Learn to apply various font styles and why they are used in professional documents.
When to use
There are a variety of formats for specific reasons. This lesson covers some of those.
Instructions
Click the line of text that you want to apply Formatting to.
If a line of text is typed using the wrong “case”, simply switch to the correct one use the “Change Case” button.
To clear formatting from a word or paragraph, simply use the “Clear Formatting” button.
Text Effects are interesting, but generally used only on informal documents.
Text Highlight Color is a professional way to highlight an important phrase withing a typed document.
Subscript and Superscript will help if your document requires lower or upper alignment of text.

- 00:04 On your Home ribbon in the font group,
- 00:06 there's a few more items that are incredibly wonderful buttons.
- 00:09 You need to know about them, so we're going to use them right here.
- 00:12 Basically, sentence case is upper case, lower case, sentence case, title case.
- 00:17 So we're gonna go ahead and change this first line to sentence case.
- 00:20 Basically, we have to select the entire line and
- 00:23 then right up here we have a button that says change case.
- 00:26 When you click that drop down arrow, there's all your options.
- 00:29 Now the first one simply means sentence case, the first word must be capitalized.
- 00:34 When I click this, it will capitalize the first word it doesn't do anything else,
- 00:37 it doesn't add the period at the end, that is for you to add.
- 00:41 But, it will absolutely add the first word of the sentence capitalized,
- 00:44 it's wonderful.
- 00:45 Now the next one we want to change is all lower case in case you accidentally typed
- 00:49 all caps, you just click the drop down arrow on the case and
- 00:54 choose the lower case and looks what happens, magically.
- 00:57 Okay, changes to all caps.
- 00:59 Again, you have the drop down arrow change to upper case which is
- 01:02 all caps.There we go.
- 01:04 And this one, Title Case, means that every word should be
- 01:07 capitalized usually in the title of a report, so capitalize each word.
- 01:12 Also called title case.
- 01:14 Click that one, here you go.
- 01:15 See, you don't have to redo it all.
- 01:17 Even though, this one, it says, I mean, it stayed all upper case on that one.
- 01:22 It's okay, still capitalized.
- 01:25 Now, this was typed with CAPS lock on, so, this, we're actually going to toggle.
- 01:28 So, hit the drop down arrow and go to toggle case and
- 01:31 it will switch the bad stuff, okay?
- 01:34 So it's all good.
- 01:35 Okay, the next one is, let see, I've got a little textual error here so
- 01:39 whenever you see this squiggles, this blue squiggle just hit your right mouse button,
- 01:43 and choose the correction and that will take care of that little blue squiggles.
- 01:47 All right, now H2O.
- 01:49 Now if you're a chemist, you know that H2O, the two should be below the line, and
- 01:52 that is called subscript.
- 01:54 And right up here we have a little button,
- 01:55 it says subscript, with a little tiny 2 demonstrated below the line.
- 01:59 I'll go ahead and I've selected the 2 on H2O.
- 02:01 Click the subscript, there it go, drop below the line.
- 02:05 Now CO2, the two should be above the line.
- 02:08 Select the two, come up here to superscript, and click, and
- 02:11 there it goes above the line.
- 02:12 Now, I always remember these as submarines are below the water, superman
- 02:17 is over the water, so subscript is below the line, superscript is above the line.
- 02:22 All right, the trademark, the TM, that's gonna be superscript,
- 02:25 cuz we want the TM to be above the line, so we'll go ahead and click.
- 02:29 You may choose that one, there you go.
- 02:30 All right, the text effects button.
- 02:32 This is kinda cool, so I'm gonna highlight this one.
- 02:35 And right over here, we have this button.
- 02:36 It says text effects.
- 02:38 When I click on that one look at all the actions.
- 02:40 You can kinda see in the background what's happening to that text.
- 02:43 But as I float around, you just choose which one you wanna use.
- 02:46 I'll go ahead and use this one, it looks kinda cool, and
- 02:49 it's certainly not big enough.
- 02:50 So now I'm gonna make that even larger.
- 02:52 But that's how you get fancy text options is with the text vex.
- 02:56 All right, and you have all these other options with arrows.
- 03:00 You can spend a lot of time here doing whatever you want.
- 03:04 Just keep in mind that you reach a limit of time.
- 03:07 All right, in this one please highlight this phrase to make it stand out.
- 03:10 So I'm going to use a highlight option.
- 03:12 I selected that area that phrase.
- 03:15 Right up here, I have a highlight button.
- 03:16 I can make it yellow.
- 03:17 Or I can hit the drop down arrow and
- 03:18 I can choose a different highlight in the background.
- 03:21 But, it's all up to you which one you wanna do.
- 03:23 I have to reselect it, there we go, and now apply the new color.
- 03:28 Actually, I kinda like the yellow so.
- 03:30 I'll go ahead and leave it as yellow.
- 03:32 There we go, and this paragraph needs to have all the formatting cleared from it.
- 03:35 So I'm going to triple click to select the paragraph,
- 03:38 one two three, selects the entire paragraph and right up here,
- 03:41 this is called a Clear All Formatting button.
- 03:44 Click.
- 03:45 All gone, just like that.
- 03:46 I don't have to figure out what was applied.
- 03:48 I just hit the clear formatting button and it's gone.
- 03:50 All right.
- 03:51 Again, use those great, great stuff hidden up there, on that font group,
- 03:56 that are very valuable the day it comes that you need them.
