Adjust User Settings
Personalize your copy of Teams by reviewing and adjusting user settings.
When to use
We adjust our user settings to ensure our copy of Teams is set up to suit our needs.
Instructions
We can personalize our copy of Teams so it suits us.
Access Settings
- Click on the three dots in the top right-hand corner of the screen.
- Click Settings.
General
In the General area, we can change our theme, set how the application starts and runs, and also specify where to open new chat windows. We can also choose our language here, enable spell check, and schedule an Out of Office.
Accounts
This is where we can see the account we have attached to Teams.
Privacy
In the Privacy area, we can customize our Do not disturb settings, manage blocked contacts, turn on read receipts, and enable the shortcut key to un-mute your mic.
Notifications
This is where we go to customize our notifications. We will look at this in the next lesson.
Devices
In the Devices area, we can set up our audio, speakers, and microphone. Ensure that you have the correct devices selected and make a test call.
App Permissions
In this area, we can control what our apps can access when using Teams.
Captions and Transcripts
It is recommended that we toggle on the setting to automatically identify ourselves in meeting captions and transcripts.
Files
In the Files area, we can specify how we want to open files, in Teams or in a browser.
Calls
In the Calls area, we can choose to forward our calls to voicemail and configure our voicemail greeting. We can also choose ringtones from here.

- 00:12 And adjusting our user settings or at least reviewing them is a great way to
- 00:16 really personalize and customize your copy of Teams, so that it works for you.
- 00:20 Now, you're going to find all of your Team's settings up in this top bar.
- 00:26 If we click on the three dots, we have a settings option just here.
- 00:31 Now, before we get to settings, I just want to highlight to you a couple of other
- 00:35 things that we have in this menu that I think are really useful.
- 00:38 For example, keyboard shortcuts, there are so many keyboard shortcuts in Teams,
- 00:43 and sometimes it's nice to be able to see a big long list of them and
- 00:47 that's exactly what Microsoft have given us.
- 00:50 So in here, this is a really easy to access guide for
- 00:53 you to learn the keyboard shortcuts for tasks that you do all of the time.
- 00:58 So I definitely recommend jumping in there and reviewing this.
- 01:02 Also underneath these three dots, this is where we can check for updates,
- 01:06 it's always good to keep our copy of Teams updated.
- 01:09 And we can also download the mobile app from here as well.
- 01:13 And the last lesson in this course,
- 01:15 we're going to do a bit of a demo of the mobile app.
- 01:18 It's a really simple app to use, and
- 01:20 again I would highly recommend that you download it.
- 01:23 So that you can keep on top of your Teams, your chats, your messages, take part in
- 01:28 calls even when you're on the go and only have access to your mobile phone.
- 01:32 Now let's jump in to our settings.
- 01:36 So we have a few different categories of settings just here,
- 01:39 we're going to run through some of these options.
- 01:41 So on the general page,
- 01:43 this is where we can change the theme that we're using in Teams.
- 01:47 So I'm using the default, but if you wanted to,
- 01:50 you could change your theme to dark.
- 01:52 I don't, I find it all a bit too dark and constricting, but
- 01:55 that is entirely up to you.
- 01:57 There's even a high contrast setting here for people who maybe have problems seeing
- 02:02 and need something where the buttons stand out a little bit more from the background.
- 02:08 Now I'm going to keep mine on the default.
- 02:10 We can also choose our chat density.
- 02:14 And this really relates to the amount of space that you have between different
- 02:18 items, messages, things like that in Teams.
- 02:21 So I have mine set to comfy, so we have quite a bit of space in between,
- 02:25 if you want to decrease the amount of space you could go for compact.
- 02:29 Next, we have some options with regards to the actual application itself.
- 02:33 Now I have my Team set so
- 02:35 that it automatically starts when I boot up my PC in the morning.
- 02:39 And that's mainly because I'm always using Teams, it's always an application that I
- 02:44 need, and I just don't want to have to start it myself each morning,
- 02:47 it's easier just to auto start.
- 02:49 So you have that option in there as well.
- 02:52 Also notice I have mine set to on close keep the application running in
- 02:56 the background.
- 02:57 And what that means is that even if I'm not specifically using Teams at that time,
- 03:02 I'm still going to receive things like notifications.
- 03:05 I can customize where I want new chats to open, so
- 03:09 I like my new chats to open in the main Teams Window.
- 03:13 But if you want to open them in a separate pop out Window,
- 03:16 you could choose that option as well.
- 03:18 Of course, it's always good to make sure that you have the correct language set and
- 03:22 that you enable your spellcheck.
- 03:24 And right at the bottom here, we can set up and out of office.
- 03:29 So if we click on schedule, we can basically turn on automatic replies and
- 03:34 set an out of office to send to people inside or outside of our organization.
- 03:40 And it is worth noting here that this is also going to sync with your Outlook
- 03:44 calendar.
- 03:45 So, you only really need to change it in one place, and
- 03:48 your out of office will be set across both Teams and Outlook.
- 03:52 The next page is the Accounts page, so not a great deal of information in here,
- 03:57 this is just going to show you the account that you have setup.
- 04:00 In the privacy tab, we can do things like customize, add do not disturb status.
- 04:06 So for example,
- 04:07 if I set my status to do not disturb that means that I'm not going to receive
- 04:12 any messages from anybody until I change my status back to available.
- 04:17 But it might be that I want to basically not receive any messages
- 04:22 from anybody except my manager.
- 04:25 Well, this is where I could give my manager priority access.
- 04:29 So if I click on manage priority access, I could maybe add,
- 04:33 let's say Jane is my manager.
- 04:35 I can give Jane priority access, so I will still receive messages from her.
- 04:41 I can choose to block specific contacts, so maybe those with no caller ID.
- 04:46 And then I can edit my blocked contacts list from here as well.
- 04:50 We have the keyboard shortcut to unmute quickly turned on and this is a really
- 04:55 popular one, CTRL spacebar If you want to quickly unmute your microphone.
- 05:00 I am sending read receipts, so other people know when I've seen their message.
- 05:05 And I've also set mine up to participate in surveys that are sent to me by
- 05:09 Microsoft Teams.
- 05:11 Now, the next lesson we're going to do, is dedicated purely to notifications, so
- 05:15 I'm going to skip over that for the time being.
- 05:17 We then have a devices area, so this is where we can manage or
- 05:21 set up all of the devices that we're going to use for things like Teams meetings.
- 05:27 Like you can see here, my audio is set to my Yeti Stereo Microphone.
- 05:32 And that is an external microphone that I have plugged in.
- 05:35 So go through here and make sure you have your audio set up correctly.
- 05:40 And if you want to make sure that any changes you make here are working,
- 05:45 you can always make a test call and test out your microphone and your speakers.
- 05:49 And the final thing I would probably point out here is camera at the bottom.
- 05:53 So you can see I've got mine set up to use my HD webcam,
- 05:57 which again is an external web camera that I have.
- 06:00 So make sure that you can see yourself in this window, and
- 06:04 that your camera is working.
- 06:06 App permissions is where we can control what apps we can access when we're
- 06:10 using Teams.
- 06:11 And you can see here it says some apps have permissions enabled by default for
- 06:16 your convenience.
- 06:17 Now, I wouldn't really worry too much what we have in here these tend to populate
- 06:22 automatically depending on what we've added into our Teams.
- 06:26 And if you do need to adjust anything in here, for example,
- 06:30 if I need to adjust the settings for power automate, I can click on the arrow and
- 06:35 it's going to give me any options that I can change.
- 06:38 And you can see in here this is fairly limited, but
- 06:41 just be aware that you can jump in there if you need to.
- 06:44 We have a section for captions and transcripts.
- 06:48 And this setting allows us to identify ourselves in meeting captions and
- 06:53 transcripts.
- 06:54 So what that actually means is, if you're generating captions in a meeting, for
- 06:58 example, it has your name there, so everybody knows who is currently speaking.
- 07:03 So I would definitely recommend that you leave this on.
- 07:06 We then have files at the bottom where we can adjust our file open preferences, so
- 07:12 always open Word, PowerPoint and Excel files in, and mine is set to Teams.
- 07:17 You could change this to browser if you wanted to.
- 07:21 And then finally we have a calls area where you can set up things like
- 07:26 call answering rules.
- 07:27 This is also where you can do things like forward to voicemail, and
- 07:31 as we saw earlier this is where you come to configure your voicemail as well.
- 07:36 So if we jump into here, you can record a greeting from here.
- 07:40 So that is a quick whistlestop tour of some of the settings that
- 07:44 you can adjust to customize your copy of Teams.
- 07:46 Have a little look through, you might be happy with the defaults, but
- 07:51 if not, feel free to change the settings so
- 07:55 that your copy of Teams is set up and working the best for you.
