Footnotes
Learn to place footnotes and endnotes which link to the document text.
When to use
A footnote is an additional piece of information that is noted at the bottom of a page or document. Generally it is less important, but worthy of printing on the same sheet as the referenced text.
An endnote, rather, is a note placed at the “end” of the entire document or text.
These references would be used in any type of document that would require citing sources of information to substantiate the credibility of your text, including college essays and reports.
Instructions
- Place your insertion point at the end of the text where you want the number reference to appear.
- For a Footnote, press Alt+Ctrl+F; for an Endnote, press Alt+Ctrl+D
- You can also find the tools on the REFERENCES ribbon in the Footnotes groups.
- As more footnotes and endnotes are created, the numerical order is updated automatically.
- And as pages adjust, the footnotes will remain linked to their referenced text and adjust to their new pages automatically.

- 00:08 documents any time you have to cite your sources, or
- 00:11 just keep a good catalog of where you got your information, college level papers,
- 00:16 journalism articles, those sorts of things.
- 00:19 So on the References ribbon, right over here in the Footnotes group,
- 00:22 we have Insert Footnote.
- 00:23 When I float my mouse there, the tooltip says, Alt+Ctrl+F right below there.
- 00:28 On the Insert Endnote, the tooltip says Alt+Ctrl+D.
- 00:32 And then, of course,
- 00:33 I put those in a yellow box right over here just as a quick reminder for us.
- 00:36 Just go ahead and get started.
- 00:38 Beside the word information, which is red, I'm gonna insert my first footnote.
- 00:43 So Alt+Ctrl+F, and that sends me to the bottom of my page, not into the footer.
- 00:48 Now, remember, the footer area is in the margin, completely separate.
- 00:52 Footnotes do not print themselves in the footer.
- 00:55 They print at the bottom of the typable page.
- 00:58 So I'm gonna go ahead and put in some text, and this is footnote number one.
- 01:02 When I float my mouse back up here beside information,
- 01:04 look, a little tiny number 1 came up.
- 01:07 When I float my mouse over the top,
- 01:08 it will very briefly show me what's written there.
- 01:11 For some reason, it's flashing on and off, I don't know why.
- 01:14 Okay, the next one, besides Webster's Dictionary, Alt+Ctrl+F for
- 01:19 footnote, throws down a tiny number 2, I type in my text,
- 01:23 come back up to the top, and you will see a tiny number 2.
- 01:26 Same thing, float your mouse there and it'll show you the name of the text.
- 01:30 One more, right here on the word end, Alt+Ctrl+F, we'll put in a third one.
- 01:34 The reason I'm putting in a third one is, when we break this page, you'll see how
- 01:38 number three goes off to the second page without any extra work from you.
- 01:42 Now let's talk about an endnote.
- 01:43 An endnote would be like a list of credits at the end of a document.
- 01:49 So I could do Alt+Ctrl+D, or I could come up here to Insert Endnote.
- 01:54 Regardless, you don't have to be at the end of the document, it will find the end.
- 01:59 Keep in mind, the end of a document is not the bottom of the piece of paper.
- 02:02 It's actually the end, the last place you typed in a document, even on page one.
- 02:07 So I'll press Alt+Ctrl+D.
- 02:09 And look at there, it put the end of the document right here.
- 02:12 If I scroll down further, footnotes are below the endnote on this particular case,
- 02:17 cuz it's on page one.
- 02:19 I'll just type, this is an endnote, just so we have that reference.
- 02:22 All right, let's break this page so you can see what happens.
- 02:25 But before I do that, I'm going to activate my multiple page view so
- 02:30 that you can see what happens here.
- 02:33 Again, if you don't have that on your Quick Access Bar, please go to View, and
- 02:37 that is where you would find Multiple Pages, all right?
- 02:40 So what I'm going to do is actually put my insertion point right there,
- 02:43 I'm gonna hit Ctrl+Enter to break the page.
- 02:46 And keep your eye on the footnotes at the bottom.
- 02:48 Ctrl+Enter, look what happened.
- 02:50 Now I can scroll in so you can see better what's going on here.
- 02:54 So this is footnote three.
- 02:56 And now, when I do a Ctrl+Home on page one, here's footnote one and two.
- 03:00 It broke them, it kept the numbering in place, it put them in the right spots.
- 03:05 This is footnote three, it's hard to see, I know,
- 03:08 with that multiple pages activated.
- 03:12 But what's important is that you see the endnote stayed at the end of the document,
- 03:16 and the footnotes were there as well.
- 03:18 All right, I'm gonna go back to my main view, and
- 03:21 I wanna show you a couple more things.
- 03:23 On the References ribbon, right over here,
- 03:25 you have Next Footnote, Next Footnote, it will take you through the entire
- 03:31 document just by clicking Next Footnote or Previous Footnote.
- 03:35 You don't have to scour the document with your eyes to find those.
- 03:38 Also, I can do Show notes and it will take me to the footnote area.
- 03:42 So there you have it.
- 03:44 And this dialog box operator on footnotes is where you'd find all the details,
- 03:48 where you can customize how these look.
- 03:49 So I can tell my footnotes to go below the text or the bottom of the page.
- 03:54 I can tell them to go into two columns
- 03:58 in case they're taking up too much room in my typing area.
- 04:01 And I can even change the number format if you want to do that.
- 04:04 I'll hit Apply so you can see what happens here.
- 04:06 See, it saved a little bit of typing area by separating those footnotes
- 04:09 into columns.
- 04:10 So anyway, that is how you do endnotes and footnotes.
- 04:13 Please practice.

- 04:15 It's easy to forget, cuz they're not used often, but
- 04:18 if you do use these, you're going to love this feature.
