The Find/Replace Function
Quickly find words and replace them with other words or formats.
When to use
Rather than searching visually for certain words in a document, the Find function will highlight the words. Then you have the option to Replace them with other words or formats.
Instructions
1. Click the Find button on the Home ribbon or press CTRL F.
The Navigation Pane appears on the left side of the screen.
2. In the Search box, type the word to find: "MS Word".
Notice all instances of that word are highlighted in the document.
3. To replace the word, click the drop-down arrow by the Search box and choose “Replace”, or type CTRL H.

4. Type the Find word and the Replace word; use the buttons on the screen to move through the words individually or all at once with “Replace All”.
5. Click “More>>” to replace with Font styles or colors.
6. If you replace too much and want to reverse it, simply click the UNDO button on the ribbon or press CTRL Z.

- 00:14 rarely do your eyes ever travel this far over.
- 00:17 But notice when I float my mouse on Find, the tooltip down below says Ctrl+F.
- 00:21 In every software I've ever met Ctrl+F is the universal function for find.
- 00:27 And instead of me scrolling through and
- 00:29 trying to find a word with my eyeballs, I can just have this find it for me.
- 00:33 Notice right underneath that is replace and the tool tip down below says Ctrl+H.
- 00:38 Again, it works in most programs.
- 00:40 So let's go ahead and hit the button Find, and
- 00:43 notice on the left-hand side my navigation pane opened up.
- 00:46 And, of course, I had previously used it for the word The, which is my example, so
- 00:50 it lit up all of the versions of the word The.
- 00:53 Notice one of these words says other but it contains T-H-E, the.
- 00:57 Take a look at the navigation pane.
- 00:59 It also shows me the context of that word has been used.
- 01:03 So in this case, I could easily see that it's not the word the,
- 01:06 it's the word other.
- 01:07 And so I can click myself through here.
- 01:09 As I click, the screen will move.
- 01:11 Also these arrows, these will move it around as well.
- 01:14 Not such a big deal on a single page document,
- 01:17 huge deal on a ten-page document to find versions of the words, very nice.
- 01:21 All right, let's take this a step further.
- 01:23 I'm gonna close that Navigation pane and
- 01:26 all the words the are no longer highlighted.
- 01:28 And this time, I want to replace a word.
- 01:31 So I'll go ahead and come up here and hit Replace.
- 01:33 I could press Ctrl+H, it's your personal preference.
- 01:36 I'm go ahead and click Replace, and here we go.
- 01:38 Instead of the word The, I wanted to find the word MS Word,
- 01:43 Microsoft Word, and I want to replace it.
- 01:46 You're gonna think this is odd, I want to find MS Word and
- 01:49 replace it with MS Word but we're going to get a little deeper.
- 01:53 We're gonna click on the More button.
- 01:55 When we click on More, check this out.
- 01:57 Way at the bottom, I can find Format, and Replace Format.
- 02:01 I can find special characters like Paragraph Marks, or Section Characters,
- 02:05 or Em dashes and En dashes, and I can replace them.
- 02:08 So I'm gonna go with formatting.
- 02:10 So I want to, again, I clicked into the Replace section,
- 02:14 and I'm going to apply formatting of the font.
- 02:18 I would like the font to be bold Italic, and I'm going to turn it orange, okay?
- 02:24 So it's going to look like this example right here.
- 02:27 I'll go ahead and hit OK.
- 02:28 So there we go.
- 02:29 My replaces.
- 02:30 I'm gonna find Microsoft Word, and replace it with Microsoft Word Bold, Italicized,
- 02:34 Font color, Accent 2.
- 02:35 I guess that's the color orange.
- 02:37 Now, I have the choice, Replace or Replace All.
- 02:39 I'm just going to do them all at the same time, Replace All, click.
- 02:43 There we go, it says it's made five replacements when I hit OK.
- 02:46 I'm gonna go ahead and close the screen and
- 02:49 check out my document in the background.
- 02:51 Now this is a big deal.
- 02:52 Interesting that the word the .. that's interesting that that happened,
- 02:56 not sure why.
- 02:57 Quick fix of that, double click any word beside it,
- 03:00 hit the cute little paintbrush and then wipe it over that one to fix it.
- 03:04 Anyway, so
- 03:05 Microsoft Word now stands out in my entire document and I'm not hunting it down.
- 03:10 This is invaluable information that will save you tons of frustration and
- 03:14 time and just save your weary eyes from searching for words.
