How to control page breaks and add blank pages.
When to use
Inserting a new page, a blank page or breaking to a new page is a simple process, but can be slightly intimidating. Using the Page Break feature is the ideal way to control it.
Instructions:
Note: It is a good practice to View, Navigation Pane.
This allows you to observe the pages on the left panel.
1. Using the exercise file, click behind the first line of text: "Page 1".
2. On the INSERT ribbon, Pages group, click “Page Break”.
The Navigation Pane shows two pages.
3. Click behind the line of text: "Page 2".
4. On the keyboard, press Ctrl Enter (or Ctrl Return).
The Navigation Pane shows three pages.
5. Click behind the line of text: "Page 3".
6. You choose which method to use: the Insert Ribbon
or the keyboard Ctrl Enter.
The Navigation Pane shows four pages.
7. Scroll to Page 2, and click behind the line of text: "Page 2".
8. On the INSERT ribbon, Pages group, click “Blank Page”.
The Navigation Pane shows five total pages, with a blank page as Page 3.

- 00:12 you might wanna just leave that Navigation Pane on at all times.
- 00:16 It's kinda handy, it's rare that I'll actually turn mine off.
- 00:19 I do like it so much.
- 00:21 And it does have the headings, the pages, and the results.
- 00:23 And for this lesson, we'll be focusing on the pages, the thumbnails of our pages.
- 00:27 All right, let's go and get started.
- 00:29 It's important to know how to insert a page break, basically,
- 00:31 forcing text on the page lower onto the second page, the third page, and so forth.
- 00:36 There's a couple ways to do that.
- 00:38 Notice right here, it says page 1, click Insert, Pages group, Page Break.
- 00:41 Well, I'm gonna put my insertion point at the end of this line.
- 00:44 Because that is exactly where I want to force the page break to push everything
- 00:48 else down to page 2.
- 00:50 So this is on the Insert ribbon right up here.
- 00:52 On the far left hand side, we have the Pages.
- 00:55 Now, yours is probably not collapsed, my screen is just a little smaller, and so,
- 00:59 they kinda collapsed into themselves.
- 01:01 But when I click on Pages, and I have Cover Page, Blank Page, and Page Break,
- 01:04 and this is exactly the one I'm gonna focus on right now.
- 01:08 Notice please the tool tip that just came out says, Insert a Page Break (Ctrl +
- 01:12 Return), also known as the enter case, or Ctrl+Enter on the keyboard.
- 01:16 Well, I'll go ahead and just hit this button.
- 01:18 The problem with using this one, is you have to remember where it's at,
- 01:20 Insert, Pages, Page Break, I'll go ahead and click that.
- 01:24 Everything is fine.
- 01:25 It did go to page 2.
- 01:27 I can see on the Navigation Pane on the left, I now have two pages, and
- 01:31 it did exactly what I wanted it to, force the text down to the second page.
- 01:36 Well, a faster way to do this is just remember, Ctrl + Enter on the keyboard.
- 01:40 That does the same thing.
- 01:41 It's important first of all, make sure the insertion point is in the correct spot.
- 01:44 When I hit Ctrl + Enter, there we go, I now have page 3,
- 01:48 thumbnail on the left, and yes, I am on page 3.
- 01:51 All right, so now,
- 01:52 I'm going to insert a blank page right here at this insertion point.
- 01:57 So that is also on the Pages group, and I have Blank Page.
- 02:00 Now, what this is gonna do, it's gonna force everything down to page 5,
- 02:03 because page 4 will be the blank page I'm about to hit, ready?
- 02:07 Click, there we go, completely blank page on my thumbnails, yes,
- 02:11 it does have my header and footer, but there is no text.
- 02:15 And on the navigation pane, when I scroll to page 5, there's all my text, see?
- 02:19 Page 4 will be the blank page above, page 5 is the last.
- 02:22 Now, if you wanna confirm, do I really have 5 pages?
- 02:25 Take a look at the far left hand corner,
- 02:26 where it says page five of five right here.
- 02:30 All right, now, it's important to know how to get rid of these page breaks.
- 02:32 I'm gonna Ctrl+Home to get back up to the top.
- 02:35 And for this exercise, we're going to click on the Home ribbon.
- 02:38 Right over here is the Show/Hide button, okay?
- 02:41 Also, your Ctrl+* will turn on your codes.
- 02:45 When I turn on my codes, I'll go ahead and click that, you can see the hard returns.
- 02:48 You can see the poked dots between the letters.
- 02:50 Those are space bars.
- 02:51 And also, at the bottom, you see a brand new code called Page Break.
- 02:55 And you guessed it.
- 02:56 I simply have to put my insertion point in front of that, and hit Delete, and
- 03:00 you're going to begin seeing all these pages.
- 03:03 Just watch the thumbnails over here.
- 03:04 They're gonna start vanishing.
- 03:06 As I hit these, see, now, I got page 3.
- 03:08 Now, I'm gonna click this Page Break and delete it.
- 03:11 Page 2, and we do this last one, delete it.
- 03:14 I end up with just one single page on the left hand side.
- 03:17 And sure enough, that's all I have on my screen.
- 03:20 So that's how you insert page break, delete page breaks, that's a great lesson.
- 03:24 You'll probably be using this so often that Ctrl + Enter will be a reflex to you.
