Paper Orientation and Size
Learn how to change paper size and orientation depending on the document type.
When to use
Changing the paper orientation from portrait to landscape occurs typically in large reports or manuals where an organizational chart or similar diagram may be added. Changing paper size may matter depending on your profession, i.e. legal or executive correspondence.
Instructions
Two places to find Paper Orientation and Size settings:
a. Page Layout Ribbon.
b. Print Preview screen (or Ctrl P.)
To change from Portrait to Orientation, click Page Layout, Orientation, and choose one of the options:
To change the paper size, click Page Layout, Size:
If you have a special paper size, you can enter your own paper measurements; click “More Paper Sizes”.
- 00:05 Paper orientation and size is basically how to turn your paper from a vertical to
- 00:09 a horizontal or change the size of the actual paper depending on your project
- 00:13 or your industry.
- 00:14 It would be easiest if I can show you the entire page on the screen, so
- 00:18 I'm gonna go ahead and click this view setting that says One Page, so
- 00:21 you can actually see as I turn this around what happens.
- 00:24 Currently, I am on the Layout ribbon and right over here, when I click Size,
- 00:28 I'm on my letter 8.5 x 11.
- 00:30 Now, you can also tell by the rulers up on top that I've got an 8 inch rule,
- 00:34 I know it's a 7 there but it ends at 8 inch.
- 00:36 And then the left hand side of course, I have the 8.5 x 11 ruler over there.
- 00:40 Let's go ahead and change this orientation.
- 00:42 Portrait means vertical layout.
- 00:44 Landscape means horizontally.
- 00:46 So I'll click Landscape in there, it turned sideways.
- 00:49 Now, why would I do that?
- 00:50 Well, maybe I have columns I want to type, columns of text and
- 00:53 having them wrapped to the second half of the paper.
- 00:55 All right let's go ahead and turn that back and
- 00:58 change the size this time to Tabloid.
- 00:59 This is a huge sheet of paper 11 x 17 Tabloid means newspaper, okay?
- 01:04 So I'm gonna click on this.
- 01:06 And if you do have a huge newspaper you're working for, go ahead and click one page.
- 01:10 Or maybe you're doing a newsletter.
- 01:12 If you want that to be folded in half, like a wide booklet,
- 01:16 you would simply choose 11 x 17, and then go to the Orientation > Landscape.
- 01:21 Can you imagine this now being folded in half?
- 01:24 Absolutely, so
- 01:25 just so you can see that, how much you can type in here on that half page.
- 01:30 And then fold it I don't know, song book, I don't know, newspaper handout locally,
- 01:34 it's up to you.
- 01:35 So let's go ahead and turn this back to portrait,
- 01:37 there's another place to find these same settings, okay?
- 01:40 So right now I am on the layout ribbon on the orientation and the sides, okay?
- 01:44 These two buttons.
- 01:45 Well, we double click on the left-hand ruler double click, click, click.
- 01:49 We'll open up to my Margins, my Paper and my Layout, okay?
- 01:53 So on the layout, not gonna be there actually the paper.
- 01:56 So here's a different paper sizes that you saw earlier.
- 01:59 And then on the margins here, we have the portrait in the landscape, okay?
- 02:03 And you can see the image showing down below.
- 02:06 I'll go ahead and hit Cancel on that.
- 02:07 The last thing I wanna show you are the various sizes.
- 02:10 So on the size, we do have Letter, Tabloid, Legal size.
- 02:13 It's just industry standard, the legal industry uses.
- 02:17 A statement size, that would be a billing statement.
- 02:20 Executive letters, generally just slightly smaller than letter size, if you're
- 02:24 working for an executive at a corporation, you're very custom to this size.
- 02:28 These other sized are the international standards.
- 02:31 And then of course, we have More Paper Sizes at the very bottom.
- 02:34 You can click More Paper Sizes, and guess what, you can design your own custom size.
- 02:39 So we scroll right down here to custom size because maybe you have some little
- 02:43 stationary leftovers from the days of handwriting letters, okay?
- 02:47 So fancy stationary.
- 02:49 You can actually get out a ruler, measure your stationary, maybe yours is 7,
- 02:53 I don't know, my guess, yeah, let me see, it would 5 x 7.
- 02:56 5 inches wide, 7 inches, I'm just guessing,
- 02:59 I don't have any stationary in front of me to measure.
- 03:03 But notice the preview, what's happening down below.
- 03:06 So I just change my paper size to 5 x 7.
- 03:09 But I'm gonna barely be able to type in there, 'cause I have 1 inch margins.
- 03:13 So in our previous lesson, we did review margins.
- 03:15 This would be a great time to just adjust your margins all the way around.
- 03:19 As you can see, my cute little stationery is designing itself right down here.
- 03:23 I'll go ahead and hit OK.
- 03:25 And I'll go to for page and then I have 5 inches across my top ruler and
- 03:30 I have 7 inches on my left, and I can type away on my new stationary.
