Todoist.
- 03:01 If I want to do, add a note this, maybe we can add in the subject,
- 03:04 Maybe this event venue with a question mark.
- 03:09 And what you can do is import an image if you like.
- 03:12 I've imported the venue image, I'm going to send this on and wait for
- 03:16 it to sync inside of the project.
- 03:18 An email has appeared and the image will show up inside there.
- 03:22 And that's two great ways to be able to email into Todoist,
- 03:25 either adding tasks which is really easy and perfect to learn and
- 03:29 also adding in comments from other people.
- 03:32 Hopefully that gave you some insight into that.
- 03:34 Feel free to go away and
- 03:35 apply this to your team, because it's a great way to do it.
- 03:37 But one of my recommendations is to make sure to add it as a CC or
- 03:41 BCC inside of the emails in order to not confuse people.
