Explore the various options within the Print dialogue box.
When to use
Controlling the Print Settings is important in saving paper and ink when printing. Use these features every time you have special instructions for the printer.
Instructions
- Click File, Print.
- Or use the keyboard shortcut CTRL + P.
- Select the number of copies to print.
- Select the Printer to use; should be already set up on your computer system.
Print Settings
- Print All Pages.
- Or Print Current Page.
The Current Page is the one on the Preview screen at the time you click PRINT.
Custom Print allows you to be choosy about which pages:
- To print pages 1 “through” 3, type “1-3”.
- To print page 1 “and” 3, type “1, 3”.
- Print One Sided is the most common setting, unless your printer has the ability to print both sides at once.
- To print multiple pages on a sheet, click “1 Page Per Sheet” and the options will open above that button. Make your choice and click Print.
Note: By clicking “2 pages per sheet”, you will print a single-sided booklet of your document.
Hints & tips
- CTRL + Page Down will let you jump down to next page.
- CTRL + Page UP will let you jump up to next page.
- CTRL + HOME will take you to the top of the document.

- 00:11 So first of all, I do want you to see down here in the bottom left,
- 00:13 I do have a three-page document.
- 00:15 And I'm going to show you all three pages by hitting my multiple pages button so
- 00:19 you can see yes, three pages.
- 00:21 Go back to my single page.
- 00:23 And, to get to print, we could click on File,
- 00:27 right up here at the top, and we could hit Print.
- 00:29 But, there's a universal code for printing and it is Ctrl+P and
- 00:34 is absolutely worth remembering.
- 00:36 So I'll press Ctrl+P on my keyboard and
- 00:39 it takes me right over here to File> Print, see?
- 00:43 All right, there's a few things you need to know.
- 00:44 First of all, I do want you to see at the very bottom of the screen,
- 00:47 I can zoom in or zoom out.
- 00:49 If I wanna take a closer look at the page on this screen, I can.
- 00:53 Also, showing me page 1 of 3, and I can see the second page or the third page.
- 00:58 Regardless, whatever page is selected at this point,
- 01:01 I can tell it just to print the current page.
- 01:05 See, Print Current Page right there.
- 01:07 Now if I hit that, only page two will print, kind of a nice feature.
- 01:11 All right, let's go a little further.
- 01:12 I'll go back to page 1 and I'm gonna show you other things on here.
- 01:16 First of all, I can tell it multiple copies.
- 01:18 Do I want to print two or three copies of these?
- 01:21 You just change it right here.
- 01:23 It shows me the last printer I printed to.
- 01:25 Of course, I can hit that button and change that printer.
- 01:28 What if your printer isn't even listed here?
- 01:31 What if it's not there?
- 01:32 Well, at the bottom of this list says, Add Printer.
- 01:36 When you click the add printer, your Control Panel opens up and you can tell it
- 01:40 a brand new printer, maybe you just bought one, and you just plugged it in.
- 01:43 They've made this so simple that anyone can just hit the add printer.
- 01:46 It will find the software and install it for you.
- 01:49 It's pretty self-explanatory.
- 01:51 I'm gonna click the X to close that.
- 01:53 All right, there's more I wanna show you in here.
- 01:55 Now, the Custom Print.
- 01:57 Right here, I can tell it to print all the pages.
- 02:01 I really want you to see this entire list.
- 02:02 I have to be careful how I do this.
- 02:04 So, one more try, here we go.
- 02:07 Custom Print, I can print all pages, print current page, custom page, document info,
- 02:12 list of markup.
- 02:13 Look at all the things, only odd pages, only even pages.
- 02:17 The reality is,
- 02:18 you're not stuck with anything even which pages get printed right now.
- 02:23 So 1 and 3.
- 02:25 Pages 1 and 3, we'll print, maybe just page 1.
- 02:28 Maybe I want to print page 2 through 3.
- 02:32 I cannot type a comma there when if it's 2 through 8.
- 02:36 It all depends on what you need.
- 02:37 You just need to know that you can type in here, and print anything you want.
- 02:40 Now if I leave blank, of course the top one above says, Print All Pages.
- 02:45 All right, and we can print one sided or collated.
- 02:47 What does collated mean?
- 02:48 It means sets.
- 02:49 Sets in correct order.
- 02:52 So collated means I want it to print page 1, 2, 3, 1, 2, 3, 1, 2, 3, and
- 02:55 maybe get a staple on the top left corner.
- 02:59 Why would you ever not want to collate?
- 03:01 Well, I'm a teacher.
- 03:02 Some days I wanna hand out page 1,1,1 to everyone, then page 2,2,2 the next day.
- 03:07 That is why sometimes we don't collate, or if I print 1,2,3,
- 03:11 then I have to separate the entire stack.
- 03:13 Another thing about your printers is when you click
- 03:16 on your particular printer that you're using,
- 03:19 maybe you work in a corporate environment where it does staple.
- 03:22 You'll have those settings to set up in here as well.
- 03:24 You see, Microsoft Word is talking to your printer and
- 03:27 knows what your printer settings are, so you have those options in here.
- 03:31 All right, have fun printing, just don't give up,
