Explore the various options within the Print dialogue box.
When to use
Controlling the Print Settings is important in saving paper and ink when printing. Use these features every time you have special instructions for the printer.
Instructions
Click or CTRL + P
- Select the number of copies to print.
- Select the Printer to use; should be already set up on your computer system.
Under Settings:
- Print All Pages
or Print Current Page
; the Current Page is the one on the Preview screen at the time you click PRINT.
Custom Print allows you to be choosy about which pages:
To print pages 1 “through” 3, type “1-3”
To print page 1 “and” 3, type “1, 3” - Print One Sided is the most common setting, unless your printer has the ability to print both sides at once.
- To print multiple pages on a sheet, click “1 Page Per Sheet” and the options will open above that button. Make your choice and click Print. Note: By clicking “2 pages per sheet”, you will print a single-sided booklet of your document.
Tips:
CTRL + Page Down will let you jump down to next page
CTRL + Page UP will let you jump up to next page
CTRL + HOME will take you to the top of the document

- 00:10 Now to go into printing, if I were to float my mouse on this tiny little printer
- 00:14 on my quick access, it's going to send this just like that to my printer.
- 00:18 I have no choices involved at all.
- 00:20 But I want to show you your options.
- 00:22 And so that will be, there are two ways to get there.
- 00:24 You can go to File, and choose Print, or
- 00:28 you can press Ctrl+P, which does the same thing, takes you to the same spot.
- 00:32 Now when you're in this section, File > Print,
- 00:35 you can see a little screenshot on the right hand side of all your pages, and
- 00:39 I happen to have three pages available for printing in this document.
- 00:43 And on the left hand side, this is your print button,
- 00:45 that would say, okay good to go, hit Print.
- 00:48 You can tell it how many copies.
- 00:50 You can do 1 copy, 10 copies, 100 copies, it's up to you.
- 00:53 All you have to do is type in a number,
- 00:55 and then which printer are you going to send it to.
- 00:57 This is the biggest choice right here.
- 00:58 It depends on how many printers you have to choose from.
- 01:01 I do want to tell you that brand name is a Microsoft Print to PDF option.
- 01:07 Now PDF stands for portable document format.
- 01:10 So when you print to PDF, it becomes yet another electronic document but
- 01:15 when you email it to other people, they can't make any changes on it.
- 01:17 It's basically kind of a screenshot of the document.
- 01:21 So that's excellent to have that option in the new software.
- 01:24 Now, my standard printer isn't even on this list cuz I haven't set it up.
- 01:28 If you're going to set up a printer, you simply hit Add printer right here, and
- 01:32 it will ask you what kind of printer and it'll have you plug it in to your
- 01:35 computer, and you'll find all the settings for
- 01:37 you, it's basically paying for you to do the process.
- 01:41 But just so you know, you have that option to set up your own printers.
- 01:45 All right, let's get into our print settings.
- 01:48 If we're gonna custom print something,
- 01:49 that simply means we're telling it exactly what pages to use.
- 01:53 Generally, Print All Pages is the setting, the whole thing as written right there.
- 01:58 So if I hit Print right now, it's going to give me one copy
- 02:02 of all the pages and they're gonna be one sided and collated.
- 02:07 Now one side, I'm sorry, collated means in sets.
- 02:11 So one, two, three, so I can staple them.
- 02:13 One, two, three, so I can staple, so I can make 10 copies collated and
- 02:16 they'll come in a nice set.
- 02:18 But periodically I want them uncollated which means it's
- 02:21 going to send out page 111 then 222 then 333.
- 02:25 But I'm a teacher, so sometimes I like to hand out page 1 to everyone, and
- 02:29 then follow up with page 2, to everyone.
- 02:32 So sometimes I do like to print uncollated, but it's up to you.
- 02:35 It's your choice and you have those settings right there.
- 02:38 All right, what if I want to print just page 2 and 3, so I would type page 2-3.
- 02:45 That means 2 through 3.
- 02:48 What if I just wanted to print page 1 and 3?
- 02:51 Then I would print 1,3.
- 02:54 That means 1 and 3.
- 02:56 So if you know exactly what you're printing, and
- 02:58 of course, the tooltip shows you exactly how to type it there, look at the bottom.
- 03:02 I could type page 1 and 3 and 5 through 12.
- 03:06 Or you could abbreviate with the P and the S's and all that but
- 03:10 I generally use commas and dashes and it works just fine.
- 03:13 Okay, so I'm gonna hit Delete on that,
- 03:15 make sure it says print all pages right here and collated, everything is fine.
- 03:20 This is kind of nice right down here.
- 03:23 If you can print, generally it's always set to 1 page per sheet but
- 03:27 look at this option.
- 03:28 You could put 2 pages per sheet, 4 pages per sheet.
- 03:31 Now when I change to 4 pages per sheet,
- 03:33 my print preview didn't change at all on the right hand side.
- 03:36 But I guarantee you, you'll have one sheet of paper with 4 tiny little pages on it.
- 03:40 It's actually kind of awesome if you just need little screenshots.
- 03:43 Anyway generally I'm gonna leave that at 1 page per sheet, hit Print, and off I go.
