Forwarding Email to Trello
Learn how to take advantage of emailing messages directly to Trello boards and lists.
When to use
To understand the benefits of forwarding email directly to a board. To learn where to find the email settings within Trello.
Instructions
You can create cards on a board by writing or forwarding an email to Trello.
To Find Your Unique Email Address for a Board:
Show Menu > More > Email-to-board Settings
You can also have this email address sent to you directly by selecting the Email me this address link.
When you email a card to Trello, you can immediately add the title, description, and attachments.
- The subject of the email will become the card's title.
- The body of the email will become the card's description.
- Attachments in the email will also be added to the card.

- 00:09 even if we are not within the Trello application.
- 00:13 Many of us use email as a part of our daily work and
- 00:17 Trello makes it very, very easy to add new cards through email.
- 00:22 Let's take a look at where we need to adjust our settings so
- 00:26 that we can email cards to our Trello board.
- 00:28 By selecting Menu and
- 00:30 selecting More we have an option entitled Email-to-board Settings.
- 00:36 By clicking this, you will see your unique email address for this particular board.
- 00:43 Now this email address shouldn't be shared with anyone else, because anything sent
- 00:49 to this email address will show that you created this particular card.
- 00:55 So each and every Trello user gets a unique email address for
- 01:00 each and every Trello board.
- 01:02 Now if you feel that you ever need to generate a new email address,
- 01:07 let'res say that this address has been shared and you don't want
- 01:10 someone to have access to it, you can always choose this option here.
- 01:15 And it may be helpful that the first time you go to email a card to Trello,
- 01:19 that you email this address directly to yourself.
- 01:23 In that case, most email clients will save the address so
- 01:26 that you can use it with ease in the future.
- 01:30 The last option we wanna make here within the settings
- 01:32 is to where will these emailed cards appear?
- 01:36 You can choose from any list within your board, and
- 01:40 you can choose what position that new emailed card will appear in.
- 01:44 Do you want it to appear at the top of the list or
- 01:47 do you want it to appear at the bottom?
- 01:49 I am gonna select top in this particular case.
- 01:53 So here's our unique email address.
- 01:55 We can either copy and paste this or
- 01:59 we can email this address directly to our email client.
- 02:03 Now I already have this email address saved as a contact here.
- 02:07 So let's say I want to create a new card from my email.
- 02:13 First, I'm gonna find my unique email address,
- 02:16 there it is and I'm gonna add a subject.
- 02:19 Now, the subject of your e-mail will be the title of the card.
- 02:23 I'm just gonna say New Project Test in this example and then you can add anything
- 02:30 you want in the body of the email, which will appear as the description.
- 02:35 Can we talk about this today?
- 02:40 I'm going to send my email, and
- 02:42 now let's go back to our Trello board to see what happens.
- 02:48 And there it is, New Project Test at the top of our list.
- 02:53 Remember, this is the list that we decided and
- 02:55 we wanted to see that email at the top.
- 02:58 So there's the subject of the email and
- 03:01 within we have the contents of the description.
- 03:05 Now remember,
- 03:07 everything within the contents of your e-mail will show up in the description.
- 03:11 So often an email signature or some other links,
- 03:15 anything else that may be at the footer of your email will also come across.
- 03:19 So you may want to come in and clean that up a little later.
- 03:22 But a very quick and effective way to get email in a card.
- 03:27 Now this also works for forwarding an email.
- 03:29 Let's go back and pick another email.
- 03:32 Let's say that I would like to convert this email into a Trello card.
- 03:38 I can select to forward this email.
- 03:43 Let me find my unique Trello address, and I can change the subject if I like.
- 03:48 I can change some of the description if I like.
- 03:51 I'm just gonna select Send in this example.
- 03:54 And now lets go back to our Trello board and there it is at the top of our list.
- 04:00 Here is the email that I forwarded and now it appears as a card.
- 04:06 Again, you may want to go in and clean up some of the contents of the body
- 04:10 of the email because everything including links will be included in that card.
- 04:16 And if we scroll down to the bottom, you will see in the Activity Feed,
- 04:20 Trello will keep a record of who created this card and how it was created.
- 04:25 Here you see it lists Scott Friesen emailed this card to New Ideas.
- 04:31 So get familiar with the email to board settings.
