Create Todoist Templates
Templates are a perfect way to save time and administration efforts. By creating the ideal template for a task or project, you'll set up a working example to apply and get started with, saving you valuable time replicating everything.
Templates help you make a project easier to manage. By using templates, teams have access to a structure and having this structure can help them get things done with speed.
When to use
- When you want to duplicate a project or task set without the effort
Instructions
- Open Todoist
- Head to the Project
- To duplicate a task simply, do the following
- Go to "Task Actions"
- Hit "Duplicate"
- A newly created task will be created (a replicate)
- To create a full template
- Create a new Project with your template (set of tasks)
- Go to "Project Actions"
- Hit "Export as Template"
- You can export as a file or a link
- We recommend using a file for personal use
- For external use, use a link for Todoist users
- Head to a new project
- To add to a project, go to "Project Actions"
- Hit "Import from Template"
- And the template shall appear
- Use the Exercise to create your first template

- 00:09 Now, in the last feature, we did dive into how to email into your Todoist account.
- 00:14 And of course, as you grow over time,
- 00:16 you're going to pick up some advanced tips as you go.
- 00:19 Which is fantastic, and emailing is one of those.
- 00:22 And we talked last time that we're going to be diving into Todoist templates.
- 00:26 They're a very useful function once learned and mastered, and
- 00:30 it's a great way.
- 00:31 Because sometimes when you've got your Todoist account in front of you, and
- 00:34 you're adding all of your tasks.
- 00:35 Sometimes you're adding tasks that you
- 00:38 might be adding multiple times across a day.
- 00:41 And that can be a little bit daunting and a little bit of time wasting too,
- 00:44 because you're just repeating and duplicating.
- 00:47 Just before we dive in,
- 00:48 there is a feature inside of Todoist that does allow you to duplicate tasks.
- 00:53 So for example, if I wanted to duplicate a task, I'd click the task actions and
- 00:57 hit Duplicate.
- 00:58 And essentially it would duplicate it with the same date and
- 01:01 the same information that you had before, and that's really, really easy to do.
- 01:04 But if you wanted to duplicate an entire project or some outline of a task,
- 01:09 or a template, for example, then you can do that inside of Todoist.
- 01:13 Now, you can see down here on this left-hand side in Projects,
- 01:16 I've created a New Projects area.
- 01:18 And you can see that I've got this sort of structure of a task.
- 01:22 So I've got the title New Project Title for
- 01:25 me to add, Outline Project Goals, which will be one of the tasks of this,
- 01:29 Schedule time for these tasks, and Assign and delegate activities.
- 01:33 Now, let's say I didn't necessarily want to keep dragging this in or recreating it.
- 01:39 Obviously, you could naturally duplicate it.
- 01:41 But let's say I just wanted to import it every time I had a new thing going on.
- 01:47 So for example, let's say I wanted to assign a new project inside of
- 01:51 Conference for the activity that we had.
- 01:54 Go into the New Project that you created with the relevant tasks and
- 01:57 all the general stuff that you want in there.
- 01:59 You got to the Project actions in the top right-hand corner, and
- 02:03 Export as a template.
- 02:04 Now, you can do this in two ways.
- 02:06 You can export it as a file, or you can export it as a shareable link.
- 02:09 In this demonstration, we're exporting it as a file.
- 02:12 And if you use relative dates, if you had a couple of dates assigned to them.
- 02:16 So for example, you put Tomorrow in there, it will be turned into +1 day, so
- 02:20 it uses relative dates.
- 02:22 In this case, I'm actually going to untick this,
- 02:24 because I don't actually have any dates assigned to them.
- 02:26 So let's just export this one, and it does appear as a CSV down here.
- 02:30 Now, if I wanted to, I could get rid of this project.
- 02:33 I'm going to archive this project because I actually don't need it anymore.
- 02:36 And if I go up to the Conference, all I have to do is go over to Project actions,
- 02:41 Import from a template, and drag this CSV into there.
- 02:45 Now, there is a really helpful help video here.
- 02:48 But as you can see, it's imported, and you can see the task ready for
- 02:51 you to be able to add.
- 02:53 Now, of course, you can add that for any new project,
- 02:55 any new activity, any new template that you have.
- 02:58 And it's great to rename these CSVs, as well, so that you don't get confused.
- 03:03 But it's perfect because you can add and import all that you need.
- 03:06 And you can get assigning it straightaway, and
- 03:08 you can import it as many times as you like.
- 03:11 So templates is a well-renowned feature.
- 03:14 And lots people like using it as their template for their morning routine and
- 03:18 putting that into every new day, maybe adding some comments, etc.
- 03:23 But it's a good way and a productive way to be able to duplicate tasks on scale.
