Adding Members to a Board
Learn to invite new or existing users to a board for team collaboration.
When to use
To learn how to add members to a Trello board. To understand how to invite collaborators directly or using the link provided.
Instructions
Adding Trello Users to a Board
To add members to a board, select Add Members from the board menu. You can search for a user by their name or by entering an email address. Select their name to add them to the board.
Adding Non-Trello Users to a Board
You can add people to boards even if they are not already using Trello. Enter the person's name and email address and select Send. The new user's permission level will be considered virtual until they join Trello. However, you can still add the user to cards.
Adding Users to a Board with a Link
Within the Add Members menu, you will see a link titled "Invite people by giving them a special link". Select this link to display a URL which you can share with anyone that you'd like to invite to this board.

- 00:11 But Trello really excels when you collaborate with others.
- 00:15 If you have a team project or
- 00:17 other collaboration work that you would like to do within a Trello board,
- 00:22 let's find out how we can add members so we can start to communicate,
- 00:26 that we can start to manage our projects with other people.
- 00:31 In the right-hand corner, we have the Menu option.
- 00:34 And at the very top of the Menu, it will show you all of the individuals,
- 00:39 all of the members that have access to this particular board.
- 00:43 Now, at the moment, I'm the only one that has access to this particular board and
- 00:48 you can see my avatar here at the top of the screen.
- 00:52 But just below, we have the Add Members option.
- 00:56 By clicking this option, we are presented with a text field in which we can search
- 01:02 for Trello members either by name or by their email address.
- 01:07 So let's start by typing in a name, in this case a username.
- 01:13 As you type, you will see a list of other users that have that same username.
- 01:20 It will also show either their avatar or their initials on the left-hand side,
- 01:25 their username, their full username, and they may
- 01:28 give you some additional information such as hasn't logged in recently.
- 01:32 Now, I know this person's full username, so I'm gonna type in the rest of it.
- 01:37 And here you can see here's the person I'm looking for.
- 01:40 If I click on her name, she is now added to this board and
- 01:45 we can now see her avatar listed at the top of the screen.
- 01:50 Now, she can contribute to this board,
- 01:53 add comments, add feedback, and create cards of her own.
- 01:58 Now, what if I wanna look for someone by email address?
- 02:02 Chances are,
- 02:02 you may not even know your closest team members by their Trello username.
- 02:07 So, we can use an email address to search for them as well.
- 02:10 I'm gonna start typing in an email address of someone I'd like to add and
- 02:15 in this case, Trello is telling me that they don't know this user.
- 02:19 They're not familiar with this email address.
- 02:23 If that's the case, you can still send them an invitation.
- 02:27 Down below, I can add some more information such as their full name and
- 02:32 select the Send button.
- 02:34 This will send this person with this email address an invitation
- 02:39 to join Trello and give them access to this board as well.
- 02:45 Now the descriptive text below lets us know that in the meantime,
- 02:49 they will create a virtual member.
- 02:52 That means they will create a virtual Trello member that you can
- 02:56 already go ahead and start to assign them to specific cards.
- 03:01 But of course, this person will not be able to contribute
- 03:04 until they are finished setting up their Trello account.
- 03:09 Now, lastly, at the bottom of this screen,
- 03:13 we see an option to Invite people by giving them a special link.
- 03:18 And this can be very helpful if you would rather invite them personally and maybe
- 03:23 give them a bit more information about why you're inviting them to this Trello board.
- 03:28 If you want to include this in an email or Slack or
- 03:31 maybe some other communication tool that you use with your collaborators.
- 03:36 This can also be a helpful option if you want to invite a large
- 03:41 number of people all at once.
- 03:43 By selecting this option,
- 03:44 you are presented with a unique link which is specific to this board.
- 03:51 That means that anyone who has access to this link will be able to
- 03:56 create an account and join this particular Trello board.
- 04:00 So again, you can copy and paste this into an email.
- 04:04 You can paste it into any other form of communication
- 04:08 that you use with people that you would like to join this board.
- 04:12 Now, if you're fearful after a certain period of time, that others may gain
- 04:17 access to this link, you can always choose to disable this link as well.
- 04:23 And that is how you add additional members to your Trello board.
