File Ribbon – Other Features
The File ribbon has many options when you are beginning or finalizing a publication.
When to use
You will go to File often to Open, Close, Save, or Print any publication.
Instructions:
Use the various tools under File to save time later:
- Click File, Open and find a publication in the list that you use regularly.
- Click the pushpin on the right side of the file name to pin the publication to the top of the list.
- A similar feature is found under File, Save As, This PC. You can pin a common folder to the top of this list.
- Click File, Share to view the settings for emailing a document and possibly changing the file type to a .pdf (Portable Document File – much smaller file size, but looks just as good.)
- File, Export gives options to save and send in the proper format for commercial print companies.
- F ile, Options give you customizing opportunities, but overall it’s best to leave these settings alone until you become an advanced user.
- 00:05 All right, let's go ahead and finish up with a file ribbon, again,
- 00:08 on the very top left, click File.
- 00:10 We've already reviewed Info, we've reviewed New, but
- 00:13 notice there's an entire list.
- 00:15 So, of course, Open means open an existing one, open one that's on OneDrive,
- 00:20 maybe someone has shared with you something on this PC.
- 00:23 You can add a place, which means another location,
- 00:26 maybe a home network location, or you can just browse through your files.
- 00:29 Notice also, we do have the button that says Folders.
- 00:32 They finally allowed us to look at just our actual publications or
- 00:37 to look at a list of folders.
- 00:39 Of course, I have no recent folders in here, but
- 00:41 I do like that they've given us our folders options back, that is wonderful.
- 00:44 Then, of course, we have Save, we could save to our documents,
- 00:48 to our desktop, to another place.
- 00:50 Another home network location, maybe I'm at a work location.
- 00:54 Let's see, Print, of course, printing,
- 00:56 we'll have an entire lesson on the specifics of printing.
- 01:00 Sharing, of course, when you want to share something as a PDF,
- 01:04 as an attachment, email preview, kind of nice.
- 01:08 You can export these to HTML, which means online, change your file type,
- 01:13 maybe to PDF, save for photo printing, save for a commercial printer.
- 01:18 Of course, we could close this file.
- 01:20 We can take a look at our account to see what version of Microsoft Publisher I'm
- 01:24 using, which, of course, is Office 365.
- 01:27 I can download Office Updates, go to my Office Insider, or
- 01:31 ask questions About Publisher.
- 01:33 And then, of course, we have the Options.
- 01:34 Now, the Options, that's kind of a great place to be, the File options.
- 01:38 Let me show you this, let me resize that.
- 01:41 Notice the left-hand panel, here's all the options.
- 01:44 So on the General, this is where I can change my user name, okay?
- 01:48 Now, this goes down as the author of everything I'm working on, so
- 01:52 I want to make sure that my name is set in there correctly.
- 01:55 I can choose the Office theme.
- 01:56 I kind of like the theme I'm using now, the Colorful,
- 01:59 which simply means a green background.
- 02:01 Notice that green title bar up at the top?
- 02:03 I can change that to dark gray, black or white.
- 02:05 I like the colorful, that's fine.
- 02:06 And let's see, I can go to my Proofing and tell it to ignore Upper Case.
- 02:12 The main gist of this whole lesson is you've gotta get in to your file and
- 02:17 your options and click through these and make some changes.
- 02:21 Now, in particular, on the file, options,
- 02:24 save, I don't like the show the backstage when opening or saving files.
- 02:29 I don't like that to come on.
- 02:30 When I want to open a file, I want to go directly to my file system.
- 02:34 I don't want to have to pause on the list that they think I want to look at, and
- 02:39 then hit computer to go to my file system.
- 02:41 Just take me directly to my file system.
- 02:43 So in that case, I have put a checkmark on this particular box.
- 02:46 This is optional, you do not have to do this.
- 02:49 I prefer it, you don't have to, it's all good.
- 02:53 So if you don't want it, just turn that thing off, I'm going to leave mine on.
- 02:56 Let's see, Save to the Computer by default.
- 02:58 Well, that's kind of a good idea.
- 03:00 What would the other option be?
- 03:01 Save to OneDrive by default.
- 03:03 So it's basically going to ask me every single time,
- 03:06 do you want to save this to a particular spot?
- 03:09 I'll leave that on.
- 03:10 Now, Languages, maybe you'd like your languages to be a little different.
- 03:14 We're going to have a lesson on this.
- 03:15 And then, of course, we have advanced editing options, display options.
- 03:18 This just takes work.
- 03:20 And a lot of times, I don't know what I want it to do, what I don't want it to do.
- 03:25 Generally, if I run into a problem, I jump out online,
- 03:28 I'll Google whatever the answer is, and it might have me make a change in here.
- 03:32 It's very rare that I'm going to come in here and make a change.
- 03:35 Mostly on the general set up, my name, the way I want it to be.
- 03:38 Of course, on the Save, I've put that little checkmark right there.
- 03:41 Other than that, I'm okay with this whole thing.
- 03:43 Now, we are going to have in the next video an entire lesson on the quick
- 03:47 access toolbar.
- 03:48 So we'll be in here, rarely do I have add ins in this program.
- 03:51 And then, of course, the Trust Center, I generally don't mess with that either,
- 03:55 because there's not a lot of macros I deal with when I'm working with Publisher.
